Overview

What the OneTouch Recruitment Zapier integration does for a recruitment team

The OneTouch Recruitment Zapier integration lets your applicant tracking tell your other tools what is happening in it. Zapier runs small automations called Zaps. Here, OneTouch Recruitment is always the starting point: it can start a Zap in twelve different situations, but no Zap can write anything back into it.

A team that hears about every applicant. New Applicant starts a Zap when a new joiner application is created, so the hiring manager's channel or a shared sheet gets it without anyone forwarding emails.

A compliance file that builds itself. New Document Upload, New Form Signature and New Questionnaire Completed each start a Zap at their own step of onboarding, so a tracker in another tool shows what is in and what is missing.

References that do not sit unread. New Reference Submitted, New Reference Reply and AI Reference Chaser Result tell the recruiter that a referee has been named, has answered, or that the AI chaser has brought something back.

What Zapier does not do here matters just as much. There is no action and no search: a Zap cannot create a candidate, move one or look one up in OneTouch Recruitment. None of the twelve triggers is instant, so every event waits for Zapier's next check. And a Zap ignores everything that happened before you switched it on.

Vocabulary

Zapier vocabulary in one minute

Seven words come back all over this page. Here they are in plain English, once.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it, here a new applicant, reference, signature or upload.
Action
What the Zap does once started: the step that writes, sends or moves something for you. With this app, actions live in your other tools.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan gives you a set number of them.
Polling trigger
A trigger Zapier checks on a timer: it asks the app for new items at a fixed interval and keeps only what it has not seen yet.
Instant trigger
A trigger the app reports itself, the moment the event happens, with no wait. OneTouch Recruitment has none of these.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it there otherwise.
Cost

What a OneTouch Recruitment Zap really costs

OneTouch Recruitment is not reserved for paid plans: it works on Zapier's free plan. What you spend is tasks, and nothing else is billed.

  • Trigger checkNo task
  • Successful action1 task each
  • Failed actionNot counted
  • Free plan100 tasks a month, two-step Zaps
  • OneTouch Recruitment on the free planAvailable

Since OneTouch Recruitment only starts Zaps, it never costs a task on its own: the trigger is free, however often Zapier checks. The tasks come from the actions that follow in your other tools, one per action that goes through, none for one that fails. The free plan gives 100 tasks a month and stops at two steps, one trigger and one action. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. How fast an event reaches you depends on the grid below.

Connect

Connect OneTouch Recruitment to Zapier in 3 steps

  1. 01

    Open the Apps page

In your Zapier account, open Apps and click + Add connection. A connection is your OneTouch Recruitment account linked to Zapier once, then reused by every Zap that starts from it.

  2. 02

    Pick OneTouch Recruitment

Type OneTouch Recruitment in the search box of the dialog, select it from the results, then click Add connection. A new tab opens on the OneTouch Recruitment side so you can sign in.

  3. 03

    Sign in and grant access

Sign in to OneTouch Recruitment in that tab and grant Zapier access to the account. Anything you do not own yourself but want a Zap to watch needs read access for your account first.

First Zap

Build your first OneTouch Recruitment Zap

GoalWhen a new applicant arrives in OneTouch Recruitment, post it in the hiring team's channel, but only for the applications that pass a filter.

  1. 01

    Pick the trigger

Start a new Zap, choose OneTouch Recruitment as the app that starts it and New Applicant as the event, then select the connection you made earlier.

  2. 02

    Test it on real data

Run the trigger test. Zapier brings back the three most recent items of your connected account, so the rest of the Zap is set up on a real application, not an empty sample.

  3. 03

    Add the filter

Add a Filter step from the plus icon and fill its three boxes: the field to look at, the rule, the value to compare with. A text rule only works on text.

  4. 04

    Add the message

Add the app that receives the news, here a channel message, and map what the trigger brought in from OneTouch Recruitment into the text of that message.

  5. 05

    Test, then publish

Test the action and read what came back before going further. When it looks right, click Publish to switch the Zap on. With its filter, this Zap needs a paid plan.

Triggers

OneTouch Recruitment triggers on Zapier

12 events start a Zap when something happens in OneTouch Recruitment. Zapier checks for them at the interval your plan allows.

1

AI Reference Chaser Result

Polling trigger

In Zapier“Triggers when the AI reference chaser has retrieved a new result.”

