Overview

What the Lunacal.ai Zapier integration does with your bookings

Lunacal.ai is a scheduling tool: people and teams publish booking pages that others use to take a slot, and every event lands in one place. Connecting it to Zapier sends each booking, cancellation and reschedule to the other tools you work with, without anyone copying details across.

Three results come up most. A booking log that keeps itself: Booking Created adds each new appointment to a sheet or a CRM, so the list of upcoming calls is always complete. A team that hears about freed slots: Booking Cancelled posts a message the moment someone cancels, so a colleague can offer the slot to someone else. Records that follow the calendar: Booking Rescheduled updates the date wherever the meeting was tracked, instead of leaving an old time in place.

Now what Zapier does not do for Lunacal.ai. There is no action and no search, so a Zap can read bookings but never create, move or cancel one in Lunacal.ai. Everything starts there and ends somewhere else. The good news: all three triggers are instant, which matters a lot on the free plan: a booking reaches your other tools without waiting for any check.

Vocabulary

The Zapier words used on this page

Seven words carry everything that follows. Each one is explained here once, then used as is.

Zap
The automation you build in Zapier: one trigger first, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap, such as a booking made on Lunacal.ai. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you in another app.
Task
The unit Zapier bills: one action your Zap completes successfully. The count on your plan is a count of those, nothing else.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself the moment the event happens.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
Connection
Your Lunacal.ai account linked to Zapier once, then reused by every step of every Zap that starts from Lunacal.ai.
Cost

What Lunacal.ai on Zapier really costs

Lunacal.ai is not a premium app, so it works from the free plan up. The bill is counted in tasks, and with Lunacal.ai only the steps after the trigger produce them.

  • Premium appNo, works on the free plan
  • Free plan100 tasks a month, two-step Zaps
  • Lunacal.ai triggersAll 3 instant, no task cost
  • Failed actionNot counted

A trigger never costs a task, so a booking reaching Zapier is free. Each action that follows counts once when it succeeds; one that fails is not counted. A Zap that logs a booking and then sends a message spends two tasks per booking. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger and one action. A filter or a second action makes it multi-step, which needs a paid plan. The interval grid below is the one Zapier applies to polling triggers; it does not apply to the three Lunacal.ai triggers, which are all instant.

Connect

Connect your Lunacal.ai account in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need a Lunacal.ai account, plus access to any booking page you do not own but want the Zap to follow.

  2. 02

    Pick Lunacal.ai

Type Lunacal.ai in the search box of the dialog, choose it from the results, then click Add connection. A new tab opens on the Lunacal.ai side so you can sign in.

  3. 03

    Sign in and grant access

Log in to Lunacal.ai in that tab and allow Zapier to access the account. The connection then appears on your Apps page, and every Zap that starts from Lunacal.ai reuses it.

First Zap

Your first Zap: log the Lunacal.ai bookings that matter

GoalEach new Lunacal.ai booking that passes your filter becomes a row in your spreadsheet, so the list of upcoming meetings builds itself.

  1. 01

    Create the Zap

From your Zapier dashboard, start a new Zap. The filter in the middle makes it a multi-step Zap, which needs a paid plan; drop the filter and the two other steps fit the free plan.

  2. 02

    Set the trigger

Choose Lunacal.ai as the app and Booking Created as the event, then select the Lunacal.ai connection you added a moment ago from the account list.

  3. 03

    Test the trigger

Run the test. Zapier brings back the three most recent bookings of the account, so the next steps are set on a real booking rather than a guess.

  4. 04

    Add the filter

Click the plus icon under the trigger and pick Filter. Fill in the three boxes: the field to look at, the rule, and the value to compare with. Only bookings that pass go on.

  5. 05

    Add the action

Pick your spreadsheet app and its new-row event, then drag the booking details Lunacal.ai sent into the matching columns of the sheet.

  6. 06

    Test, then publish

Test the action once and check the row it wrote. Then click Publish: from that moment, each new booking that passes the filter adds its own row.

Triggers

Lunacal.ai triggers in Zapier

3 events start a Zap when something happens in Lunacal.ai, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Booking Cancelled

Instant trigger

In Zapier“Triggers when a booking is cancelled.”

Starts the Zap when someone cancels a booking made through Lunacal.ai. The cancelled booking is handed to the next steps, so another tool can react to the slot that just opened up.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
post a message to the team so a colleague can offer the freed slot, or mark the meeting as cancelled in your sheet.
Watch out
Zapier cannot cancel anything in Lunacal.ai, so this trigger only reports what already happened there.
2

Booking Created

Instant trigger

In Zapier“Triggers when a new booking is created.”

