Maestra Zapier integrationAutomate Maestra with Zapier.
The Maestra Zapier integration gives you 1 trigger, 1 action and 0 searches. One side hands a file to Maestra for transcription, the other side reacts the moment a finished transcript appears. Small list, but it covers both ends of the job.

What the Maestra Zapier integration does for you
The integration links Maestra, a speech-to-text tool that can also translate into 80+ languages, to Zapier, the service that chains your apps so data moves without copy and paste. On Zapier, Maestra does two things: it accepts a file to transcribe, and it signals when a new transcription is added.
Three results come out of those two operations. The first is a transcript log. Send Transcription to Google Drive Folder fires as soon as a transcription is added, and a spreadsheet row records it, so you always know what is done.
The second is a hands-off intake. A file shows up somewhere else, and Upload File to Maestra passes it on for transcription, using its name and its link. Nobody has to open Maestra to start the job.
The third is a heads-up for whoever waits on the text: the same trigger, followed by a filter and a message, tells the right person only when it matters to them.
Now the limits. There is no search step, so a Zap cannot look up a transcript that already exists. There is a single action, so nothing on Zapier edits, renames or deletes anything in Maestra. And the trigger only knows about transcriptions added after the Zap is on. Weighing platforms first? See our n8n vs Zapier and Make vs Zapier comparisons.
Zapier words, in one minute
Seven terms are enough to read the rest of this page. Each one is used exactly as defined here.
- Zap
- The automation you build on Zapier: one starting event, then one or more steps that run every single time that event happens.
- Trigger
- The event in an app that opens the Zap. Once the Zap is switched on, Zapier waits for that event and nothing else.
- Action
- The step that works once the Zap has started: it writes, sends or moves something in an app on your behalf.
- Task
- The unit Zapier bills: one action your Zap completes successfully. The allowance on your plan is a count of those.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer; an instant trigger is reported by the app itself the moment it happens.
- Filter
- A step that lets the Zap go on only when what arrived meets a condition you set, and stops it there otherwise.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A second action or a filter makes one, and it then needs a paid plan.
What a Maestra Zap really costs
Zapier bills the work done, not the waiting. That makes the Maestra trigger free to run, whatever happens.
- TriggerNever billed
- Each successful action1 task
- Free plan100 tasks a month, two-step Zaps
- Premium appNo
- Maestra triggerInstant, no interval
The trigger never costs a task. Each action that succeeds counts once, and one that fails is not billed. Maestra is not a premium app, so it works on the free plan: 100 tasks a month, but only two-step Zaps. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. The interval grid below does not apply to the Maestra trigger, which is instant; it only matters when another app's polling trigger starts a Zap that ends with the Maestra upload.
Connect Maestra to Zapier in three steps
- 01
Open your connections
In your Zapier account, go to the Apps page and click + Add connection. A connection is your Maestra account linked once, then reused by every step that calls Maestra.
- 02
Pick Maestra
Type Maestra in the search box of the dialog, select it, then click Add connection. You need a Maestra account already in place before this step, since Zapier links to it.
- 03
Sign in and allow access
A new tab opens. Sign in to Maestra there and grant Zapier access to the account. Back in Zapier, the connection appears in your list, ready for the trigger and the action.
Your first Zap: tell a teammate when a transcript is ready
GoalEach new Maestra transcription goes through a filter, and only the ones that match your condition send a message to your team chat.
- 01
Start from Maestra
Create a Zap, choose Maestra and pick Send Transcription to Google Drive Folder as the trigger. Select your Maestra connection when Zapier asks for it.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent items from the connected account, so you set up the next steps on a real transcription.
- 03
Add the filter
Click the plus icon and add a Filter. Fill its three boxes: the field to look at, the rule, and the value to compare with. Pick a text rule for text.
- 04
Send the message
Add your team chat with its send message action, then write the message using what the trigger brought back, so the reader knows which transcript is ready.
- 05
Test, then publish
Test each step and read what came back before moving on. Then click Publish to switch the Zap on. With a filter it has three steps, so it needs a paid plan.
The Maestra trigger
1 event starts a Zap when something happens in Maestra, and one of them is instant: the app calls Zapier straight away, whatever your plan.
Send Transcription to Google Drive Folder
Instant triggerIn Zapier“Triggers when a new transcription is added, and uploads it to the Google Drive Folder.”
This one wakes up when a new transcription is added in Maestra, and it carries that transcription into a Google Drive folder. For your Zap, it is the starting signal that a piece of text is now available for the steps after it.
The Maestra action
Maestra gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

Upload File to Maestra
ActionIn Zapier“Creates a file upload task in Maestra”
Hands a file to Maestra and opens an upload task there, so transcription can start without anyone dragging the file in.
When a Maestra Zap breaks
Zapier attaches no help article to Maestra, so the failures worth knowing come from how Zaps behave in general.
Four situations explain most surprises. None is specific to Maestra, but each one hits a transcription Zap in its own way. See our Zapier troubleshooting page.
Old transcripts never show up
A Zap only reacts to what happens after it is switched on. Transcriptions finished before that are not picked up; moving the backlog is a separate job.The Zap keeps setting itself off
If a step writes into the very place the trigger watches, each write starts the Zap again, over and over, and the task count drains fast.A bulk batch is held back
When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold those items back. The upload has no link to send
Upload File to Maestra needs a file name and a file URL. If the earlier step leaves either one empty, the action has nothing to hand over.
