What the LiteTracker Zapier integration actually does

The LiteTracker Zapier integration links your LiteTracker account to Zapier, a service that runs automations between apps without code. Zapier can read your project list and create stories for you. That is the whole menu: one trigger, one action, both usable on the free plan, since LiteTracker is not a premium app.

A story for every new row. Each row added to your spreadsheet becomes a story in the project you pick, through Create Story. Nobody copies lines across by hand anymore, and nobody forgets one on a busy day either.

The right project, without picking it each time. Instead of fixing one project in the Project field, you map a project ID carried by an earlier step, so each story lands where it belongs.

Only the requests that matter. A form submission goes through a filter first, and only the ones that meet your condition end up as stories. The rest stop there and cost nothing.

What Zapier won't do here. There is no search, so a Zap can't find an existing story or check for a duplicate before creating one. Nothing edits, moves or closes a story either.     Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. You need a LiteTracker account already, plus access to any project you don't own but want the Zap to touch.

    Pick LiteTracker

    Type LiteTracker in the search box of the dialog, select it, then click Add connection. A new tab opens on the LiteTracker side to finish the link there.

    Sign in and grant access

    Sign in to LiteTracker in that tab and grant Zapier access to your account. The connection then sits on the Apps page, and every LiteTracker step you build reuses it.

First Zap

Your first Zap: a starter story for the projects you select

    Create the Zap and set the trigger

    Start a new Zap, choose LiteTracker as the app that starts it and List Projects as the event. Select your LiteTracker connection when Zapier asks for it.

    Test the trigger

    Run the test. Zapier brings back the three most recent projects of your account. Check that a project you just created is among them: this trigger was built to feed a dropdown, so only the test tells you.

    Add the filter

    Click the plus icon, add Filter, then fill its three boxes: the field to look at, the rule, the value to compare with. A text rule only works on text. This step makes the Zap multi-step, so it needs a paid plan.

    Add Create Story

    Add LiteTracker again as the action, with Create Story as the event. In Project, map the project ID that List Projects returned rather than picking a fixed one from the list.

    Test, then publish

    Test the action, then open LiteTracker and look for the story. If it landed in the right project, click Publish to switch the Zap on.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
only once a trigger test shows it brings back the projects you expect, and you have a reason to start a Zap from your project list.
Watch out
nothing in its description promises it reacts to new projects, so don't build a "new project" alert on it and trust it untested.

  • Older projects never show up

    The Zap only reacts to what happens after you switch it on. Projects that already existed stay invisible to List Projects; moving that backlog is a separate job.
  • The Zap keeps setting itself off

    A Zap that writes into the very place its own trigger watches starts itself again and again, and your task count drains fast. Keep the action away from what the trigger reads.
  • A bulk import gets held back

    When a trigger suddenly returns a huge batch, after a migration or a mass import, Zapier's flood protection can hold those items back instead of running them all.
  • One project, one run

    Zapier remembers what List Projects has already returned, so the same project never starts the Zap twice, even though it still shows up on every later check.

01Is the LiteTracker Zapier integration free?
Yes, it works on Zapier's free plan, because LiteTracker is not a premium app. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger and one action. List Projects followed by Create Story fits exactly. The moment you add a filter or a second action, the Zap becomes multi-step and needs a paid plan. You won't find prices on this page on purpose: Zapier's grids change too often to be worth printing.
02How many tasks does a LiteTracker Zap use?
One per story created successfully. The trigger costs nothing, and Zapier checking your project list costs nothing either, however often it looks. Create Story is billed only when it goes through: a creation that fails is not counted. If your Zap also sends a notification through another tool after the story is created, that second action counts too, so the same run then uses two tasks. Check your count after publishing, since a few apps and actions take more than one task when they complete.
03Is LiteTracker on Zapier real time?
No. Its only trigger, List Projects, works by polling: Zapier goes and looks at regular intervals, and how often depends on your plan. That means every 15 minutes on Free, every 2 minutes on Professional, every minute on Team and Enterprise. On paid plans you can change that interval and also run a check by hand from the editor. Anything that changes can therefore wait until the next check before the Zap sees it. LiteTracker has no instant trigger on Zapier.
04What does it take to connect LiteTracker to Zapier?
A LiteTracker account, a Zapier account, and access to the projects you want the Zap to touch if you don't own them. You connect from the Apps page in Zapier: add a connection, pick LiteTracker, sign in in the tab that opens and grant Zapier access. You do it once. After that, every LiteTracker step in every Zap reuses the same connection, so connect the account that can actually reach the projects you plan to fill.
05Why does Create Story insist on a project?
Because Project is a required field: the action can't run without one. You can pick a project from the list, which only shows what the connected account can see, or map a project ID from an earlier step. That second option is what makes a dynamic Zap work, for example when a spreadsheet row carries the ID of the project it belongs to. If the list looks empty, the account you connected is the first thing to check.
06What if the LiteTracker operation you need isn't there?
Then Zapier can't do it for LiteTracker today. The integration offers List Projects and Create Story, and nothing else: no search, no step that edits or closes a story. Write down the exact operation you are missing, then check whether another automation tool covers it, and test it on a throwaway project before trusting it. If nothing covers it, the honest answer is that this part stays manual for now, and the Zap handles only the creation side.
