What the CleverReach Zapier integration does for you

Connecting CleverReach to Zapier lets a Zap (an automation you build on Zapier: one trigger, then one or more actions that run every time) watch your lists and campaigns and act on them. New subscribers, opt-outs and link clicks become signals, and subscribers or orders can be written in from outside without an export.

Clicks that sort your readers. New Campaign Link Click spots who clicked in a given campaign, and Add/Update Subscriber files that reader into another list, with tags. A SaaS newsletter can send everyone who clicked the pricing link to a sales follow-up list.

Opt-outs that travel across lists. New Unsubscriber catches each person leaving a list, and Unsubscribe Email removes the same address from another one, so one opt-out is respected everywhere you want it to be.

Purchase data where your emails live. Add Order Item records an order line against a subscriber, and Find Subscriber looks an address up across all your lists before a step writes anything. New Subscriber and New Campaign complete the picture.

Zap

The trigger never costs a task, and neither do Zapier's checks for new subscribers or clicks, however often they run. Each action that completes is one task; one that fails is not counted. CleverReach is not a premium app, so it works on the free plan: 100 tasks a month, unlimited Zaps, and a check every 15 minutes. Since all four triggers are polled, that interval is your real delay. The other free-plan limit is two steps, one trigger and one action. A filter, a search or a second action makes the Zap multi-step, which needs a paid plan.

Connect your CleverReach account in three steps

    Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. A connection is made once, and from then on every Zap that touches CleverReach reuses that same link.

    Pick CleverReach

    Type CleverReach in the search box of the dialog, select it, then click Add connection. You need a CleverReach account, plus access to any list you do not own and want the Zap to touch.

    Sign in and grant access

    A tab opens on CleverReach. Sign in with the account that holds your lists, then grant Zapier access to it. That is the last gesture before your first Zap.

First Zap

Your first Zap: send pricing clickers to a sales list

    Build the trigger

    Start a new Zap, choose CleverReach as the app and New Campaign Link Click as the event. Select your connection, then the campaign whose clicks you want to watch.

    Test on a real click

    Run the test. Zapier brings back the three most recent items of the connected account, so you map from a real click instead of guessing what one looks like.

    Add the filter

    Add a filter step: continue only when the link contains “pricing”. Use a text rule, since a number rule on text never passes. The filter makes the Zap multi-step, so it needs a paid plan.

    Add Add/Update Subscriber

    Add CleverReach with Add/Update Subscriber. Pick the hot-leads list, map the email from the click, add a sales tag and leave Remove previous tags off to keep existing tags.

    Test, then Publish

    Test the action and check the subscriber in the hot-leads list. Then click Publish to switch the Zap on. Clicks from before that moment are not picked up.

Picks up each new subscriber added to the list you specify. It is the natural start for welcome flows that live outside CleverReach.

Adds an email to a list, or updates it when it is already there, tags included. One action covers both cases.

When to use it
filing a reader into a segment list after a click, a signup or a purchase elsewhere.
Watch out
with Remove previous tags on, each update wipes the old tags and keeps only this Zap's. Leave it off to add tags instead.

When to use it
honoring an opt-out from one list on another, right after New Unsubscriber fires.
Watch out
it works list by list. Two lists to clean means two actions, and two tasks per run.

A search step looks up something that already exists and hands it to the steps that follow. In the action event list, searches sit at the bottom under SEARCH. Three settings decide what happens when the result is not the one you expected.

Find Subscriber

Search

In Zapier“Search for subscribers in all lists in CleverReach. If found, the subscriber data will be returned along with the list id.”

Looks an email address up across all your CleverReach lists and returns the subscriber's data along with the ID of the list it was found in.

When to use it
checking whether a buyer is already a subscriber before Add Order Item writes against them.
Watch out
the email is the only input, and the same person in two lists can mean two results.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nobody stops the Zap there and the steps that depend on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into find-or-create. Find Subscriber does not offer that variant: use Add/Update Subscriber when the person may be missing.
  3. If multiple search results are found?
    It matters here, since one address can sit in several lists: keep the first match (the default), stop the Zap, or pass every match on.
When it breaks

When a CleverReach Zap breaks

No limit specific to CleverReach is documented on the Zapier side, so the risks are Zapier's general ones, plus the delay of polled triggers.

  • Older subscribers are never picked up

    A Zap only reacts to what happens after it is published. Subscribers, opt-outs and clicks from before stay out, and moving that backlog is a separate job.
  • The list that feeds itself

    A Zap that starts on New Subscriber and adds people to that same list sets itself off again and again, eating tasks fast. Always write into another list.
  • An import held back

    Importing thousands of contacts at once can make a trigger return a huge batch, and Zapier's flood protection may hold it back instead of running every Zap.
  • No double runs, by design

    On a polled trigger, Zapier remembers what it has already seen, so the same subscriber or click never starts the Zap twice, however many checks pass.

CleverReach and Zapier: frequent questions

01Is the CleverReach Zapier integration free?
Yes, within two steps. CleverReach is not a premium app, so it runs on the free Zapier plan, which includes 100 tasks a month and unlimited Zaps. The free plan stops at one trigger and one action, though. Add a filter, a search such as Find Subscriber or a second action, and the Zap becomes multi-step, which needs a paid plan. On the free plan, the four polled CleverReach triggers are also checked only every 15 minutes.
02How many tasks does a CleverReach Zap use?
One per action that completes, nothing else. The trigger is free, and so are Zapier's checks for new subscribers, opt-outs or clicks, however often they happen. An action that fails is not counted. A Zap that moves each pricing clicker into a sales list costs one task per click. One that removes an opt-out from two lists, with two Unsubscribe Email steps, costs two tasks per opt-out. A few apps take more than one task per action, so watch the counter in your first runs.
03Does CleverReach with Zapier work in real time?
No. All four CleverReach triggers are polled: Zapier asks CleverReach for new items at a fixed interval, and that interval depends on your plan. It is every 15 minutes on Free, every 2 minutes on Professional and every minute on Team and Enterprise. On a paid plan you can change how often a trigger checks, and run a check by hand from the editor while you test. Actions run as soon as the trigger has fired.
04What do you need to connect CleverReach to Zapier?
A CleverReach account, plus access to any list you do not own and want the Zap to touch. In Zapier, open Apps, click + Add connection, search for CleverReach, click Add connection, then sign in and grant access in the tab that opens. Before building, note which lists you will use: most triggers and actions ask for one. If you plan to use Double Opt-In, create at least one form in that list first.
05Why did Add/Update Subscriber remove existing tags?
Because the Remove previous tags option was on. With it enabled, each update deletes the tags the subscriber already had and keeps only the ones this Zap sends. With it off, the Zap only adds new tags and leaves the old ones in place. The option is required, so you always choose one way or the other. If several Zaps tag the same people, turn it off in all of them, or each Zap will erase the tags of the others.
06What if the operation you need is not on the list?
Then the integration does not offer it today: the 4 triggers, 3 actions and 1 search on this page are what the Zap editor proposes. Two workarounds often close the gap. Chain the search and an action, for instance Find Subscriber before Add Order Item, so the order lands on the right person. Or run the step in the tool where the data really lives.
