Overview

What Libeo and Zapier do together

The Libeo integration on Zapier does one job: it creates an invoice in Libeo, ready to be paid, from data that arrives somewhere else. Another app starts the automation, Zapier carries the details over, and Create Invoice files them in Libeo. Nothing flows back out.

Three useful results from that one action. Invoices that stop being retyped: a row added to your spreadsheet becomes an invoice in Libeo, with the fields mapped once and reused every time. No double entry for the same invoice: the mandatory Invoice ID field exists precisely to avoid duplicates, so a reliable identifier from the source keeps Libeo clean. Invoices already settled, recorded as such: the Invoice is paid box marks the invoice as paid in Libeo when the source says so.

What Zapier does not do for Libeo is just as clear. There is no trigger, so a payment or a status change inside Libeo cannot start a Zap. There is no search, so the Zap cannot look up an invoice in Libeo before creating one; the Invoice ID is your only safeguard. If you need Libeo to push events out, look at the Zapier alternatives for that part.

Libeo is not a premium app, so a two-step Zap that creates invoices runs on the free plan.

Vocabulary

Zapier vocabulary in one minute

Seven words do the heavy lifting on this page. Plain definitions below.

Zap
The automation you build on Zapier: an event that starts it, then one or more steps that run each time the event happens.
Trigger
The event that starts a Zap. Libeo has none on Zapier, so for this app the trigger always sits in another tool.
Action
The step that does the work once the Zap runs. For Libeo, it creates an invoice that is ready to be paid.
Task
The unit Zapier bills: one action completed successfully. Your plan's monthly allowance counts those and nothing else.
Polling vs instant
A polling trigger is checked on a timer that depends on your plan. An instant trigger is sent by its app the moment it happens.
Filter
A step that lets the Zap continue only when the incoming data meets your condition, and halts it otherwise.
Search step
A step that looks up something already stored in an app for later steps. Libeo offers no search step on Zapier.
Cost

What a Libeo Zap costs

Zapier bills tasks, and a Libeo Zap produces exactly one per invoice it manages to create.

  • Free plan100 tasks a month, unlimited Zaps
  • Free plan Zap sizeTwo steps: one trigger, one action
  • Premium appNo, Libeo works on the free plan
  • BilledEach invoice created successfully

The trigger in the other app costs nothing, and Zapier checking it for new data costs nothing either. Each Create Invoice that goes through is one task; one that fails is not counted. The free plan gives 100 tasks a month and Zaps of two steps: one trigger, one action. Add a filter, for example to skip rows that are not ready, and the Zap becomes a multi-step Zap (anything past one trigger and one action), which needs a paid plan. How quickly invoices appear depends on the trigger in the other app.

Connect

Connect your Libeo account

  1. 01

    Open Apps

In your Zapier account, go to Apps. Your connection lives there: your Libeo account linked to Zapier once, then reused by every step that needs it. You need a Libeo account first.

  2. 02

    Add Libeo

Click + Add connection, type Libeo in the dialog, pick it from the results, then confirm with Add connection. A new browser tab opens for the sign-in.

  3. 03

    Sign in and grant access

Log in to Libeo in that tab and allow Zapier to use the account. If the invoices should land in a space someone else manages, check that your account is allowed to write there.

First Zap

Your first Libeo Zap

GoalEach new row in your spreadsheet becomes an invoice in Libeo, but only once the row meets the condition you set.

  1. 01

    Create the Zap

Start a new Zap and choose your spreadsheet as the app that starts it. Libeo cannot take that first slot, because it has no trigger on Zapier.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent rows of the connected account, so you map fields against a real invoice line.

  3. 03

    Add the filter

Use the plus icon, choose Filter, and set the field to check, the rule and the value. This step makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Add Create Invoice

Add a Libeo step with Create Invoice. Pick the Integration, map a stable column to Invoice ID, and tick Invoice is paid only if the row says so.

  5. 05

    Test, then publish

Test the action and open Libeo to check the invoice is there with the right details. Then click Publish to switch the Zap on for good.

