Overview

What the LinktoDM Zapier integration does for you

The LinktoDM Zapier integration connects LinktoDM, the tool that answers Instagram and Facebook comments and DMs for you and collects leads along the way, to the rest of your apps. It works through a Zap: an automation on Zapier made of one trigger, then one or more actions that run every time that trigger event happens.

A mailing list fed by your DMs. When a conversation captures an email address, New or Updated Email hands it to your email tool, and the lead joins your list without anyone copying it from Instagram. A DM sent when something happens elsewhere. An event in another app starts the Zap, Find Contact picks out the right person, and Send Direct Message writes to them in the thread you already share. A handoff exactly where the flow says so. Send to Zapier Event fires at the precise point of a LinktoDM flow where you placed it, so the rest of the job happens wherever you need it.

Now the limits. Zapier cannot create a LinktoDM contact: a contact only exists once someone has messaged your Instagram account or Facebook page. It cannot delete one either, and it has no say over the flows themselves. Zapier also marks the app as beta, so the list of operations may still change. If you are weighing tools for DM automation, the Make vs Zapier comparison is worth a read; LinktoDM has no dedicated n8n or Make page here yet.

Vocabulary

Zapier vocabulary in one minute

Eight words come back on every line of this page. Here they are in plain English, once.

Zap
The automation you build: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event and nothing else.
Action
What the Zap does after it starts: the step that writes, sends or moves something on your behalf.
Task
The unit Zapier bills. One task equals one action your Zap completes successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked on a timer for new items. An instant one is reported by the app the moment it happens.
Filter
A step that lets the Zap continue only when the incoming data meets your condition, and stops it otherwise.
Search step
A step that looks up something already stored in an app, so the steps after it can reuse what it found.
Connection
Your app account linked to Zapier once, then reused by every step of every Zap that touches that app.
Cost

What a LinktoDM Zap really costs

LinktoDM is not a premium app, so it runs on the free plan. You pay in tasks, and none of the seven triggers costs a thing.

  • Free plan100 tasks a month, unlimited Zaps, two steps per Zap
  • TriggersSeven, all instant, none of them billed
  • ActionsOne task per action that succeeds
  • Search or filterMakes the Zap multi-step, so a paid plan

Each action that succeeds counts one task: a DM sent, a tag added, a contact updated. A step that fails counts nothing. The free plan gives you 100 tasks a month and Zaps of two steps, one trigger and one action. Find Contact or a filter turns the Zap into a multi-step Zap, which needs a paid plan. The interval grid below is the general Zapier rule for polling triggers; it does not apply to LinktoDM, whose triggers are all instant.

Connect

Connect your LinktoDM account in three steps

  1. 01

    Open your connections

In your Zapier account, go to the Apps page and click + Add connection. You need a LinktoDM account first, plus access to anything you do not own and want the Zap to touch.

  2. 02

    Pick LinktoDM

Type LinktoDM in the search box of the dialog, select it in the results, then click Add connection. A new browser tab opens on the LinktoDM side for the sign-in.

  3. 03

    Sign in and allow access

Log in to LinktoDM in that tab and grant Zapier access to the account. The connection is then offered in every step that uses LinktoDM, in this Zap and the next ones.

First Zap

Your first Zap: DM leads into your email list

GoalEach email address captured in a LinktoDM conversation lands in your email tool, but only when it passes the rule you set in a filter.

  1. 01

    Set the trigger

Create a new Zap, pick LinktoDM and New or Updated Email. Test it: Zapier brings back the three most recent contacts with an email, so you map on a real one.

  2. 02

    Add a filter

Click the plus icon, add a Filter and set its three boxes: the field to look at, the rule, the value to compare. This makes the Zap multi-step, so it needs a paid plan.

  3. 03

    Add your email tool

Pick your email tool as the action app and its add-subscriber event. Map the email from the LinktoDM test result into the matching field, plus any name it carried.

  4. 04

    Test, then publish

Run the action once and check that the subscriber shows up. If it looks right, click Publish; the lightning bolt in the editor confirms the trigger is instant.

Triggers

The seven LinktoDM triggers

7 events start a Zap when something happens in LinktoDM, and 7 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New or Updated Custom Field

Instant trigger

In Zapier“Triggers when a custom field value is set or changed on a contact.”

