Overview

What the Loyalty Gator Zapier integration does for you

It connects your Loyalty Gator account, a customer loyalty program, to Zapier, the tool that passes data between apps so nobody retypes it. Loyalty Gator only works on the receiving end here: it has no trigger on Zapier, so another app always starts the automation and Loyalty Gator writes down what happened.

Three results you can build. Transactions that log themselves: a sale recorded in another tool becomes a Create Transaction in the right campaign, so the program counts it without anyone keying it in. Members enrolled at the source: whoever signs up somewhere else turns into a Create Customer, already attached to a campaign. Profiles that stay current: when details change in your other tools, Update Customer carries the change over.

Now what Zapier does not do for Loyalty Gator. Nothing in Loyalty Gator can start a Zap: no new customer, no new transaction, no change is ever announced to Zapier. If you want the loyalty program to warn another app, Zapier cannot do it here. And there is no find-or-create variant: Find Customer looks, it never creates, so a missing customer has to be handled by your Zap's design.

Vocabulary

Zapier words, in plain English

Eight terms come back across this page. Here they are once, in ordinary words.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that event happens.
Trigger
The event that starts the Zap. Loyalty Gator has none, so it always comes from another app you connect.
Action
What the Zap does once started: the step that writes, sends or moves something for you, like creating a customer.
Task
The unit Zapier bills: one action your Zap completed successfully. Your plan counts those, and nothing else.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items at a fixed interval and keeping only unseen ones.
Instant trigger
A trigger the app reports itself, calling Zapier the moment the event happens, so nothing waits for a check.
Filter
A step that lets the Zap continue only when what arrived meets the condition you set, and stops it otherwise.
Search step
A step that looks up something already in an app, so later steps can use what it found. Find Customer is one.
Cost

What a Loyalty Gator Zap really costs

Zapier bills tasks, and only actions that go through are counted.

  • Each successful action1 task
  • Trigger of the starting app0 tasks
  • Free plan100 tasks a month, two-step Zaps
  • Premium appNo

Each Create Customer, Create Transaction or Update Customer that succeeds counts as one task; one that fails costs nothing. The trigger, from whichever app starts the Zap, never costs a task. Loyalty Gator is not a premium app, so the free plan works: 100 tasks a month and Zaps of two steps, one trigger and one action. Put Find Customer in front of an action, or add a filter, and the Zap becomes multi-step, which needs a paid plan. The interval grid below concerns the trigger of the app that starts your Zap, since Loyalty Gator has none.

Connect

Connect Loyalty Gator to Zapier in three steps

  1. 01

Open Apps and add a connection

In your Zapier account, open the Apps page and click + Add connection. A dialog opens with a search box: type Loyalty Gator and pick it from the results.

  2. 02

    Sign in to Loyalty Gator

Click Add connection. A tab opens on Loyalty Gator: sign in with the account that runs your program. You need an existing account, plus read or write access to anything you do not own that the Zap should touch.

  3. 03

    Grant access once

Grant Zapier access to the account. That connection, your Loyalty Gator account linked once, is then reused by every Loyalty Gator step in every Zap you build.

First Zap

Your first Zap: log each sale as a Loyalty Gator transaction

GoalWhen your sales tool records a sale, find the matching customer in Loyalty Gator and add a transaction to their record.

  1. 01

Build: start in your sales tool

Create a Zap and pick your sales tool as the trigger app, with its new-sale event. Loyalty Gator has no trigger, so the Zap always starts in another app.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items of that account, so you map Loyalty Gator fields on a real sale rather than a guess.

  3. 03

    Add Find Customer

Add Loyalty Gator with Find Customer and type a Search Phrase from the sale's details. Spaces mean AND, commas mean OR, so keep the phrase short and specific.

  4. 04

    Add Create Transaction

Add Create Transaction, choose the Campaign, and map the customer found in the step above. With a search in the chain this is a multi-step Zap, so it needs a paid plan.

  5. 05

    Test, then publish

Test each step once and check the transaction in Loyalty Gator. When it looks right, click Publish to switch the Zap on. Earlier sales are not picked up.

Actions

The Loyalty Gator actions

Loyalty Gator gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Customer

Action

In Zapier“Creates a new customer.”

A person who joined somewhere else becomes a member of your Loyalty Gator program, attached to the campaign you choose. That is how sign-ups from other tools reach the program without a second form.

When to use it
someone registers in another app and should start collecting with you.
Watch out
Campaign is mandatory, so the account needs at least one before the step can run.
2

Create Transaction

Action

In Zapier“Creates a new transaction.”

Adds a new transaction to a customer in Loyalty Gator, inside a campaign. It is the action that keeps the program's count in step with what actually happened in your other tools.

When to use it
a sale logged in another tool should count toward a customer's loyalty.
Watch out
Campaign is required here too, and the Zap needs to know which customer it is for.
3

Update Customer

Action

In Zapier“Updates a customer profile.”

