Overview

What the Loystar Zapier integration actually does

Loystar is a point of sale and customer platform built for small businesses that want shoppers to come back. Connected to Zapier, it reports the sales made on its till to your other tools, and it accepts new customers and outgoing text messages from them. Three operations in total: one going out of Loystar, two coming in.

A sales log you never type up. The New Sale trigger picks up each sale made on the Loystar till, and a Zap writes it as a row in the spreadsheet where you track sales. The owner reads the numbers without exporting anything.

A customer list fed from outside the shop. Someone signs up through a form on your site or leaves details in another tool. Add New Customer creates them in Loystar with a first name and a phone number, so the till already knows them on their first visit.

A text that goes out without anyone pressing send. Send SMS texts a number provided by an earlier step, for instance a welcome message right after a sign-up. The message is short by design: 160 characters make one page.

Now the limits. Zapier offers no search for Loystar, so a Zap cannot look up an existing customer before acting. The trigger is a polling one, so a sale reaches Zapier at the next check rather than the moment it happens. And there is no trigger for a new customer, only for a sale. Vocabulary

Zapier vocabulary in one minute

Seven words come back across this page. Here they are once, in plain English.

Zap
The automation you build on Zapier: one starting event, then one or more steps that run every time that event happens.
Trigger
The event in an app that starts the Zap. For Loystar, the only one is a new sale made on its point of sale.
Action
What the Zap does once it has started: the step that writes, sends or moves something. Loystar offers two of them.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan's allowance is a count of those.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items at a fixed interval and keeping only unseen ones.
Instant trigger
A trigger the app reports itself, calling Zapier as soon as the event happens. Loystar's trigger is not one of these.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
Cost

What a Loystar Zap really costs

Loystar is not a premium app on Zapier, so it works on the free plan. Checking for new sales costs nothing, however often Zapier looks.

  • Premium appNo, available on the free plan
  • Free plan100 tasks a month, two-step Zaps
  • New Sale triggerPolling, free to run
  • SMS length160 characters make one page

The trigger never costs a task. Each action that succeeds counts as one task, and one that fails is not counted. Add New Customer is one task, Send SMS another, so a Zap that does both uses two per run. The free plan gives 100 tasks a month and two-step Zaps only: one trigger, one action. A filter or a second action makes it a multi-step Zap, which needs a paid plan. The grid below is how often Zapier checks the New Sale trigger on each plan.

Connect

Connect your Loystar account to Zapier

  1. 01

    Open Apps in Zapier

In your Zapier account, open the Apps page and click + Add connection. A connection is your Loystar account linked once, then reused by every step that uses Loystar.

  2. 02

    Find Loystar and add it

Search for Loystar in the dialog, select it and click Add connection. You need your own Loystar account, with access to the sales and customers the Zap should read or write.

  3. 03

    Sign in and grant access

Sign in to Loystar in the tab that opens and allow Zapier to use the account. Once that is done, the connection shows up in every Loystar step you add.

First Zap

Your first Zap: every Loystar sale in your sales log

GoalEach time a sale is made on the Loystar till, add it as a row to your sales spreadsheet, then post a short note to the team chat.

  1. 01

    Pick the trigger

In a new Zap, choose Loystar as the app and New Sale as the event, then pick your Loystar connection. This is the starting side of the build.

  2. 02

    Test on a real sale

Ring up a sale on the till if the account has none, then test the trigger. Zapier brings back the three most recent sales, so you map fields from a real one.

  3. 03

    Add the spreadsheet row

Add your spreadsheet as the first action and map the sale details from the test into its columns. Test the step and check the row it wrote.

  4. 04

    Add the team note

Add the team chat step and write the message from the same sale fields. Two actions make this a multi-step Zap, so it needs a paid plan; on the free plan, keep the row only.

  5. 05

    Publish

Publish the Zap to switch it on. From then on, each new sale is picked up at the next check of your plan. Sales made before that moment are not sent.

Triggers

The Loystar trigger on Zapier

1 event starts a Zap when something happens in Loystar. Zapier checks for them at the interval your plan allows.

1

New Sale

Polling trigger

In Zapier“Triggers when a new sale is made on the Loystar POS.”

Starts your Zap for each sale recorded on the Loystar point of sale, and passes that sale to the steps that follow. It is the only way into Zapier from Loystar, so every automation built on this app begins at the till.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
to keep a sales log or a reporting sheet current without exporting from Loystar, when a short wait after each sale does no harm.
Watch out
it reacts only to sales made after the Zap is published, and Zapier remembers the sales it has seen, so one sale never starts the Zap twice.
Actions

The 2 Loystar actions on Zapier

Loystar gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add New Customer

Action

In Zapier“Adds a new Customer to your Loystar account”

Creates a customer in your Loystar account from details another app hands over, so the till recognizes that person later.