Starts your Zap when a custom field on a LinktoDM contact gets a value, or when that value changes. Whatever your flow stored in that field travels to the next steps.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a question asked in the DM flow should update a record somewhere else as soon as the person answers.
Watch out
a change counts too, so a contact who corrects an answer starts the Zap a second time.
2

New or Updated Email

Instant trigger

In Zapier“Triggers when a contact's email address is captured or changed.”

Fires as soon as a contact's email address is captured in a conversation, and again if that address is changed later. It is the shortest road from a DM to an email list.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your DM flow asks for an email address, and that address belongs in your email tool rather than in an inbox.
Watch out
an updated address runs the Zap again, so check that your email tool handles a contact it already knows.
3

New Contact

Instant trigger

In Zapier“Triggers when someone messages your Instagram account or Facebook page for the first time.”

Kicks off the Zap the first time someone writes to your Instagram account or Facebook page. That first message is the moment LinktoDM creates the contact, which makes this the earliest signal you can catch.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you want a running log of every new person who reaches out, in a sheet or a CRM, before any qualification.
Watch out
a returning contact does not fire it again; only the very first message counts.
4

New or Updated Phone Number

Instant trigger

In Zapier“Triggers when a contact's phone number is captured or changed.”

Runs when a contact's phone number is captured, or when a number already on file changes. The number, with the rest of the contact, is ready for the next step to use.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
the number given in a DM should land in the spreadsheet your team works from, next to the rest of the contact.
Watch out
a number that changes later starts the Zap again for the same contact, so plan the next step for someone it has already seen.
5

Send to Zapier Event

Instant trigger

In Zapier“Triggers when a flow reaches a "Send to Zapier" action with this event name.”

Unlike the others, this trigger does not wait for a contact change: it fires when a LinktoDM flow reaches a Send to Zapier action carrying the event name you chose. You decide in the flow where Zapier takes over.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
only one branch of a flow should start a job elsewhere, and the contact changes alone cannot tell you which branch.
Watch out
the Zap only hears flows that reach Send to Zapier with the event name typed in it, so use the same name on both sides.
6

New Tagged Contact

Instant trigger

In Zapier“Triggers when a tag is added to a contact.”

Goes off each time a tag lands on a contact. Tags become switches: add one and the Zap does its work.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your flows already sort contacts with tags, and each tag should launch its own follow-up.
Watch out
paired with Add Tag to Contact in the same Zap, it can set itself off again and again.
7

Contact Tag Removed

Instant trigger

In Zapier“Triggers when a tag is removed from a contact.”

The mirror image of the previous one: the Zap starts when a tag comes off a contact. If your flows take a tag away to close a stage, this is how Zapier hears about it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a contact leaves a sequence or a waiting list, and a row elsewhere should be closed or updated to match.
Watch out
Remove Tag From Contact in the same Zap would feed it right back.
Actions

The four LinktoDM actions

LinktoDM gives you 4 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Tag to Contact

Action

In Zapier“Adds one or more tags to a contact.”

Puts one or more tags on a contact. You can pick tags that already exist or type new ones on the spot.

When to use it
something that happened outside Instagram should change how your LinktoDM flows treat the person next.
Watch out
the Tags field takes new names as well as existing ones, so pick from the list whenever you mean a tag your flows already use.
2

Remove Tag From Contact

Action

In Zapier“Removes one or more tags from a contact.”

Takes one or several tags off a contact, with the Contact and the Tags both required.

When to use it
an event in another app means a tag no longer fits the contact and should come off.
Watch out
if a Zap starts on Contact Tag Removed, this action can wake it again.
3

Send Direct Message

Action

In Zapier“Sends a direct message to a contact on Instagram or Facebook.”

Writes to a contact in their Instagram or Facebook inbox, with the text you compose from the earlier steps.

When to use it
something that happened in another app deserves a reply in the thread where the conversation started.
Watch out
keep the text under 1000 characters. The Contact is usually mapped straight from the trigger.
4

Update Contact

Action

In Zapier“Updates a contact's email, phone number or custom field values.”

Changes what LinktoDM knows about someone: their email, their phone number or the value of a custom field.

When to use it
an email corrected in another app should be the same on the DM side.
Watch out
only the Contact is required, so map just the fields you actually mean to change.
Searches

The LinktoDM search

1 search step looks for data that already exists in LinktoDM, so a later step can use it.

A search step finds a contact that already exists so the next actions know who to work on. In the editor, it sits at the bottom of the action list, under the SEARCH heading. Adding one makes the Zap multi-step.

