ManageMemberships Zapier integrationAutomate ManageMemberships with Zapier.
The ManageMemberships Zapier integration gives you 3 triggers, 0 actions and 0 searches. Your gym or studio software starts the Zap, and other apps do the work. Here is what each trigger catches, how often Zapier checks, and what it costs.

What the ManageMemberships Zapier integration is for
It lets the activity in your gym or studio software reach the other tools you use, without exporting lists by hand. A booking or a door scan happens in ManageMemberships, and Zapier passes it on. The vehicle is a Zap: one starting event, then one or more steps that run each time that event happens.
Class bookings that land in your mailing tool. New Class Booking can send a confirmation or add the member to a list, so the follow-up does not depend on someone remembering it.
A door log your team can read. New Door Scan covers scans that were granted and scans that were denied. Sent to a spreadsheet, it becomes an attendance record; filtered on denied scans, it becomes an alert for the front desk.
Facility bookings in a shared calendar. New Resource Booking pushes each reservation to the place your staff already checks.
Now what it does not do. On Zapier, ManageMemberships only starts Zaps: there is no action, so nothing can create a member, a booking or a subscription in it from another app. There is no search either. And all three triggers are polling ones, which means Zapier picks up new items at its next check, not when they happen.

Zapier vocabulary in one minute
Seven words come back throughout this page. Here they are, in plain English.
- Zap
- The automation you build on Zapier: one starting event, then one or more steps that run every time it happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for that event and nothing else.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something in another app for you.
- Task
- The unit Zapier bills: one action your Zap completes successfully. Your plan counts these, not triggers.
- Polling trigger
- A trigger Zapier checks on a timer: it asks the app for new items at a set interval and keeps only the ones it has not seen.
- Filter
- A step that lets the Zap go on only when the incoming data meets your condition, and stops it otherwise.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A filter or a second action makes one, and it then needs a paid plan.
What it costs, in tasks
Since ManageMemberships has no action on Zapier, the tasks you pay for are spent in the other apps of your Zap.
- Trigger0 task, however often Zapier checks
- Successful action1 task each
- Failed actionNot counted
- Free plan100 tasks a month, two-step Zaps only
- This appNot reserved for paid plans, works on Free
The trigger itself never costs a task, and neither do Zapier's checks for new bookings or scans. Each action that succeeds downstream costs one; a failed action is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, each limited to two steps. Every trigger of this app is a polling one, so the interval grid below applies to all three. Ask yourself before building: is this Zap worth two tasks per booking, or one?
Connect your ManageMemberships account
- 01
Open the Apps page
In Zapier, go to Apps and click + Add connection. A connection is your ManageMemberships account linked to Zapier once, then reused by every Zap that starts from it.
- 02
Find ManageMemberships
Type ManageMemberships in the dialog, select it, then click Add connection. A new tab opens on the app's own sign-in page. Check the name before you confirm, so the Zap starts from the right account.
- 03
Sign in and grant access
Log in with your ManageMemberships account and grant Zapier access. Beyond the account itself, you need read or write access on anything you do not own yourself and want the Zap to touch.
Your first Zap: alert the front desk on denied scans
GoalEach denied door scan reaches your team chat at the next check, so staff can help the member at the door.
- 01
Build the Zap
Create a Zap, pick ManageMemberships as the app and New Door Scan as the event, then choose your connection. None of the three triggers asks for a required field.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent scans of your account. Look at what came back to find how a denied scan differs from a granted one.
- 03
Add the filter
Click the plus icon, pick Filter, then set the field, the rule and the value that mark a denied scan. Use a text rule on a text field. The filter makes this a multi-step Zap, so it needs a paid plan.
- 04
Add the message
Add your chat tool as the action and map what the scan brought back into the message. Keep only what the front desk needs to recognize the member.
- 05
Test, then publish
Test each step and read the result. When the message looks right, click Publish. From then on, Zapier checks for new scans at your plan's interval.
The 3 ManageMemberships triggers
3 events start a Zap when something happens in ManageMemberships. Zapier checks for them at the interval your plan allows.
New Class Booking
Polling triggerIn Zapier“Triggers when a new class booking is created.”
Starts a Zap for every class spot a member reserves. It is the trigger to use when a booking should produce something outside ManageMemberships: a confirmation, a list entry, a row in a report.
New Door Scan
Polling triggerIn Zapier“Triggers when a member scans their QR code at a door (granted or denied).”
Runs each time a member scans their QR code at a door, and it covers both outcomes: access granted and access denied. One trigger, two very different situations to tell apart.
New Resource Booking
Polling triggerIn Zapier“Triggers when a new resource booking is created.”
Fires when someone books one of the facility resources you manage in ManageMemberships. Each reservation becomes an item other apps can act on.
When the Zap breaks
Zapier ties no help article to this app, so the cases below are the limits every Zap shares.
Four of them apply to ManageMemberships. If your Zap still acts up after these checks, go to our Zapier troubleshooting guide.
Past bookings never come through
A Zap only reacts to what happens after you switch it on. Bookings and scans that already existed are not picked up; moving them is a separate job.The same scan does not run twice
Zapier remembers what it has already seen on a polling trigger, so a booking or a scan that was picked up once does not start the Zap again.A bulk import is held back
When a trigger suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold those items back instead of running them all.A Zap that sets itself off
A Zap that writes into the place its own trigger watches can restart again and again and burn tasks. With no action in this app, check the other apps of the chain.
