What the Magicform Zapier integration does for you

Magicform builds forms with the help of AI. Connecting it to Zapier means the answers do not stay in Magicform: each new response can be copied, sorted or acted on in your other tools, and new forms can be created from outside without opening the builder.

Three results cover most uses. Answers that land where you work: New Form Response starts a Zap the moment someone submits, so the answer reaches your spreadsheet, inbox or sales tool. Forms you no longer rebuild by hand: Duplicate a Form copies a form you already polished, under a new title, each time another app asks for one. A look back at earlier answers: Find Responses pulls existing responses into a Zap, up to the number you set.

What Zapier does not do here: there is no action to edit, delete or publish a form, and no action to write an answer. The two actions only create forms, either empty or copied. The trigger also watches one form at a time inside one organization, so a second form needs its own Zap.

Zap
The automation you build: one trigger, then one or more actions that run every time that event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for that event to happen.
Action
What the Zap does after it starts: the step that writes, sends or moves something on your behalf.
Task
The unit Zapier bills you for: one action your Zap completes successfully. Your plan is a count of these.
Polling vs instant
A polling trigger is checked on a timer for new items. An instant trigger is reported by the app the moment it happens.
Filter
A step that lets the Zap carry on only when what arrived meets your condition, and stops it otherwise.
Search step
A step that looks up something that already exists in an app, so the steps after it can use what it found.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it needs a paid plan.

Magicform is not a premium app, so it works on the free plan. You pay in tasks, one per action that goes through.

The trigger never costs a task: listening for new responses is free. Each action that succeeds counts once, and one that fails does not. Sending every answer to a spreadsheet is one task per response. Add a filter to keep only some answers, or a Find Responses search, and the Zap becomes multi-step, which needs a paid plan since the free plan stops at one trigger and one action. The interval grid below is Zapier's standard one; it does not apply here, because New Form Response is instant.

Connect your Magicform account in three steps

    Open your connections

    In your Zapier account, go to the Apps page and click + Add connection. You need a Magicform account first, since Zapier only links an account that already exists.

    Pick Magicform

    Type Magicform in the search box of the dialog that appears, select it in the results, then click Add connection. A new browser tab opens on the Magicform side.

    Sign in and allow access

    Log in to Magicform in that tab and grant Zapier access to your account. The connection is saved once, and every Zap step that uses Magicform reuses it from then on.

First Zap

Your first Zap: email only the answers that matter

GoalWhen someone answers your Magicform, a filter checks one of the answers, and only the matching responses send you an email.

    Start from New Form Response

    Build a new Zap with Magicform as the app and New Form Response as the event. Select Organization, then the form whose answers you want to follow.

    Test with real answers

    Run the trigger test: Zapier brings back the three most recent responses of that form, so you set up the next steps on an answer someone actually gave.

  3. 03

    Add the filter

    Add a Filter step and fill its three boxes: the answer to look at, the rule, and the value to compare with. Pick a text rule for text and a number rule for numbers.

    Add the email

    Add your email tool as the action and map the answers into the message. With the filter in between, this is a multi-step Zap and it needs a paid plan to run.

  5. 05

    Test, then publish

    Test each step once, including a response that should be stopped by the filter. When both cases behave, publish the Zap to switch it on.

Duplicate a Form

Makes a copy of an existing Magicform under a new title, with the questions and settings you already worked on.

When to use it
you reuse the same form again and again, and another app is where the need for a new copy first shows up.
Watch out
Select Organization and the title of the duplicate are both required, so map a title that tells the copies apart.

Create an Empty Form

Creates a blank Magicform with only a title, ready for you or a teammate to fill with questions.

When to use it
a new request elsewhere should leave an empty form waiting in Magicform, named after it, so nobody forgets to build it.
Watch out
the form arrives empty; Zapier cannot add questions to it, and it still needs Select Organization and a title.

The Magicform search

1 search step looks for data that already exists in Magicform, so a later step can use it.