1

Find Contact

Search

In Zapier“Finds a contact by name, username, email or phone number. Contacts are created when someone messages you — they cannot be created through Zapier.”

Looks up a LinktoDM contact by name, username, email or phone number, without caring about upper or lower case.

When to use it
your trigger comes from another app, and you need the matching contact before sending a DM or adding a tag.
Watch out
a person who never messaged you cannot be found, and cannot be created here either.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nobody stops the Zap and skips the steps that relied on it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create. LinktoDM offers no such variant: contacts are created only when someone messages you, never from Zapier.
  3. If multiple search results are found?
Three ways out when several contacts match: keep the first, which is the default, stop the Zap, or pass all of them on at once.
When it breaks

When a LinktoDM Zap breaks

Zapier attaches no help article to LinktoDM, so the cases below are the general limits that hit any Zap built on it.

None of them throws an error on day one. They show up later as a lead that never arrived or a task counter climbing too fast. When a run looks wrong, start with the Zapier troubleshooting page.

  • Past conversations stay behind

A Zap only reacts to what happens after you switch it on. Contacts and emails captured before that are never picked up; moving them is a separate job.
  • A tag Zap that loops

New Tagged Contact plus Add Tag to Contact on the same contact, or the removal pair, sets the Zap off again and again and burns your tasks.
  • A sudden wave held back

If a huge batch of contacts arrives at once, after a bulk import for example, Zapier's flood protection can hold the batch back instead of running everything.
  • A change counts as a new event

The email, phone and custom field triggers fire on a first capture and again when the value changes. Make sure the next step copes with a contact it has already received.

FAQ

LinktoDM and Zapier: the common questions

01Is the LinktoDM Zapier integration free?
Yes, as long as each Zap stays at two steps. LinktoDM is not a premium app, so the free plan accepts it, with 100 tasks a month and as many Zaps as you want. Each Zap on that plan holds one trigger and one action. Add Find Contact, a filter or a second action and the Zap becomes multi-step, which requires a paid plan. The triggers never use any of the 100 tasks; only actions that succeed do.
02How many tasks does a LinktoDM Zap use?
One per action that goes through, nothing for the trigger. A Zap that sends a DM each time a tag is added spends one task per message delivered. A Zap that adds a tag and then sends a DM spends two tasks per lead. A failed step is not billed. Keep in mind that the email, phone and custom field triggers also fire on a change, and every run that reaches an action is billed again.
03Do LinktoDM triggers react straight away?
Yes. All seven LinktoDM triggers are instant: LinktoDM tells Zapier the moment the event happens, and the Zap starts right away whatever your plan. The interval grid that slows polling triggers on the free plan does not apply here. In the editor, a lightning bolt on the Zap confirms it. That type is decided on LinktoDM's side, so there is no setting to change and nothing to tune. Your free-plan Zaps get the same speed as paid ones.
04What does it take to connect LinktoDM to Zapier?
A LinktoDM account you can sign in to, and access to any data you do not own but want a Zap to use. From the Apps page of Zapier you click + Add connection, search LinktoDM, confirm with Add connection, then log in to LinktoDM in the new tab and grant access. The connection is stored once and offered again in every later Zap step that uses LinktoDM. Nothing else is asked on the Zapier side.
05Can Zapier create a LinktoDM contact?
No. A LinktoDM contact only exists once that person has messaged your Instagram account or Facebook page, and Zapier has no action to create one. Every action asks for a Contact, so a Zap that starts in another app has to use Find Contact first, matching on name, username, email or phone number. If the person never wrote to you, the search finds nothing and the DM cannot be sent.
06What if the LinktoDM operation for the job is missing?
Then Zapier cannot do it for this app today. LinktoDM exposes seven triggers, four actions and one search: no contact creation, no deletion, no control over the flows themselves. Part of the gap can be closed inside LinktoDM, for example with a Send to Zapier action placed at the right point of a flow. Since Zapier marks the app as beta, the list may also grow. If the missing step is central, compare other automation tools before building workarounds.
07Zapier, Make or n8n for LinktoDM?
It depends on the criterion that matters most to you. On Zapier, LinktoDM brings seven instant triggers and four actions that a newcomer can set up from the editor, and the free plan covers a two-step Zap. If you need operations missing here, check what each other tool exposes for this app. Price, the number of steps per scenario and who will maintain the automation are the other criteria to compare.