OneTouch Recruitment has an AI reference chaser that goes after referees for you. This trigger starts a Zap when that chaser has retrieved a new result, so the outcome reaches a person instead of waiting in the tool.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a compliance officer wants each chaser result posted where the vetting team works, so a candidate's start date is not held up by an unread update.
2

New Candidate Rejoiner

Polling trigger

In Zapier“Triggers when an archived candidate requests to rejoin.”

When an archived candidate asks to rejoin, this trigger starts your Zap. It catches people already in your records who come back on their own, so you can pick up where you left off with them.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a branch manager wants returning workers flagged to the consultant who placed them before, so the call happens while the candidate is still available.
3

Email Delivery Error

Polling trigger

In Zapier“Triggers when a candidate's email is unreachable.”

This one fires when a candidate's email turns out to be unreachable. It is the quiet failure of any onboarding: forms and requests sent to a dead address that nobody will ever answer.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a resourcer wants a task created in the team's to-do tool to phone the candidate and get a working address.
Watch out
the Zap tells you the address failed; fixing it still happens in OneTouch Recruitment, since no action writes there.
4

New Applicant

Polling trigger

In Zapier“Triggers when a new joiner application is created.”

New Applicant starts the Zap when a new joiner application is created in OneTouch Recruitment. It is the entry point of most Zaps on this app, since everything else follows from an application.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a recruitment lead wants every new application copied into a shared spreadsheet that the account managers read.
Watch out
after a bulk import, a huge batch of applications at once can be held back by Zapier's flood protection.
5

New Inbox Item

Polling trigger

In Zapier“Triggers when a new Inbox item is created.”

Inside OneTouch Recruitment sits an Inbox, and this trigger runs your Zap each time a new item is created there. It suits teams that want what lands in that Inbox to reach them where they already work.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a consultant who spends the day out of the office wants new Inbox items pushed to a chat channel on the phone.
Watch out
every item starts the Zap, so a filter keeps the action, and its task, for the items that matter.
6

Reassigned as Primary Recruiter

Polling trigger

In Zapier“Triggers when you have been reassigned as the primary recruiter for a candidate.”

This trigger concerns you personally: it starts the Zap when you have been reassigned as the primary recruiter for a candidate. Here, "you" means the account connected to Zapier.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a recruiter returning from leave wants each candidate handed over added to a personal follow-up list.
Watch out
it watches the connected account only, so each recruiter who wants it needs a Zap on their own connection.
7

Sign-Off Recruiter Assignment

Polling trigger

In Zapier“Triggers when you have been assigned as the sign-off recruiter for a new candidate.”

Sign-Off Recruiter Assignment fires when you have been assigned as the sign-off recruiter for a new candidate, the person who validates the file before the start. Like the previous trigger, it is about the connected account.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a senior recruiter wants each new sign-off added to a calendar as a review slot, so nothing reaches the start date unchecked.
Watch out
a colleague's assignments never show up on your connection.
8

New Form Signature

Polling trigger

In Zapier“Triggers when a new form signature is generated.”

A candidate signs a form and OneTouch Recruitment generates a new signature: that is the moment this trigger picks up. It turns a signed contract or declaration into a signal your other tools can use.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
payroll wants to know a starter has signed, so their record is opened before the first timesheet rather than after.
Watch out
signatures collected before the Zap was published are not picked up.
9

New Reference Submitted

Polling trigger

In Zapier“Triggers when a new reference contact is submitted.”

When a candidate submits a new reference contact, this trigger starts the Zap. It marks the start of the reference process, before any referee has answered anything.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a vetting coordinator keeps a reference tracker in a spreadsheet and wants each new referee added as a row, ready to follow up.
Watch out
a submitted contact is not an answer; pair this trigger with New Reference Reply to know when the reference is in.
10

New Questionnaire Completed

Polling trigger

In Zapier“Triggers when a new questionnaire has been completed.”

Each time a candidate completes a new questionnaire, this trigger runs your Zap. Questionnaires are a step of the onboarding file, so the Zap tells the team that one more box is ticked.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
an onboarding officer wants a completed questionnaire to update the status of the candidate in a shared tracker.
Watch out
this is the candidate's own questionnaire; a referee's questionnaire goes through New Reference Reply instead.
11

New Reference Reply

Polling trigger

In Zapier“Triggers when a new reference questionnaire has been completed.”

New Reference Reply starts the Zap when a new reference questionnaire has been completed, meaning a referee has actually answered. It closes the loop that New Reference Submitted opened.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a consultant waiting on the last reference before a start wants a message when the reference is in, not when someone remembers to look.
12

New Document Upload

Polling trigger

In Zapier“Triggers when a new document is uploaded.”

