Overview

What the LinkedPhone Zapier integration does for your phone line

The LinkedPhone Zapier integration connects your LinkedPhone business line to your other apps through Zapier, without code. A call ends, a call is missed, a voicemail or a text comes in: LinkedPhone tells Zapier at once, and Zapier passes it on. In the other direction, any app can make LinkedPhone send a text for you.

Three results come back most often. First, no missed call left unanswered: Missed Call paired with Send a Message. texts the caller back from your number, so they know you saw it. Second, a call log you did not have to type: Call Ended writes each finished call into your CRM or a sheet, while New Contact Call singles out callers who are not yet in your contacts. Third, messages where your team reads them: New SMS/MMS Received and New Voicemail push incoming texts and voicemails into a shared channel, so one person's phone is no longer the only inbox.

What it does not do. There is no search, so a Zap cannot look up a past call or a contact in LinkedPhone before acting. There is only one action: LinkedPhone can send a text, but a Zap cannot place a call, add a contact or change anything else in the account. And a text has a ceiling of 700 characters.

Vocabulary

Zapier vocabulary in one minute

Seven terms carry the whole page. Each one is explained here once, then used as is.

Zap
The automation you build in Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap, such as a missed call. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you, like a text.
Task
The unit Zapier bills: one action your Zap completes successfully. The allowance on your plan is a count of those.
Instant vs polling
An instant trigger is reported by the app the moment it happens. A polling trigger is checked by Zapier on a timer instead.
Filter
A step that lets the Zap carry on only when the incoming data meets a condition you set, and stops it otherwise.
Connection
Your LinkedPhone account linked to Zapier one time, then reused by every LinkedPhone step of every Zap you build.
Cost

What a LinkedPhone Zap really costs

LinkedPhone is not a premium app, so it works from the free plan. The bill is counted in tasks, and only actions that succeed count.

  • Free plan100 tasks a month, unlimited Zaps
  • Free plan stepsOne trigger and one action
  • Premium appNo, works on the free plan
  • Trigger typeInstant, all six of them

A call, a voicemail or a text that starts the Zap costs nothing. Each successful action afterwards is one task: texting back a missed caller is one task per missed call, and logging the call in your CRM too makes two. A failed action is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but only two steps per Zap; a filter or a second action needs a paid plan. The interval grid below is for polling triggers only: all six LinkedPhone triggers are instant, so it never applies to them.

Connect

Connect your LinkedPhone account in three steps

  1. 01

    Open your connections

In Zapier, go to the Apps page of your account and click + Add connection. You need a LinkedPhone account, plus read or write access to anything you do not own yourself and want a Zap to touch.

  2. 02

    Pick LinkedPhone

Search LinkedPhone by name in the dialog, select it, then click Add connection. A new tab opens on the LinkedPhone side, and that is where you sign in.

  3. 03

    Sign in and grant access

Sign in to LinkedPhone in that tab and grant Zapier access to the account. The connection is saved once, then offered in a list by every LinkedPhone step you add later.

First Zap

Your first Zap: text back every missed call

GoalEach call you miss on LinkedPhone gets an automatic text from your number, and the call is noted in your CRM so nobody forgets to follow up.

  1. 01

    Create the Zap

Start a new Zap in Zapier. It is built top to bottom: the app and event that start it first, then each action in the order it should run.

  2. 02

    Set the trigger

Pick LinkedPhone, choose Missed Call, and select your connection. Run the test: Zapier brings back the three most recent missed calls so you work with a real one.

  3. 03

    Add the text

Add LinkedPhone again with Send a Message., fill the receiver's number from what the trigger brought back, and write the text, keeping it under 700 characters.

  4. 04

    Add the CRM note

Add your CRM with an action that adds a note, and map in the call details the trigger test returned. This second action makes the Zap multi-step, so it needs a paid plan.

  5. 05

    Test and publish

Test each step and read what came back, then publish the Zap. Calls missed before publishing are not picked up; only the next ones are.

Triggers

LinkedPhone triggers: what can start a Zap

6 events start a Zap when something happens in LinkedPhone, and 6 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Call Ended

Instant trigger

In Zapier“Triggers when a call has been ended.”

Starts the Zap each time a call on your LinkedPhone line is over, whoever hung up. It is the broadest call trigger: every finished conversation passes through it, known caller or not.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you want a complete call log in a spreadsheet or a CRM without typing a single line after each call.
Watch out
on a busy line, every call becomes a run of the Zap, so the task count follows your call volume.
2

New SMS/MMS Received

Instant trigger

In Zapier“Triggers when there is a new SMS/MMS received.”

Fires whenever a text or a picture message arrives on your LinkedPhone number. The message comes through to the next steps, ready to be forwarded or stored.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
customers text your business number and the whole team should see those messages in a shared channel.
Watch out
picture messages come through this same trigger as plain texts, so a Zap built for text only should be tested on both.
3

Missed Call

Instant trigger

In Zapier“Triggers when there is a new missed call.”

