Why connect LuzardoFax to Zapier
LuzardoFax sends and receives faxes online, and it is built for teams that handle confidential documents, such as clinics and law offices. Zapier plugs it into the rest of your tools through a Zap: an automation that starts on one event, then runs one or more steps every time that event happens. Here, every event is something that happens to a fax.
Five triggers follow a fax through its whole life, from the moment it comes in to the moment it reaches, or misses, the people it was meant for. Three results come out of that again and again.
A failure nobody misses. Fax Failed posts a message in your team chat, so the person who sent the document hears about it while there is still time to resend it. A delivery log you can show. Fax Delivered adds a row to a spreadsheet for every outbound fax that reached all its recipients, which gives you one place to check what went through. Incoming faxes that land in a queue. Fax Received opens a task in your task manager, so a new document is picked up instead of sitting in an inbox.
Now what Zapier does not do with this app. It cannot send a fax for you: there is no action, so no Zap dispatches a document, retries a failed one or changes anything in LuzardoFax. There is no search either, so a Zap cannot look up an older fax. Information leaves LuzardoFax, it never goes back in. Zapier also lists the app as beta, so test each Zap on a real fax before you trust it with paperwork that matters.

The Zapier words you need, in one minute
Seven terms come back throughout this page. Here is each one, once, in plain English.
- Trigger
- The event in an app that starts a Zap. Once the Zap is on, Zapier waits for that event and does nothing before it.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something for you in another tool.
- Task
- The unit Zapier bills: one action that completes successfully. Your plan's allowance is a count of those.
- Polling trigger
- A trigger Zapier checks on a timer, asking the app for new items and keeping only the ones it has not seen yet.
- Instant trigger
- A trigger the app reports itself, calling Zapier the moment the event happens. All five LuzardoFax triggers work this way.
- Filter
- A step that lets the Zap carry on only if what arrived matches the condition you set, and stops it there otherwise.
- Connection
- Your LuzardoFax account, linked to Zapier once and then reused by every Zap that starts from it.
What it really costs
Listening to LuzardoFax is free. A trigger never costs a task, however many faxes come and go. You only pay for the actions your Zap completes in other tools.
- TriggersFree, never counted as tasks
- Free plan100 tasks a month, unlimited Zaps, two steps per Zap
- Premium appNo, available on the free plan
Each action that succeeds counts once, so a Zap with three actions uses three times what a one-action Zap uses, and an action that fails is not counted. LuzardoFax is not a premium app: it works on the free plan, which allows Zaps of two steps, a trigger and one action. Add a filter, a search or a second action and it becomes a multi-step Zap, which needs a paid plan. The interval grid below is how often Zapier checks polling triggers; it does not apply to the five LuzardoFax triggers, which are all instant.
Connect LuzardoFax to Zapier in 3 steps
- 01
Open Apps
In your Zapier account, open Apps and click + Add connection. Type LuzardoFax in the search box of the dialog and pick it. You need a LuzardoFax account before you start.
- 02
Sign in to LuzardoFax
Click Add connection. A tab opens on LuzardoFax: sign in with the account that sends and receives your faxes. If some fax lines belong to a colleague, check that your account can read them.
- 03
Grant access
Approve the access Zapier asks for. The tab closes and the connection appears in your Apps list, ready for every Zap that starts on LuzardoFax without signing in again.
Your first Zap: a chat alert for every failed fax
GoalWhen an outbound fax fails in LuzardoFax, post a message in your team chat so someone resends it.
- 01
Create the Zap
Start a new Zap from your Zapier account. The editor opens on an empty trigger card, because every Zap begins with the event that sets it off.
- 02
Pick the trigger
Search LuzardoFax, choose
Fax Failed, then select the connection you just made. The editor shows a lightning bolt, the sign of an instant trigger. - 03
Test on a real fax
Run the test. Zapier brings back the three most recent items of your account, so you map fields on an actual failed send rather than on a blank example.
- 04
Write the alert
Add your team chat as the action and build the message from the fax details the test returned, so the reader knows which send to redo without opening LuzardoFax.
- 05
Test and publish
Test the action and read the message it posted. If it looks right, click Publish: the Zap is on, and it stays within the two steps of the free plan.
The five LuzardoFax triggers
5 events start a Zap when something happens in LuzardoFax, and 5 of them are instant: the app calls Zapier straight away, whatever your plan.
Fax Delivered
Instant triggerIn Zapier“Triggers when an outbound fax is delivered to all recipients.”
Starts your Zap once an outbound fax has reached every recipient on it. It is the clean confirmation: nothing is left pending, so the next step can record the send as done.
Fax Failed
Instant triggerIn Zapier“Triggers when an outbound fax fails to send.”
Wakes the Zap up when an outbound fax could not be sent. Without a Zap on it, the sender may believe a document went through when it did not, which makes it a good first Zap.
Fax Partially Delivered
Instant triggerIn Zapier“Triggers when a fax with multiple recipients is delivered to some but not all of them.”
Covers the in-between case: a fax sent to several recipients reached some of them but not all. That is easy to miss when you only watch for outright failures.
Fax Received
Instant triggerIn Zapier“Triggers when a new fax arrives in your LuzardoFax account.”
Fires on the incoming side: a new fax has arrived in your LuzardoFax account. It is the only trigger of the five that follows what others send you rather than what you send.
Fax Sent
Instant triggerIn Zapier“Triggers when an outbound fax is sent.”
Reacts as soon as an outbound fax leaves your account. It tells you the send happened, not how it ended: delivery, partial delivery and failure each have their own trigger.
When it breaks
Zapier links no help article to LuzardoFax and records no limit specific to the app. What can go wrong comes from Zapier's general behaviour.
None of these cases shows up as a clear error, which is why they are worth reading before you publish. If a Zap still misbehaves, the Zapier troubleshooting page picks up from there.
Old faxes stay where they are
A Zap only reacts to what happens after it is switched on. Faxes from before are never picked up, and moving that history is a separate job.A sudden batch is held back
If a trigger returns a huge batch at once, after an import or a migration, Zapier's flood protection can hold the run back rather than fire for each fax.The second step will not publish
A filter, a search or a second action makes the Zap multi-step. On the free plan, only a trigger followed by one action can go live.A filter that never passes
Filter rules are typed: a text rule only works on text, a number rule only on numbers. Picking the wrong type is why a filter blocks everything.
