What the Twilio Zapier integration actually does

Twilio is a developer service for sending and receiving texts and phone calls, and on Zapier it handles WhatsApp messages too. Plugging it into Zapier means those messages can start automations in your other apps, and your other apps can send texts or place calls without anyone dialing.

Three outcomes cover most setups. Alerts that reach a phone: a new order, a booking or a failed payment in another tool fires Send SMS or Send WhatsApp Message to a customer or to your on-call person. Inbound messages that land in your tools: New SMS and New WhatsApp Message copy each reply into your CRM, help desk or a spreadsheet. Calls that leave a trace: New Call, New Recording and New Transcription log every conversation where your team can find it.

The detail that changes everything: out of six triggers, New Call is the only instant one. It reacts the moment a call ends, even on the free plan, while the other five wait for Zapier's next check.

Zap

The trigger never costs a task, and neither does Zapier checking Twilio for new texts, however often it looks. Every action that works counts as one task, and in a Zap with two actions each one counts on its own. An action that fails is not billed. Twilio is not a premium app, so it runs on the free plan: 100 tasks a month and unlimited Zaps, limited to two steps, one trigger and one action. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan.

    Open your connections

    In Zapier, open the Apps page of your account and click + Add connection. You need a Twilio account, and at least one phone number in it if you plan to send or watch messages.

    Pick Twilio

    Type Twilio in the search box of the dialog, select it, then click Add connection. A new tab opens where you sign in to the Twilio account the Zaps should use.

    Allow access

    Grant Zapier access to that account. The connection then appears in your list, and every Twilio step you add later, in any Zap, can reuse it, so this is done once.

    Create the Zap

    In the editor, pick Twilio as the app that starts things and New Call as the event, then select your Twilio connection. Look for the lightning bolt: it marks an instant trigger.

    Test the trigger

    Run the test: Zapier pulls the three most recent calls of your account. Pick a real one and read what came back: the next step can only use the details the test actually shows.

    Add the text

    Add Twilio again and choose Send SMS. Set your Twilio number as the From Number, take the recipient from the call details the test brought back, if the caller's number is among them, and write the message.

When it breaks

When a Twilio Zap breaks

Twilio Zaps tend to fail in the same few places. Knowing them saves you from customers who never got their text.

  • Old messages never come through

    A Zap only reacts to what happens after you switch it on. Texts and calls from last week stay in Twilio, and moving that history is a separate job.
  • The Zap texts itself in a loop

    A Zap that sends an SMS to the very number its New SMS trigger watches sets itself off again and again, and drains your task count fast.
  • A burst of messages gets held back

    When a trigger suddenly returns a huge batch, after a bulk import for example, Zapier's flood protection can hold it back.
  • Long texts arrive cut short

    Send SMS stops at 160 characters unless you allow large messages. Turn that option on and the limit rises to 1600, billed by Twilio as several texts.

Twilio Zapier integration: common questions

01Is the Twilio Zapier integration free?
On the Zapier side, yes: Twilio is not a premium app, so it works on the free plan. That plan gives you 100 tasks a month and unlimited Zaps, but each Zap is limited to two steps, one trigger and one action. As soon as you add a filter or a second action, you need a paid Zapier plan. On the Twilio side, the option for long texts is priced as several messages, a reminder that Twilio bills its messages itself, apart from Zapier.
02How many Zapier tasks does a Twilio Zap use?
One task for each action that succeeds, nothing for the trigger. Zapier checking Twilio for new texts or recordings costs nothing, however often it looks. A Zap that sends an SMS after every call uses one task per call. If the same Zap also sends a WhatsApp message, that is two tasks per call. A message that fails to send is not counted. Watch out for the loop case, a Zap that texts the number it watches, which burns tasks fast.
03Does Twilio trigger Zaps in real time?
Only one trigger does. New Call is instant: Twilio tells Zapier the moment a call ends, and the Zap runs straight away on any plan. The five others, including New SMS and New WhatsApp Message, are polling triggers that Zapier checks on a timer: every 15 minutes on the free plan, every 2 minutes on Professional, every minute on Team and Enterprise. If speed on incoming texts matters, that interval is the number to plan around.
04What does it take to connect Twilio to Zapier?
A Twilio account, a Zapier account and, in practice, at least one phone number on Twilio. You open the Apps page in Zapier, click + Add connection, search for Twilio, sign in in the tab that opens and grant access. The number matters because the send actions require a From Number, and the message triggers ask which number to watch. Without one, those fields cannot be filled. And if a Zap should touch numbers you do not own yourself, your login needs access to them first.
05Why are long Twilio texts cut short?
Because Send SMS sends a single message by default, and a single message stops at 160 characters. The action has a Send Large Messages option: switch it on and Zapier can send up to 1600 characters. Twilio then prices that text as several messages, so a long confirmation can cost noticeably more on your Twilio bill. If the content is long by nature, keep the key information in the first lines either way.
06What if the Twilio action you need does not exist?
Try API Request (Beta). It is an advanced action that sends a raw request to Twilio using the connection you already have, so it reaches parts of Twilio that the three ready-made actions leave out. It only talks to Twilio's own domains, and you decide whether an error stops the Zap. It does expect you to be at ease with Twilio's developer documentation, which is a clear step above picking an action from a list.
