What the MaidCentral Zapier integration does
MaidCentral is management software for home cleaning businesses, where leads, quotes, jobs and customers sit together. Connected to Zapier, it reports ten business events the moment they happen, and lets a Zap (the automation you build on Zapier) create a lead or attach a note in MaidCentral from another tool.
Three results come up first. A follow-up after every visit: Job Completed fires when a job is done, and the Zap sends a message from your email tool, with no list to check at the end of the day. Leads that never get lost: Create Lead writes a contact from a web form or another tool straight into MaidCentral, so the team calls back from one list. A sales pipeline you can read elsewhere: Quote Sent, Quote Booked and Lead Closed feed a spreadsheet, so you see quotes move without opening the app.
Two more deserve a mention. Do Not Market tells your marketing tools to stop writing to someone, and Cancelled Service alerts the team when a customer leaves.
What Zapier does not do for MaidCentral: there is no search, so a Zap cannot look up a customer before acting. It cannot create or move a job, send a quote, or edit a contact; the only writes are a new lead and a note. And a Zap never replays what happened before it was switched on.
This site has no MaidCentral page for Make or n8n yet. To weigh platforms anyway, start with n8n vs Zapier.
Zapier vocabulary in one minute
Seven Zapier words run through this page. Here is each in one plain line, and then the page uses them as is.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event that starts the Zap, like a completed job in MaidCentral. Once the Zap is on, Zapier waits for it.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something for you, like creating a lead.
- Task
- The unit Zapier bills: one action your Zap completes successfully. The count on your plan is a count of those.
- Polling vs instant
- A polling trigger is checked on a timer; an instant trigger is reported by the app the moment it happens. All ten MaidCentral triggers are instant.
- Filter
- A step that lets the Zap carry on only when what arrived meets the condition you set, and stops it otherwise.
- Connection
- Your MaidCentral account linked to Zapier once, then reused by every MaidCentral step in every Zap you build.
What a MaidCentral Zap really costs
MaidCentral is not a premium app, so all twelve operations work on the free plan. Zapier bills in tasks, and triggers never count.
- Any of the 10 triggers0 tasks
- Create Lead, Create Note1 task each time it succeeds
- Free plan100 tasks a month, 2-step Zaps
- Premium appNo
A job completed, a quote sent or a lead closed costs nothing by itself. Each action that succeeds afterwards costs one task, whether it runs in MaidCentral or in another app; a failed action is not counted. The free plan gives 100 tasks a month and unlimited Zaps, two steps each: one trigger, one action. A filter or a second action makes the Zap multi-step, which needs a paid plan. The grid below shows how often Zapier checks polling triggers on each plan. It does not apply here: the ten MaidCentral triggers are instant.
Connect MaidCentral to Zapier in three steps
- 01
Open Apps
In your Zapier account, go to Apps and click + Add connection. You need a MaidCentral account, plus access to any record you do not own yourself and want the Zap to touch.
- 02
Pick MaidCentral
Search for MaidCentral in the dialog, select it and click Add connection. A new tab opens on the MaidCentral side, where you sign in with your usual account.
- 03
Sign in and grant access
Log in to MaidCentral in that tab and allow Zapier to reach the account. The connection appears in your list, and every MaidCentral step of every Zap reuses it.
First Zap: a follow-up email after each completed job
GoalEvery customer hears from you once the clean is done: when a job is completed in MaidCentral and passes your filter, your email tool sends the follow-up.
- 01
Create the Zap with Job Completed
Create a Zap, choose MaidCentral as the app and Job Completed as the event, which covers both recurring and one-time jobs. Select your MaidCentral connection.
- 02
Test on real jobs
Run the trigger test. Zapier brings back the three most recent completed jobs of your account, so you build the email on a real customer, not on placeholders.
- 03
Add the filter
From the plus icon, add Filter and set the field, the rule and the value. Use a text rule on text and a number rule on numbers, or the filter never passes.