Reacts to a call nobody picked up. Of the six triggers, this is the one that turns a lost moment into a follow-up, because it hands the call to a step that can answer it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you are often on site or in meetings, and callers should hear from you instead of waiting for a callback.
Watch out
a voicemail left after a missed call is a separate event, caught by New Voicemail.
4

New Contact Call

Instant trigger

In Zapier“Triggers at the end of a call from someone not in your LinkedPhone contacts list.”

Goes off at the end of a call from a number that is not in your LinkedPhone contacts list. In practice, it isolates first-time callers from the people you already know.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
every new caller should become a lead in your CRM, while regular contacts are left alone.
Watch out
it fires once the call has ended, not when the phone starts ringing.
5

New SMS Sent

Instant trigger

In Zapier“Triggers when there is a new SMS sent.”

Triggers on each text that leaves your LinkedPhone number. It covers what you send yourself, which makes it the outgoing twin of New SMS/MMS Received.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you want a record of outgoing texts next to the customer's file, so the conversation history is complete.
Watch out
paired with Send a Message. in the same Zap, each text it sends sets the Zap off again, and the tasks burn in a loop.
6

New Voicemail

Instant trigger

In Zapier“Triggers when there is a new incoming voicemail.”

Picks up each incoming voicemail that lands on your line. It is the trigger to use when a message waiting on one phone needs to reach someone else.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
the person who handles callbacks is not the person who owns the phone.
Watch out
a missed call without a voicemail never reaches this trigger; Missed Call covers that case.
Actions

The LinkedPhone action

LinkedPhone gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Send a Message.

Action

In Zapier“Send a message from your LinkedPhone.”

Sends a text from your LinkedPhone number to the number you give it. Both the receiver's number and the message are required.

When to use it
a confirmation, a reminder or a reply should go out by text when something happens in another app.
Watch out
the message stops at 700 characters, so a long text built from mapped fields can fail.
When it breaks

When a LinkedPhone Zap breaks

Zapier attaches no help article to LinkedPhone and lists no limit of its own beyond the length of a text. The rest is what breaks on any Zap.

  • Texts that loop forever

New SMS Sent and Send a Message. in the same Zap make a loop: every text the Zap sends starts it again, and the task count drains fast.
  • Messages that are too long

Send a Message. caps the message at 700 characters. A text assembled from long mapped fields can go over and stop the step.
  • Past calls are not picked up

A Zap only reacts to what happens after it is switched on. Calls and texts from before stay out; moving that history is a separate job.
  • A sudden flood is held back

When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold those items back.

FAQ

LinkedPhone Zapier integration: frequent questions

01Is the LinkedPhone Zapier integration free?
Yes. LinkedPhone is not a premium app, so it runs on the free plan. That plan gives 100 tasks a month and unlimited Zaps, each limited to two steps: one trigger and one action. Texting back a missed caller fits. Adding a CRM note on top, or a filter to text only some callers, makes the Zap multi-step, which needs a paid plan. No price is quoted here, because plan grids change too often to stay accurate.
02How many tasks does a LinkedPhone Zap use?
One task per action that completes successfully. The call, voicemail or text that starts the Zap is free. A Zap that texts back each missed caller uses one task per missed call; if it also logs a note in your CRM, that is two. A failed action is not counted. On a line with many calls, a Zap built on Call Ended runs for every single call, so check your volume before you pick that trigger.
03Does LinkedPhone send calls and texts to Zapier in real time?
Yes. All six LinkedPhone triggers are instant: LinkedPhone tells Zapier the moment a call ends, a call is missed, a voicemail lands or a text is sent or received, and the Zap starts right away, whatever your plan. No polling interval applies to them. In the editor, a Zap built on an instant trigger shows a lightning bolt. The app decides this, so it cannot be changed from Zapier. Test it once with a real call.
04What do you need to connect LinkedPhone to Zapier?
A LinkedPhone account, and read or write access to anything you do not own yourself that a Zap should touch. The connection is made from the Apps page of Zapier with + Add connection: search LinkedPhone, sign in to it in the tab that opens, and grant Zapier access. It is done once; every LinkedPhone step of every Zap then picks it from a list, so there is nothing to repeat.
05Why does a LinkedPhone Zap keep sending texts?
Because it is probably watching the very thing it writes. A Zap that starts on New SMS Sent and ends with Send a Message. sees its own text as a new sent message, starts again, and sends another, in a loop that burns tasks. The fix is to keep those two apart: start from a different trigger, or add a filter that lets through only texts the Zap did not send itself.
06What if the LinkedPhone operation you need is not on Zapier?
Then this integration cannot do it. LinkedPhone on Zapier offers six triggers for calls, voicemails and texts, and a single action that sends a text. There is no search, nothing to place a call, add a contact or change account settings. In that case, the options are another automation platform or a different design of the workflow, with LinkedPhone used only for what it does expose. Check the list in the editor before you plan a larger flow.
07Zapier, Make or n8n for LinkedPhone?
It depends on your criteria, not on a ranking. Zapier's strong point here is six instant triggers ready without code, and a free plan that covers a two-step Zap like a missed-call text. The trade-off is per-task billing, which follows your call and text volume, and the two-step ceiling of the free plan. Compare the platforms on how they bill high volumes and on which LinkedPhone operations each one offers.
