Connecting LimbleCMMS to Zapier means letting a Zap, the automation you build on Zapier, watch your maintenance account and act on it. Something happens on one side, and Zapier writes the result on the other. LimbleCMMS brings six operations to the table: three ways to notice a change, three ways to write into Limble.

Three results you can build today. A task ready for every newcomer: when List Users spots a person it has not seen before, Create Task opens a task in Limble with its name, location, due date and type already set. A checklist that writes itself: right after the task exists, Create Instruction adds the steps to follow inside it, nested or at the top level. A field kept in sync from outside: a value changes in another tool, and Update Field copies it onto the matching asset field in Limble.

Now what Zapier does not do for this app. None of the three triggers is instant: all of them work by polling, so Zapier checks on a timer and nothing lands the second it happens. There is no search step either, so a Zap cannot look up an existing task or asset by name before writing; you pick location and asset from the lists in the editor. Nothing deletes, closes or reassigns a task. And the triggers watch users, teams and asset fields only, not tasks.

Each action that goes through counts once. A Zap that creates a task and then adds an instruction to it spends two tasks per run; an action that fails is not counted. Zapier checking for new users or teams costs nothing, however often it looks. The free plan gives you 100 tasks a month and Zaps of two steps only: one trigger, one action. Add Create Instruction after Create Task, or a filter, and you are on a paid plan.

Connect your LimbleCMMS account in three steps

    Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. A connection is your LimbleCMMS account linked to Zapier once, then reused by every step that touches Limble.

    Find LimbleCMMS and add it

    Type LimbleCMMS in the search box of the dialog, pick it, then click Add connection. A new tab opens on the LimbleCMMS side, where the actual sign-in happens.

    Sign in and grant access

    Log in with your LimbleCMMS account and allow Zapier to use it. If the Zap has to touch locations or assets you do not own yourself, make sure that account already has read or write access on them.

First Zap

Your first Zap: a task for each new LimbleCMMS user

GoalEach time a new user appears in LimbleCMMS, check they belong to the right location, then create a task in Limble to get them started.

    Create the Zap

    Start a new Zap from your Zapier dashboard. The editor opens on an empty trigger step, waiting for an app and an event to listen to.

  2. 02

    Set the trigger

    Pick LimbleCMMS, then List Users, and choose your connection. Narrow it to one location if you want to. Then test it: Zapier brings back the three most recent users, so you map on a real one.

  3. 03

    Add the filter

    From the plus icon, add Filter. Fill the three boxes: the field to look at, the rule, the value to compare with. The Zap goes on only when it passes. A filter makes this a multi-step Zap, so a paid plan.

  4. 04

    Add Create Task

    Add LimbleCMMS again with Create Task. Fill the four required fields: Task Name, Location, Due and Type. Drop the user name from the trigger into Task Name so each task says who it is for.

    Test, then publish

    Run each step once and read what came back, then open Limble and check the task is there. Click Publish to switch the Zap on. From then on, every new user that passes the filter gets a task.

Watches the fields of one asset at one location, and starts the Zap with each field Zapier has not seen before on that asset. You get the field itself to reuse in the steps that follow.

someone adds a new field to an asset you track, and you want that field written down or reported in another tool.

In Zapier“Get a list of teams, optionally filtered by location.”

Reads your list of teams in LimbleCMMS and passes on each team it meets for the first time. You can narrow the list to one location, or leave it open to every team in the account.

When to use it
a new team is set up in Limble and you want its creation logged or announced elsewhere without anyone retyping it.
Watch out
teams that existed before the Zap was published are never picked up; only the ones created afterwards start it.

Goes through the users of your LimbleCMMS account and starts the Zap once for every user it has not seen yet. Like the teams trigger, it can be limited to the people of one location.

a new person joins Limble, and you want a first task created for them, or their arrival copied into another list.
Watch out
a large batch of users added at once can be held back by Zapier's flood protection instead of running one by one.

Action

Rewrites the value of one field on one asset. You point at the location, the asset and the field, then give it the new value.

When to use it
a figure is kept up to date in another tool and Limble should show the same one on the asset.
Watch out
all four boxes are required, Location, Asset, Field and Field Value, so a Zap that leaves one empty stops at this step.

Adds a line of instruction inside an existing task, the step-by-step whoever does the job follows. Each instruction sits either at the top of the task or under another instruction.

When to use it
right after Create Task in the same Zap, to fill the new task with its steps.
Watch out
Parent Instruction is required; set it to 0 for a top-level line, or the instruction lands nested where you did not expect it.

Opens a brand new task in Limble from whatever arrived in the Zap. It needs four things every time: a name, a location, a due date and a type.

When to use it
a request lands in a form or a sheet, and you want it turned into a Limble task without copying it by hand.
Watch out
the due date is required, so map a real date or the step fails.

When a LimbleCMMS Zap breaks

Zapier attaches no help article to LimbleCMMS, and no limit specific to the app is documented. What breaks here are the rules every Zap lives by.

  • The past is never picked up

    A Zap only reacts to what happens after you publish it. Users, teams or fields that already existed stay out; moving that backlog is a separate job.
  • A Zap that sets itself off

    If an action writes into the very place its own trigger watches, the Zap starts again on its own output and burns through your task count fast.
  • A big batch gets held back

    After a bulk import of users or a reorganisation of teams, a trigger can suddenly return a huge batch. Zapier's flood protection may hold it back.
  • The same item never runs twice

    On a polling trigger, Zapier remembers what it has seen. Editing a user or a team does not start the Zap again, since it is not new.

The moment you chain Create Task and Create Instruction, or add a filter, the Zap becomes multi-step and needs a paid plan. Prices change too often to be quoted here, so check the current plan table before you commit.
02How many tasks does a LimbleCMMS Zap use?
One per action that succeeds, and nothing for the trigger. A Zap that watches new users and creates one task for each spends one task per new user. Add an instruction to that task and it spends two per run. Zapier checking for new items is free, however often it looks, and an action that fails is not billed. So the bill follows what Limble actually receives, not how busy the account is.
03Does LimbleCMMS work in real time with Zapier?
No. All three LimbleCMMS triggers are polling triggers: Zapier asks Limble for new items on a timer. That timer depends on your plan: every 15 minutes on Free, every 2 minutes on Professional, every minute on Team and Enterprise. On a paid plan you can also run a check by hand from the editor. The trigger type comes from the app itself and cannot be switched to instant from Zapier.
04What does it take to connect LimbleCMMS to Zapier?
A LimbleCMMS account, and access to what the Zap will touch. You add it from the Apps page with + Add connection, then sign in to Limble in the tab that opens and grant Zapier access. If the Zap writes to locations or assets that someone else owns, your account needs read or write rights on them first. Since most operations ask for a location, an account that sees none leaves the Zap with nothing to pick.
05Why does Create Instruction land in the wrong place?
Because of Parent Instruction, a required field that decides where the new line sits. It names the instruction this one goes under. Set it to 0 and the instruction sits at the top level of the task. Leave a value mapped by mistake and the line ends up nested under another one. When you build a checklist from scratch, start every first-level line with 0 and only nest when you mean to.
06What if the LimbleCMMS operation you want is not there?
Then this integration cannot do it, and there is no hidden setting to unlock it. On Zapier, LimbleCMMS offers three triggers and three actions, and no search step. Closing a task, deleting one or reacting to a task change are not on the list. In that case, look at how other automation platforms handle LimbleCMMS before building a workaround, and weigh the effort against what the missing step is worth.