Actions

Libeo actions on Zapier

Libeo gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Invoice

Action

In Zapier“Creates an Invoice ready to be paid.”

Files an invoice in Libeo, ready to be paid, built from the data the earlier steps brought in. It is the only thing Zapier can do in Libeo.

When to use it
when invoice details already live in another tool and should reach Libeo without anyone copying them.
Watch out
Integration and Invoice ID are mandatory, and the Invoice ID is what keeps the same invoice from being created twice.
When it breaks

When a Libeo Zap breaks

Zapier links no help article to Libeo, so the known failure modes are the general ones every Zap shares.

  • Older invoices stay behind

A Zap reacts only to what happens after it is switched on. Rows that already existed are not sent to Libeo; moving that backlog is a separate job.
  • A loop drains your tasks

If the Zap writes into the very place its own trigger watches, it sets itself off again and again and eats through the task count quickly.
  • A bulk import is held back

When the trigger suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold it back before any invoice is created.
  • Each row runs once

On a polling trigger, Zapier remembers what it has already seen, so one row does not start the Zap twice. Repeats usually come from the source.

FAQ

Libeo Zapier integration: questions

01Is the Libeo Zapier integration free?
Yes, within the limits of the free plan. Libeo is not a premium app, so it runs on Zapier's free plan. The free plan gives you 100 tasks a month and Zaps of two steps only: one trigger in another tool, then Create Invoice. Adding a filter or a second action turns the Zap into a multi-step Zap, which needs a paid plan. Zapier limits tasks, not the number of Zaps, so you can run one small Zap per invoice source without paying.
02How many tasks does a Libeo Zap use?
One task per invoice created successfully. The trigger in the other app is free, and so is every check Zapier makes for new data, however often it happens. If Create Invoice fails, nothing is counted. In a Zap with another action after the Libeo step, each successful action is billed separately, so the same number of invoices costs twice as much. On the free plan, keep an eye on the monthly ceiling of 100 tasks.
03Does the Libeo integration work in real time?
It depends on the app that starts the Zap, since Libeo has no trigger on Zapier. If that app offers an instant trigger, the invoice is created as soon as the event happens, on any plan. If it relies on a polling trigger, Zapier checks on a timer: every 15 minutes on Free, every 2 minutes on Professional, every minute on Team and Enterprise. The editor shows a lightning bolt on instant triggers, which tells you which kind you picked.
04What does it take to connect Libeo to Zapier?
A Libeo account, plus write access to wherever the invoices should land if someone else manages it. The connection is made once from the Apps page of Zapier with + Add connection, followed by a sign-in in a new tab where you grant access. Every later Zap reuses it. Before you build, find out which Integration your invoices should come through, because Create Invoice cannot be saved without one, whatever the rest of the setup.
05How does Libeo avoid duplicate invoices from Zapier?
Through the Invoice ID field, which is mandatory for exactly that reason. Each invoice needs an identifier, and the field help says it is there to avoid duplication. Map it to a value that never changes in your source, such as a reference column, and Libeo has what it needs to spot the same invoice coming back. Leave it to something that shifts, like a row position, and you lose that protection. Libeo has no search step on Zapier, so this field is your only safeguard.
06What if the Libeo operation you need is not available?
Then Zapier does not offer it for Libeo today. The integration has a single action, Create Invoice, with no trigger and no search, so following payments made in Libeo or reading invoice statuses back is out of reach here. If the missing piece is an Integration name in the Create Invoice dropdown, the field help points to Libeo support at support@libeo.io. For anything else, plan the flow around what the action does, or use another tool for that step.
07Zapier, Make or n8n for Libeo?
Compare on criteria rather than crowning a winner. Zapier is a short path if all you need is to push invoices into Libeo and the free plan covers your volume. For any alternative, ask whether it fills the gaps visible here: reacting to events in Libeo, or reading invoices back before writing. Also weigh who will maintain the flow, how many invoices you expect each month, and whether a filter would push you onto a paid plan anyway.