A search step looks up responses that already exist instead of waiting for new ones. It sits at the bottom of the action-event list, under its own SEARCH heading, and adding it makes the Zap multi-step.

Pulls existing responses from one of your forms into the Zap, so later steps can use answers that came in before.

When to use it
a Zap started by another app needs to check what people already answered, for example before sending a follow-up.
Watch out
Maximum number of responses is required and runs from 1 to 1000, with 20 by default; an optional box keeps only responses rewarded with credits.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and the steps after it are skipped. Switched on, the Zap carries on with nothing in hand.
  2. Create X if it doesn't exist yet?
    On apps that offer it, this box turns a search into a find-or-create. Magicform exposes no such variant, so Find Responses only ever looks.
  3. If multiple search results are found?
    Three ways out when several responses match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a Magicform Zap breaks

Zapier attaches no help article to Magicform, so the known failure points are the ones every Zap shares, plus the organization setting.

None of these shows up as an obvious error until you check the runs. If a Zap still puzzles you, see our Zapier troubleshooting page.

  • Answers from before are not sent

    A Zap only reacts to what happens after you switch it on. Responses already in Magicform are not picked up; moving them is a separate job.
  • The wrong organization is selected

    Every step requires Select Organization. If you picked the wrong one, the form you want is not listed, and the Zap watches or creates in the wrong place.
  • A wave of answers gets held back

    When the trigger suddenly sends a huge batch at once, Zapier's flood protection can hold those runs back instead of processing them all.
  • The Zap sets itself off

    A Zap that writes into the very place its own trigger watches starts again and again, and burns through your task count fast.

Magicform Zapier integration: your questions

01Is the Magicform Zapier integration free?
On Zapier's side, yes. Magicform is not a premium app, so the free plan covers it: 100 tasks a month and as many Zaps as you like, each capped at one trigger and one action. New Form Response sending every answer to a spreadsheet row fits inside that. A paid plan comes in the moment you add anything more, such as a filter to keep only some answers, a Find Responses search or a second action. What Magicform charges for its own account is outside the scope of this page.
02How many tasks does a Magicform Zap use?
One per action that succeeds, and nothing for the trigger. If each new response is copied to a spreadsheet, a form that gets fifty answers uses fifty tasks. A response that a filter stops goes no further, so the actions after the filter are not run and cost nothing. An action that fails is not counted either. Estimate how many answers your form receives each month before picking a plan.
03Is the Magicform trigger real time?
Yes, and the free plan gets the same speed as the paid ones. Magicform itself tells Zapier each time the form you picked is submitted, so nothing waits for a timer and the interval grid on this page never applies to New Form Response. In the editor, a lightning bolt on the Zap confirms it. That behavior is set by the app, so there is nothing to switch on. Speed and cost are separate matters, though: every successful action after the trigger is still a task.
04What does connecting Magicform to Zapier require?
Two things: a Magicform account, and access to the organization that holds your forms. Then go to the Apps page in Zapier, click + Add connection, search for Magicform, log in on the tab that opens and grant access. That connection is reused by every Magicform step afterwards. Right after comes Select Organization, which every step asks for: if a colleague created the organization, make sure your account has read or write access to it, or the form you want will not be there to pick.
05Why does the form not appear in the trigger?
Usually because the wrong organization is selected. New Form Response, both actions and Find Responses all ask you to Select Organization first, and the list of forms only shows the ones inside that organization. Switch to the organization that holds the form, refresh the list, and test again. If it is still missing, check that your Magicform account has access to that organization at all. The same check applies when Duplicate a Form cannot find your template.
06What if the Magicform operation you want is not listed?
Then Zapier does not offer it for Magicform. You get one trigger, New Form Response, two actions, Duplicate a Form and Create an Empty Form, and one search, Find Responses. There is nothing to edit, delete or publish a form, nor to add questions. Sometimes a duplicate covers the need: build the form once in Magicform with its questions, then let Duplicate a Form copy it whenever another app asks.