Changes a customer profile that already exists in Loyalty Gator, so the record follows the details kept in your other tools instead of drifting apart from them.

When to use it
details change elsewhere and the loyalty record should follow.
Watch out
the step needs a Code to know which customer to change; if no earlier step carries it, a search step placed before is how a Zap gets it.
Searches

The Loyalty Gator search

1 search step looks for data that already exists in Loyalty Gator, so a later step can use it.

Find Customer is a search step: it looks up a customer who already exists and hands the result to the steps after it. Three settings decide what happens when the result is not clean.

1

Find Customer

Search

In Zapier“Search for an existing customer.”

Looks for an existing customer in Loyalty Gator from a Search Phrase, then passes what it found to the next step, typically an update or a transaction.

When to use it
the action that follows needs to know which member it is about.
Watch out
the phrase follows logic: spaces mean AND, commas mean OR, and ANDs are read first. Amy Acker, 1234 Main St finds Amy and Acker, or 1234 and Main and St.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nobody stops the Zap there and skips the steps that needed it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create elsewhere on Zapier. Loyalty Gator offers no such variant, so Find Customer only ever looks.
  3. If multiple search results are found?
Three ways out when several customers match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a Loyalty Gator Zap breaks

Zapier lists no help article for Loyalty Gator, so the traps below are the general ones, applied to a loyalty program.

None of them shows on day one. They appear later as a transaction that never arrived or a task count climbing faster than your sales. When a Zap misbehaves, open our Zapier troubleshooting page.

  • Past sales are never imported

A Zap only reacts to what happens after it is switched on. Customers and sales from before stay out of Loyalty Gator; moving that backlog is a separate job.
  • A loop that feeds itself

If a Zap writes into the very place its own trigger watches in the starting app, it sets itself off again and again and burns through your tasks fast.
  • A bulk import gets held back

When the starting app suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold the trigger back.
  • A search that finds nobody

With the default setting, Find Customer stops the Zap when nothing matches, so the transaction or update after it never runs. Check the Search Phrase first.

FAQ

Loyalty Gator and Zapier: common questions

01Is the Loyalty Gator Zapier integration free?
Yes on the Zapier side, since Loyalty Gator is not a premium app and runs on the free plan. That plan gives 100 tasks a month and Zaps of two steps: a trigger from another app, then one Loyalty Gator action such as Create Customer. As soon as you add Find Customer, a filter or a second action, the Zap becomes multi-step and needs a paid plan. Your Loyalty Gator subscription itself is a separate matter.
02How many tasks does a Loyalty Gator Zap use?
One task for each Loyalty Gator action that succeeds, and nothing for the trigger. If a Zap runs two Loyalty Gator actions per sale, say Create Customer then Create Transaction, each run counts two tasks. An action that fails is not counted. Zapier checking the starting app for new data costs nothing either, however often it looks. The total follows the work actually done in Loyalty Gator, not the number of checks.
03Can Loyalty Gator start a Zap straight away?
No, because Loyalty Gator has no trigger on Zapier. The Zap always starts in another app, and that app's trigger decides the timing. If it is an instant trigger, the event reaches Zapier as soon as it happens. If it is a polling trigger, Zapier goes and looks at regular intervals: every 15 minutes on the free plan, 2 on Professional, 1 on Team and Enterprise. Check which kind your starting app uses.
04What do you need to connect Loyalty Gator to Zapier?
An existing Loyalty Gator account and a Zapier account. From the Apps page, click + Add connection, search Loyalty Gator, click Add connection, sign in on the tab that opens and grant access. If the Zap should touch things you do not own on that account, you also need read or write access to them. Set up at least one campaign before testing, since two of the three actions require one.
05Why does Find Customer return the wrong people?
Usually because of how the Search Phrase is read. Spaces count as AND, commas count as OR, and the ANDs are evaluated before the ORs. So Amy Acker, 1234 Main St means Amy and Acker, or 1234 and Main and St, and anyone matching either half comes back. Keep the phrase to the words that really identify one person. When several still match, the default keeps only the first one.
06What if the Loyalty Gator operation you need is not there?
Then Zapier cannot do it with Loyalty Gator today. The editor offers three actions, Create Customer, Create Transaction and Update Customer, plus the Find Customer search, and no trigger at all. Anything that should start from Loyalty Gator, such as reacting to a new member, is out of reach here. Check first whether the result can be built from the other side, starting in the app where the event happens. If not, compare Make and n8n.
07Zapier, Make or n8n for Loyalty Gator?
It comes down to criteria, not a winner. Zapier offers three ready-made Loyalty Gator actions and one search, a three-step connection and billing per successful action, with the free plan covering a two-step Zap. That fits a flow where another app starts things and Loyalty Gator only records the outcome. If you need Loyalty Gator to start automations itself, check what Make and n8n offer for it and how they bill before choosing.
