What the Clicfans Zapier integration actually does
It lets your other tools feed the Clicfans CRM through Zapier. Clicfans works only on the receiving end here: a form, a shop or a booking tool starts the Zap, and Clicfans writes the contact, its tags and its workflows, or sends that person an email.
Three results worth building. One contact record, never two: Update Contact creates the person from their email or updates them if they already exist, so a lead who fills in two forms stays one contact. Leads that start their sequence on their own: Add Workflow places the contact into a workflow you prepared in Clicfans, and Add Tag labels them by source. A direct email at the right moment: Send Mail writes to a contact from inside the Zap. Before any of those, Search Contact can fetch what Clicfans already knows about the person.
What it does not do matters as much. Clicfans has no trigger, so nothing that happens inside Clicfans can start a Zap: a new contact or a finished workflow cannot set off anything else. Tags and workflows are not created by Zapier either. Add Tag and Add Workflow only use ones that already exist in your account, so you set them up in Clicfans first.

- A trigger Zapier checks on a timer, asking the app for new items and keeping only what it has not seen before.

- A trigger the app reports itself, the moment the event happens. Which one you get depends on your starting app.
- Filter
- A step that lets the Zap go on only when what arrived meets your condition, and stops it there otherwise.
- Search step
- A step that looks up something that already exists in an app, so the steps that follow can use what it found.
What a Clicfans Zap really costs
Each Clicfans action that completes successfully counts as one task. The trigger in your other app costs nothing, and an action that fails is not counted.

Clicfans is not a premium app, so it works on the free plan: 100 tasks a month, unlimited Zaps. The free plan stops at two steps, though: one trigger, one action. Creating the contact then placing it in a workflow is three steps. So is a Zap that runs Search Contact before tagging. Both are multi-step Zaps, and multi-step needs a paid plan. A filter has the same effect. How fast the Zap starts depends on the trigger of the other app.
Connect your Clicfans account to Zapier

Open Apps
In your Zapier account, go to Apps and click + Add connection. A connection is your Clicfans account linked to Zapier once, then reused by every Clicfans step you add.

Choose Clicfans
Search for Clicfans by name in the dialog, pick it, and click Add connection. A new tab opens so you can sign in to Clicfans directly, not inside Zapier.

Sign in and grant access
Log in with the Clicfans account that holds your contacts and allow Zapier in. If the contacts or workflows belong to a colleague's account, you need read or write access to them first.

Build: set the trigger
Create a Zap and choose your webinar tool and its new-registrant event. Test it: Zapier brings back the three most recent registrants, so you map fields from a real one.

Create or update the contact
Add Clicfans with
Update Contact. Map the registrant's email into the required email field. If the person already exists, Clicfans updates them instead of duplicating. - 03
Start the workflow
Add a second Clicfans action,
Add Workflow. Use the same email as the ID and pick the workflow you prepared in Clicfans. This makes the Zap multi-step. - 04
Test every step
Run each step test and check in Clicfans that the contact exists and sits in the workflow. Fix the mapping here rather than after a real sign-up.

Publish
Click Publish to switch the Zap on. From then on, each new registrant follows the same path without anyone copying data by hand.

Update Contact

The Clicfans search on Zapier
1 search step looks for data that already exists in Clicfans, so a later step can use it.
A search step looks up a contact that already exists in Clicfans and hands its details to the steps that follow. You find it at the bottom of the Action event list, under SEARCH. Three settings decide what happens when the lookup goes differently than planned.

Fetches everything Clicfans holds about one contact, from an email or a contact ID, and passes it to the next steps. Your Zap can then decide based on what the CRM already knows.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds no contact stops the Zap there and the dependent steps are skipped. Switch it on and the Zap carries on empty-handed.
- Create X if it doesn't exist yet?This box turns a search into a find-or-create. Clicfans offers no find-or-create version of Search Contact, so use Update Contact when a missing person should be created.
- If multiple search results are found?Three ways out when several contacts match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When a Clicfans Zap breaks
Zapier attaches no help article to Clicfans and lists no limit specific to it. The trouble comes from how Zapier itself works, plus the existing-item rule of two actions.

The tag or workflow does not exist
Add Tag and Add Workflow only apply items already in Clicfans, to a contact that already exists. A Zap aimed at a missing one has nothing to attach.Past leads are not imported