- 04
Add the email step
Add your email tool as the action, map the customer's address and name, and write the message. The filter makes this a multi-step Zap, so it needs a paid plan.
- 05
Test, then publish
Run each step once and read what came back. When the email looks right, click Publish: from then on, each completed job that passes the filter gets its follow-up.
MaidCentral triggers
10 events start a Zap when something happens in MaidCentral, and 10 of them are instant: the app calls Zapier straight away, whatever your plan.
Cancelled Service
Instant triggerIn Zapier“Triggers when a customer cancels service.”
Starts the Zap when a customer cancels their service in MaidCentral, and passes that customer on so the rest of your tools can react.
Contact Updated
Instant triggerIn Zapier“Triggers when a contact (lead or customer) is updated.”
Fires whenever a contact changes in MaidCentral, whether that contact is still a lead or already a customer, and sends the updated record along.
Do Not Market
Instant triggerIn Zapier“Triggers when a contact (lead or customer) is set to do not market.”
Goes off when a lead or a customer is flagged as do not market, so the people who must not receive promotions are known everywhere.
Job Completed
Instant triggerIn Zapier“Triggers when a job is completed (both Recurring and One Time).”
Reacts each time a job is finished, recurring or one-time alike, which makes it the broadest of the three job triggers.
Job Completed - Recurring
Instant triggerIn Zapier“Triggers when a recurring job is completed.”
Only recurring jobs start this one: a regular customer's clean is marked complete, and the Zap gets that job and its customer.
Job Completed - One Time
Instant triggerIn Zapier“Triggers when a one time job is completed.”
Limited to one-time jobs, this trigger fires when a single visit is completed and hands that job to the next steps.
Lead Closed
Instant triggerIn Zapier“Triggers when a lead is closed.”
Signals that a lead has been closed in MaidCentral, and passes that lead to whatever should be updated next.
Lead Created
Instant triggerIn Zapier“Triggers when a new lead is created.”
Kicks in as soon as a new lead is created in MaidCentral, and gives that lead to the following steps.
Quote Booked
Instant triggerIn Zapier“Triggers when a quote is booked.”
Fires when a quote is booked in MaidCentral, and hands that booking to the next steps of the Zap.
Quote Sent
Instant triggerIn Zapier“Triggers when a quote is sent.”
Starts your Zap when a quote is sent from MaidCentral, so another tool can keep track of it.
MaidCentral actions
MaidCentral gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create Lead
ActionIn Zapier“Create a Lead in the system”
Adds a new lead to MaidCentral from any other tool, so prospects collected elsewhere land in the same list as the rest.
Create Note
ActionIn Zapier“Creates a note or ticket in the system, linked to a contact (employee, lead or customer)”
Attaches a note, or a ticket, to a contact in MaidCentral, whether that contact is a lead, a customer or an employee.
When a MaidCentral Zap breaks
Zapier attaches no help article to MaidCentral, and the app page lists no limit of its own. The cases below come from how Zapier works, plus the required fields of the two actions.
Six situations cover most surprises. Knowing them before you publish spares you a long search. For anything else, see the Zapier troubleshooting page or the Zapier training.
Create Lead restarts the Zap
Create Lead adds leads, so a Zap built on Lead Created that runs Create Lead can set itself off again and again, and burn through tasks fast.Mind the phone format
Create Lead expects a phone in the 555-555-5555 format. A number written any other way does not match what the step expects. The same job sends two messages
Job Completed covers recurring and one-time jobs. Run Zaps on it and on a narrower job trigger at once, and one job starts both. The note lands on the wrong kind of record
Create Note reads Contact Type as a number: 0 lead, 1 customer, 2 employee. Check the value you map matches the kind of contact the note is for.Past jobs and quotes never show up
A Zap only reacts to what happens after it is switched on. Jobs, quotes and leads that already existed are not replayed, and moving them is a separate job.A bulk import gets held back
After a large import or a migration, a trigger can suddenly return a huge batch, and Zapier's flood protection can hold the Zap back.