Goes off each time a new booking is made on one of your Lunacal.ai pages. Every appointment begins with it, and its details travel to the following steps.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
add each new appointment to a CRM or a spreadsheet so the list of calls stays complete.
Watch out
bookings made before the Zap was published are never picked up; that history has to be moved another way.
3

Booking Rescheduled

Instant trigger

In Zapier“Triggers when a booking is rescheduled.”

Reacts when an existing booking is moved to a new time on Lunacal.ai. The updated booking reaches the Zap, so the tools that knew the old slot can catch up with the new one.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
change the date of the meeting in the tool where your team tracks follow-ups, so no one prepares for the wrong time.
Watch out
on the free plan you cannot add a filter, so every reschedule runs the action and spends a task.
When it breaks

When a Lunacal.ai Zap breaks

Zapier attaches no help article to Lunacal.ai and records no limit of its own. The problems come from the way Zapier works with every app.

Three cases explain most surprises with a Lunacal.ai Zap. They rarely show up as an error; they show up as a missing booking, a filter that blocks everything, or a task counter climbing faster than planned. If none of them matches, see Zapier troubleshooting.

  • Past bookings never arrive

A Zap only reacts to what happens after you publish it. Bookings already on Lunacal.ai are not picked up; moving that history is a separate job.
  • A big batch gets held back

When a trigger suddenly sends a huge batch, after an import or a migration, Zapier's flood protection can hold those items back instead of running them all.
  • A filter that never passes

Filter rules are typed: a text rule only works on text, a number rule only on numbers. Picking the wrong one is why a filter stops every booking.

FAQ

Lunacal.ai Zapier integration: common questions

01Is the Lunacal.ai Zapier integration free?
Yes, as long as each Zap stays at two steps. Lunacal.ai is not a premium app, so it runs on the free plan, which gives 100 tasks a month and unlimited Zaps. A Zap that copies each new booking into a spreadsheet fits inside that limit. Adding a filter or a second action turns it into a multi-step Zap, and multi-step Zaps need a paid plan, whatever app they start from.
02How many tasks does a Lunacal.ai Zap use?
One per successful action, per booking event. The trigger itself costs nothing, so a booking, a cancellation or a reschedule reaching Zapier is free. A Zap that logs a booking and then sends a message spends two tasks for that booking. An action that fails is not counted against your plan. On the free plan, the 100 monthly tasks cover 100 single-action runs, so count your bookings before you build.
03Do Lunacal.ai triggers fire in real time?
Yes. All three Lunacal.ai triggers are instant: Lunacal.ai tells Zapier the moment a booking is created, cancelled or rescheduled, and the Zap starts right away. The interval grid of the plans does not apply to them, so the free plan reacts as fast as a paid one here. That is worth knowing, since most triggers on Zapier are checked on a timer. In the editor, a Zap built on an instant trigger shows a lightning bolt.
04What does it take to connect Lunacal.ai to Zapier?
A Lunacal.ai account, plus access to any booking page you do not own but want the Zap to follow. From the Apps page of Zapier, click + Add connection, search for Lunacal.ai, pick it and click Add connection. Sign in to Lunacal.ai in the tab that opens and grant Zapier access to the account. The connection is then reused by every Zap that starts from Lunacal.ai, so it is done once.
05Can Zapier create or cancel a booking in Lunacal.ai?
No. Lunacal.ai exposes three triggers on Zapier and no action, so no Zap can create, move or cancel a booking there. The integration works in one direction only: something happens on Lunacal.ai, and Zapier passes it on to your other tools. If a process needs to write into Lunacal.ai, that part has to stay manual. Plan your flows around what the three triggers report: a booking made, a booking cancelled, a booking moved.
06What if the Lunacal.ai operation you need is not there?
Then the editor will not offer it: Lunacal.ai has 3 triggers, 0 actions and 0 searches on Zapier, and nothing else. Before concluding a need is out of reach, check whether one of the three booking events, followed by a filter, gets you there. A filter can keep only the bookings that meet your condition, for example. Remember that a filter makes the Zap multi-step, so that route needs a paid plan.
07Zapier, Make or n8n for Lunacal.ai?
Decide on criteria, not on a ranking. On Zapier, Lunacal.ai brings three instant booking triggers that work on the free plan, but no action and no search. Ask whether your flows only need to react to bookings, which Zapier covers, or also to write back into Lunacal.ai, which it does not. Then count the steps each flow needs, since filters and extra actions push you to a paid plan. Neither answer is universal.
