What the Liteo Zapier integration lets you do

The Liteo Zapier integration connects Liteo, a small CRM where contacts, deals, tasks and follow-ups live together, to the rest of your tools. It works both ways: Liteo events can start a Zap, and a Zap can create or update records in Liteo. Zapier lists the integration as beta.

Three results that show the range. A pipeline that assigns its own next step: when a deal reaches a new stage, Deal Stage Changed starts a Zap that runs Create Task, so nobody forgets what comes after the stage move. A contact base fed from outside: a form or a sign-up in another tool goes through Create or Update Contact, which looks the person up by email and either refreshes the record or creates it. A daily nudge that does not depend on memory: Task Due and Task Overdue pick up tasks that are due or late in the timezone you choose, and push them to your chat or inbox.

What Zapier does not do here matters as much. None of the 14 triggers is instant: Zapier checks Liteo at an interval set by your plan, so nothing is immediate on the free plan. There is a single search, Find Contact, which only looks contacts up by email; businesses, deals and tasks cannot be searched as a separate step. And there is no delete action at all, so cleaning up records stays a job inside Liteo.

    In your Zapier account, go to Apps and click + Add connection. You need a Liteo account, plus read or write access to any record you do not own yourself and want the Zap to touch.

    Type Liteo in the search box of the dialog, pick it from the results, then click Add connection. Zapier opens a new tab, where the last part of the setup happens.

Liteo search on Zapier

1 search step looks for data that already exists in Liteo, so a later step can use it.

Liteo offers one search step. It sits at the bottom of the action-event list, under the SEARCH heading of Action event, and some action fields also offer + Add search step to insert it right before the current step.

Three settings decide what happens next. Successful if no search results are found? left on its default stops the Zap when no contact matches, and the steps that depended on it are skipped; switched on, the Zap carries on empty-handed. If multiple search results are found? keeps the first match by default, or can stop the Zap, or hand all matches on. The third, Create X if it doesn't exist yet?, is not offered here: Liteo exposes no find-or-create variant of Find Contact, and Create or Update Contact covers that need as an action.

Find Contact

Search

In Zapier“Finds a contact by email address.”

Looks up an existing Liteo contact from an email address, the one required field, and hands the record to the steps that follow.

When to use it
right before Update Contact or Add Tag to Contact, when the trigger only gives you an email.
Watch out
it makes the Zap multi-step, so it needs a paid plan.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nobody stops the Zap there, and the steps that depend on it are skipped. Switched on, the Zap carries on without a contact.
  2. Create X if it doesn't exist yet?
    This box turns a search into a find-or-create. Liteo exposes no such variant for Find Contact; the action Create or Update Contact covers that need instead.
  3. If multiple search results are found?
    Three ways out when several contacts match: keep the first one, which is the default, stop the Zap, or hand all of them on to the next steps.
When it breaks

When a Liteo Zap breaks

Zapier ties no help article to Liteo and lists no rate limit for it. What breaks comes from the general rules of Zaps, plus the required fields of a few operations.

  • Records from before never show up

    A Zap only reacts to what happens after you switch it on. Contacts, deals or tasks that existed before stay out, and moving that backlog is a separate job.
  • A Zap that keeps setting itself off

    Updated Contact followed by Update Contact on the same people, or New Task followed by Create Task: the Zap writes where its trigger watches and burns through tasks.
  • A bulk import is held back

    After an import or a migration into Liteo, a trigger can suddenly return a huge batch. Zapier's flood protection may then hold the runs back instead of firing them all.
  • The same record does not fire twice

    On a polling trigger, Zapier remembers what it has already seen. The same record does not start the Zap twice, even if it still shows up on the next check.
  • Due tasks show up on the wrong day

    Task Due, Task Overdue and Deal Follow-Up Due count the day from midnight in the timezone you set. A wrong zone shifts every reminder.
  • Create Custom Field is refused

    This action needs a connection owned by a Liteo admin. On a regular user's connection, the step fails and no field is created.

01Is the Liteo Zapier integration free?
Yes, within the free plan's limits. Liteo is not a premium app, so all 14 triggers, 11 actions and the search are available without paying Zapier. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger and one action. Adding Find Contact, a filter or a second action makes it a multi-step Zap, which needs a paid plan. Your Liteo account itself is handled on Liteo's side.
02How many tasks does a Liteo Zap use?
One task per action that succeeds, nothing for the trigger. Zapier can check Liteo for new or updated records as often as your plan allows without counting anything. Then each Liteo action that completes, Create Task or Update Deal for instance, uses one task. A Zap with three actions uses three per run, and a failed action is not counted. Watch the Updated triggers: they fire on every edit, so they can use far more tasks than the New ones.
03Is the Liteo Zapier integration real time?
No. All 14 Liteo triggers are polling triggers: Zapier goes to Liteo at a fixed interval and keeps only what it has not seen yet. On the free plan that check happens every 15 minutes, on Professional every 2 minutes, on Team and Enterprise every minute. On paid plans you can also run a check by hand from the editor. The type is decided by Liteo and cannot be switched to instant from Zapier.
04What does connecting Liteo to Zapier require?
A Liteo account, and access to the records the Zap will read or change. On Zapier, open the Apps page, click + Add connection, search for Liteo, then click Add connection. A tab opens where you sign in to Liteo and grant Zapier access. One case needs more: Create Custom Field only works on a connection owned by a Liteo admin, so connect with an admin account if a Zap will create fields.
05Why do the Liteo due-date triggers fire on the wrong day?
Because of the Timezone field. Task Due, Task Overdue and Deal Follow-Up Due all require one, written as an IANA name such as Europe/London, and the day starts at midnight in that zone. If the zone differs from the one your team works in, a task can count as due or overdue earlier or later than expected. Set the timezone your deadlines were planned in, then retest the trigger. The rule is shared by all three triggers, so one wrong zone shifts every reminder they send.
06What if the Liteo operation you need is not there?
Then Zapier cannot do it for Liteo as things stand. The integration covers creating and updating contacts, businesses, deals and tasks, tagging contacts and adding custom fields, with one search by contact email. There is no delete action and no search for businesses, deals or tasks. Anything outside that list stays a manual step in Liteo, or needs a different route than this integration. Check the editor list before you plan a Zap around it.
07Zapier, Make or n8n for Liteo?
It depends on the criterion, not on a winner. On Zapier, Liteo comes with 26 ready-made operations, enough to cover contacts, deals and tasks without building anything yourself. The trade-off is timing: every trigger is polling, so the speed depends on your Zapier plan. If you need instant reactions or richer searches, check first whether the other platform you are considering supports Liteo at all, then compare on budget and steps per run.
