What the LiveChatAI Zapier integration does for your chatbot

The LiveChatAI Zapier integration connects your LiveChatAI chatbot to the rest of your tools through Zapier, a service that chains automations without code. It can start a Zap when one of your AI actions runs, feed the chatbot new content to learn from, and post into its conversations, from steps you set up once.

Three results stand out. A chatbot that keeps learning: Add Question and Answer as Data Source, Add Text as Data Source and Add Url as Data Source push a question and its answer, a titled text or a web page into the chatbot you pick, so new knowledge reaches it without a manual upload. Conversations you can act on: Send Message and Join Conversation work on a given chat, and Find Conversations reads one back for the steps that follow. Work that starts from the AI itself: Watch AI Action opens a Zap when the AI action you point it to is set off.

What Zapier does not do here also counts. There is a single trigger, so a Zap cannot start on a new conversation or a new message as such. Every conversation step needs a Chat ID or Conversation ID, which you read in the URL of the Chat Inbox section; nothing in the integration lists your chats for you.

Zap

Task

Adding a filter, a second action or the Find Conversations search makes it a multi-step Zap (anything beyond one trigger and one action), which needs a paid plan. The interval grid below applies to polling triggers only. It does not apply to Watch AI Action, which is instant on every plan.

    Open your connections

    In your Zapier account, open the Apps page and click + Add connection. You need a LiveChatAI account, plus read or write access on anything you do not own and want the Zap to touch.

    Pick LiveChatAI

    Type LiveChatAI in the search box of the dialog, select it, then click Add connection. A new tab opens on the LiveChatAI side so you can sign in with your usual account.

    Sign in and grant access

    Sign in to LiveChatAI in that tab and grant Zapier access to the account. Every LiveChatAI step you add to a Zap can then reuse this connection without asking again.

First Zap

Your first Zap: log the conversation behind an AI action

GoalWhen your chosen AI action fires in LiveChatAI, Zapier reads the conversation and adds it as a row in your spreadsheet.

    Create the Zap

    Start a new Zap in Zapier. You build it in order: the app and event that start it, then the steps that follow, then the fields you map between them.

    Set the trigger

    Choose LiveChatAI and Watch AI Action, select your connection, then fill ActionID, the one required field, to point the trigger at the AI action you want.

  3. 03

    Test it

    Test the trigger. Zapier brings back the three most recent items of the connected account, so you map the next steps from a real one rather than a guess.

    Add the search

    Add Find Conversations and fill Conversation ID. The search hands the conversation it finds to the next step. It also makes the Zap multi-step, so it needs a paid plan.

    Add the spreadsheet row

    Add your spreadsheet app with its row-creation action and map the conversation details you want into the columns. Run the step once and read what came back.

    Publish

    Click Publish to switch the Zap on. It reacts to AI actions from now on; anything that fired before stays out of the spreadsheet.

when something the chatbot does in a conversation should set off a step elsewhere, such as logging it or alerting a colleague.
Watch out
ActionID is required, so the AI action must exist in LiveChatAI before you build the Zap, or the trigger has nothing to watch.

When to use it

Watch out

When to use it
when a Zap should step into a specific chat that is already open, rather than start something new.
Watch out
it needs the chatbot, a Question and the Chat ID, all three required; without the Chat ID from the Chat Inbox URL, it has nowhere to go.

Find Conversations

Search

When to use it
between a trigger and an action, when the action needs what was said in a chat, for a log or a summary in another tool.
Watch out
Conversation ID is required and comes from the URL of the conversation in the Chat Inbox section; a search also makes the Zap multi-step.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and the steps that depended on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into a find-or-create. Find Conversations has no find-or-create variant on Zapier, so this does not come into play here.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When the LiveChatAI integration breaks

Zapier attaches no help article to LiveChatAI, and no rate limit specific to the app is published. What breaks is general Zapier behavior, and it hits this app like any other.

Four cases cover most surprises. If one of them stops a Zap and the cause is not obvious, see Zapier troubleshooting.

  • Nothing from before the Zap

    A Zap only reacts to AI actions that fire after you publish it. Earlier ones are not picked up, and moving that history is a separate job.
  • A Zap that feeds itself

    If Send Message writes into the chats that set off your AI action, the Zap can start itself again and again, and burn through your task count fast.
  • Flood protection on big batches

    If the trigger suddenly returns a huge batch, after a bulk import or a migration for instance, Zapier's flood protection can hold the Zap back.
  • Search that finds nothing

    With default settings, Find Conversations stops the Zap when the Conversation ID matches nothing, and the steps that relied on it are skipped.

01Is the LiveChatAI Zapier integration free?
Yes, for two-step Zaps. LiveChatAI is not a premium app, so it runs on the free Zapier plan, with 100 tasks a month and unlimited Zaps. A Zap made of Watch AI Action and one action fits that plan. Add the Find Conversations search, a filter or a second action, and the Zap becomes multi-step and needs a paid plan. Your LiveChatAI subscription is a separate question that Zapier pricing does not cover.
02How many tasks does a LiveChatAI Zap use?
One task per action that succeeds, and nothing for the trigger. A failed action is not counted. A Zap that adds every validated question and answer to your chatbot uses one task per pair, so 100 tasks cover 100 pairs on the free plan, if nothing else runs. Keep in mind that a few apps and actions take more than one task when they complete, so watch your count after the first runs.
03Does LiveChatAI trigger Zaps in real time?
Yes. Watch AI Action is an instant trigger: LiveChatAI tells Zapier the moment the AI action happens, and the Zap starts right away, whatever your plan. The polling interval grid, 15 minutes on Free, does not apply to it. In the editor, a Zap built on it shows a lightning bolt. That type is decided on the LiveChatAI side, so there is nothing to switch on in the editor to get it.
04What does it take to connect LiveChatAI to Zapier?
A LiveChatAI account you can sign in to, plus read or write access on anything you do not own and want the Zap to touch. The connection starts from the Apps page of your Zapier account with + Add connection: you pick LiveChatAI, sign in in the tab that opens and grant access. Before building, make sure the account has at least one chatbot, since most actions ask for one in List Chatbots.
05Where do you find the Chat ID for LiveChatAI steps?
In the URL of the conversation, in the Chat Inbox section of LiveChatAI. Send Message and Join Conversation require a Chat ID, and Find Conversations requires a Conversation ID read the same way. The integration has no step that lists your chats, so the ID either comes from an earlier step of the Zap or is copied from that URL. Without it, the step cannot run and the Zap stops there.
06What if the LiveChatAI operation you need does not exist?
It depends on what is missing. If it is something you want LiveChatAI to do, Make an API Call is the escape hatch: you give it a Method and a Url path such as /aibot/detail, and it sends that request with your existing connection. It is a job for someone who already knows what LiveChatAI accepts. If it is a new starting point, say a fresh conversation, no Zapier setting adds a trigger, so look at the same app on Make or n8n, which publish their own lists.
07Zapier, Make or n8n for LiveChatAI?
Choose by criteria, not by brand. If your main job is feeding the chatbot from another tool, a two-step Zap with one of the three data-source actions does it on the free plan. If your flow reads a conversation first, Find Conversations already makes it a paid, multi-step Zap, so compare how Make and n8n price the same chain. And if you need to start from something other than an AI action, Zapier has no trigger for it, which is a point in favor of checking the other two.