When to use it
when a newsletter sign-up or a web form should also put the person on your Loystar customer list.
Watch out
a first name and a phone number are both required, so the source must collect them or the step fails.
2

Send SMS

Action

In Zapier“Sends a text message to the number provided when an event occurs”

Sends a text message from Loystar to the phone number you give it, at the moment the Zap reaches this step.

When to use it
a welcome text right after Add New Customer, in a Zap that does both.
Watch out
the number needs its country code, and 160 characters make one page, so keep the message within that if one page is what you plan for.
When it breaks

When a Loystar Zap breaks

Zapier lists no help article and no rate limit specific to Loystar. What goes wrong comes from its required fields and from how every Zap behaves.

These six cases are the ones to rule out first. If yours is not here, our Zapier troubleshooting page is the next stop.

  • A text that never arrives

Send SMS expects the recipient phone with its country code. A number stored without it in the source tool can leave the message undelivered.
  • A message longer than planned

160 characters make one page of SMS. A text built from long mapped fields can run past that, so read the test result before you publish.
  • A customer that will not save

Add New Customer requires a first name and a phone number. If the source leaves either one empty, the step fails and no customer is created.
  • Past sales never show up

A Zap only reacts to what happens after it is switched on. Sales made before that stay out of it, and moving that history is a separate job.
  • A Zap that keeps restarting

A Zap that writes into the very place its own trigger watches sets itself off again and again, and burns through the task count fast.
  • A sudden batch held back

If the trigger suddenly returns a huge batch, after a bulk import for example, Zapier's flood protection can hold it back instead of running each item.

FAQ

Loystar Zapier integration: frequent questions

01Is the Loystar Zapier integration free?
Yes, for a simple Zap. Loystar is not a premium app, so the free plan can use it, with 100 tasks a month. That plan builds two-step Zaps only, one trigger and one action, which covers New Sale to a spreadsheet. A Zap that adds a customer and then texts them has two actions, so it is multi-step and needs a paid plan. The same goes for any Zap with a filter in it.
02How many tasks does a Loystar Zap use?
One per action that succeeds, each time the Zap runs. The New Sale trigger costs nothing, and neither do Zapier's checks for new sales. A Zap that only logs a sale uses one task per sale. A Zap that runs Add New Customer and then Send SMS uses two per person. A step that fails is not counted. Multiply the expected runs by the number of actions to size your plan.
03Is the Loystar trigger real time on Zapier?
No. New Sale is a polling trigger: Zapier asks Loystar for new sales at a fixed interval that depends on your plan, every 15 minutes on the free plan and down to every minute on Team and Enterprise. A sale therefore reaches your Zap at the next check, not the moment it is rung up. On the paid plans you can also run a check by hand from the editor.
04What do you need to connect Loystar to Zapier?
A Loystar account and a Zapier account. You add the connection from the Apps page of Zapier with + Add connection, sign in to Loystar in the tab that opens, then grant access. Beyond the login, plan for phone numbers: both actions require one, and Send SMS wants it with the country code, so the tool that feeds the Zap must store numbers that way. The connection is then reused by every Loystar step.
05Why does Send SMS not reach the customer?
Start with the number format. The Send SMS action expects the recipient phone number with its country code. If the earlier step passes a local number without it, the text may not get through. Check what the trigger or the previous action returned during the test, and fix the format at the source. Also check the length: 160 characters make one page. A test run on your own phone catches both problems before customers do.
06What if the Loystar operation you want is not on Zapier?
Then Zapier cannot do it today, and no setting will reveal it. Loystar offers one trigger and two actions: New Sale, Add New Customer and Send SMS. There is no search, so a Zap cannot look up an existing customer, and no trigger for a new customer. For anything else, compare what other automation platforms offer for Loystar before building a workaround around Zapier. Knowing these three limits up front saves a dead end.
07Zapier, Make or n8n for Loystar?
Decide on criteria rather than on a ranking. If your main need is a sales log, Zapier handles it in two steps on the free plan, with New Sale checked every 15 minutes there and every one or two minutes on paid plans. If you want sign-ups to land in Loystar and get a welcome text, that is two actions, so a paid plan on Zapier and two tasks per person. And since Zapier has no search for Loystar, check whether the other platform can look up an existing customer before you choose.