This trigger reacts to a new document uploaded in OneTouch Recruitment, such as a file a candidate sends during onboarding.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a compliance team wants each upload logged in a register kept in another tool, so an audit can show when every document arrived.
Watch out
candidates who upload several files at once start the Zap once per document, and each run that reaches a successful action costs a task.
When it breaks

When a OneTouch Recruitment Zap breaks

Zapier attaches no help article to OneTouch Recruitment and lists no limit of its own for it. What breaks is what breaks on any Zap. One classic case is ruled out here: since no action writes into OneTouch Recruitment, a Zap cannot set off its own trigger.

Read the four cases below before you switch the Zap on. If one catches you anyway, there is the Zapier troubleshooting page.

  • Nothing from before the Zap

A Zap only reacts to what happens after you switch it on. Candidates, references and documents already in OneTouch Recruitment are never picked up.
  • A wait between event and Zap

All twelve triggers are polling triggers. On the free plan, an applicant can wait up to 15 minutes before the Zap sees it; on Team and Enterprise, 1 minute.
  • A sudden flood of candidates

After a bulk import or a migration into OneTouch Recruitment, a trigger that suddenly returns a huge batch can be held back by Zapier's flood protection.
  • Why nothing runs twice

On a polling trigger Zapier keeps track of what it has already seen, so an applicant, a signature or a document it has handled does not start the Zap again.

FAQ

OneTouch Recruitment and Zapier: common questions

01Is the OneTouch Recruitment Zapier integration free?
Yes, as long as the Zap stays at two steps. OneTouch Recruitment is not reserved for paid plans, so it runs on Zapier's free plan, which gives 100 tasks a month and an unlimited number of Zaps. The limit is the shape of the Zap: one trigger and one action, nothing more. Add a filter or a second action, and the Zap becomes multi-step, which needs a paid plan. The free plan also checks OneTouch Recruitment every 15 minutes, slower than the paid ones.
02How many tasks does a OneTouch Recruitment Zap use?
None for OneTouch Recruitment itself. The app only has triggers, and a trigger never costs a task, however often Zapier checks for new applicants or documents. The tasks come from the actions in your other tools: one per action that succeeds, none for one that fails. A Zap that posts a message for each new applicant spends one task per applicant. In a Zap with three actions, each success counts on its own, so it uses three times as much.
03Does OneTouch Recruitment work in real time with Zapier?
No. All twelve OneTouch Recruitment triggers are polling triggers: Zapier asks the app for new items at a fixed interval. That interval is 15 minutes on the free plan, 2 minutes on Professional, and 1 minute on Team and Enterprise. The type is set on the OneTouch Recruitment side and cannot be changed from the editor. On a paid plan you can change how often the check runs, and run one by hand from the editor when a candidate cannot wait.
04What does connecting OneTouch Recruitment to Zapier require?
A OneTouch Recruitment account you can sign in with, and a Zapier account. You add the connection from the Apps page with + Add connection, pick OneTouch Recruitment, sign in to it in the tab that opens and grant Zapier access. Anything you do not own but want a Zap to watch needs read access for your account. The connection is then reused by every Zap that starts from the app, so it is done once rather than once per Zap.
05Why does a recruiter trigger stay silent for a colleague's candidates?
Because Reassigned as Primary Recruiter and Sign-Off Recruiter Assignment are about the connected account. They fire when you, the person whose account is linked to Zapier, are reassigned or assigned to a candidate. A colleague's assignments never reach your Zap. If several recruiters want the same alert, each one needs a connection on their own account and a Zap built on it. The ten other triggers do not have this limit in their description.
06What if the OneTouch Recruitment action you need is not on Zapier?
Then it cannot be done here, because OneTouch Recruitment on Zapier has no action at all, and no search either. It offers 12 triggers: Zaps can start from the app, never write into it. Creating a candidate, changing a status or uploading a document from another tool is out of reach through this integration. What a Zap can do is carry the news out of OneTouch Recruitment, into a sheet, a chat or a calendar. Anything that must change inside the app stays manual.
07Zapier, Make or n8n for OneTouch Recruitment?
It depends on criteria, not on a ranking. First, direction: on Zapier this app only sends events out, so check whether you also need to write into it. Second, timing: all twelve triggers poll, every 15 minutes on the free plan and every minute on Team. Third, volume: each successful action in your other tools is a task, and a busy recruitment desk adds up. Hold the other tools to the same three criteria before deciding.
