What the Manu Online Zapier integration does for you

The Manu Online Zapier integration connects Manu Online, the ERP built for small and medium-sized manufacturers, to the rest of your tools through Zapier. Eight events go out, from activated orders and invoices to saved items and partners. Four moves come in, and two searches let a Zap find a partner or a stored ID before it writes anything.

Three results people build with it. Orders from another app: a new order captured elsewhere goes through Find a Partner in Manu Online, then Create a Sales Order, so it lands in the ERP with the right customer attached. A bridge to your accounts: when Sales Invoice Activated fires, the invoice goes to your accounting tool, and, if that tool returns an ID for it, Create an Object Mapping Record can keep that ID inside Manu Online so the next Zap finds it with Lookup Object Mapping. A dispatch notice: Sales Dispatch Activated sends an email to whoever follows the order when a dispatch is activated.

What Zapier does not do here. Seven triggers are instant, but New Sales Order Promise Date is a polling one and waits for Zapier's next check. Three of the triggers also fire on a new version of an existing document, not only on brand-new ones. There is no action to create invoices, purchase orders or items, and no way to delete anything. And several actions refuse to run without IDs that must already exist in Manu Online.

Zapier vocabulary, explained once

Eight words carry every Zapier page. Here they are in plain English, so the rest reads easily.

Zap
The automation you build in Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event that starts the Zap, such as a sales order activated in Manu Online. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once started: the step that writes, sends or moves something for you, like creating a sales order.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan's allowance is a count of those.
Instant trigger
A trigger the app reports itself, calling Zapier when the event happens. Seven of the eight Manu Online triggers are instant.
Polling trigger
A trigger Zapier checks on a timer, asking for new items at a fixed interval. Here only the promise-date trigger works this way.
Filter
A step that lets the Zap carry on only when what arrived meets the condition you set, and stops it otherwise.

You pay one task for each action that succeeds. A Zap that turns an order from another app into a sales order costs one task per order. Put a partner search before it and the Zap becomes multi-step: a search, like a filter or a second action, needs a paid plan. A failed action is not counted. The free plan gives 100 tasks a month and Zaps of two steps. The interval grid below applies only to New Sales Order Promise Date, the one polling trigger; the seven instant triggers fire right away whatever the plan.

Connect your Manu Online account

    Open Apps

    In your Zapier account, go to Apps and click + Add connection. A connection is your Manu Online account linked to Zapier once, then reused by every Zap that needs it.

    Pick Manu Online

    Search for Manu Online in the dialog, select it and click Add connection. You need an existing Manu Online account to go any further. You do this once per account.

    Sign in and grant access

    Sign in to Manu Online in the tab that opens and grant Zapier access. If the orders, partners or items the Zap will touch are not yours, make sure your login can read and write them.

First Zap

Your first Zap: an email for the dispatches that matter

    Create the Zap and pick the trigger

    Start a new Zap, choose Manu Online as the app and Sales Dispatch Activated as the event, then select the connection you made in the section above.

    Test the trigger

    Run the test. Zapier brings back the three most recent items of the account, so you build on a real dispatch. Read which fields it shows before mapping.

    Add the filter

    Click the plus icon and add Filter: the field to look at, the rule and the value. Text rules only work on text. A filter makes the Zap multi-step, so a paid plan is needed.

    Add the email

    Add your email tool as the action, choose the step that sends an email, and write it with the dispatch details you saw at test, the recipient included if the test shows it.

    Test and publish

    Test each step once and read the email that comes out. When it looks right, click Publish to switch the Zap on for every new dispatch.

The main sales signal: it fires when a sales order is activated, for a new order or a new version of an existing one. Whatever has to happen in other tools after an order can start from here.

New Sales Order Promise Date

This one watches promise dates: it fires when a user adds a new promise date to a line of an existing sales order. It is the only polling trigger of the app, so it does not react as fast as the seven others.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a new promise date on an order line should be known outside the ERP, by whoever follows that order.
Watch out
it concerns a line of an existing order, not a new order, so map the order details from what the test returns.

Create an Object Mapping Record

Action

In Zapier“Creates a new object mapping in Manu Online. Use object mapping to store the external system numbers or id's of your connected systems in Manu Online. For intance if you export a partner to an external accounts system, you can catch the account system's id for that partner and store it back in Manu Online. Later when you send an invoice to the accounts system you can lookup the mapping data to find the partner's id in the external system.”

Stores, inside Manu Online, the ID another system uses for the same partner, order or invoice, so later Zaps can translate one into the other.

When to use it
you export partners or invoices to an outside system and need its ID back later.
Watch out
Object type is case sensitive, and the App name must be written the same way every time, or Lookup Object Mapping will not find it.

Writes a customer or supplier into Manu Online, creating it when it is new or updating it when it already exists.

When to use it
a contact won in your CRM or a new supplier should become a partner without retyping.
Watch out
the company name, a person ID that is unique inside the partner record and a Default person are required.

Create a Sales Dispatch

Records a sales dispatch against an existing sales order, so shipments handled outside the ERP still show up in it.

When to use it
a warehouse or shipping tool confirms a shipment that Manu Online should know about.
Watch out
five fields are required, including the sales order number and the shipped quantity; a currentUserPartnerId of 0 skips the check on the dispatch location.

Create a Sales Order

Opens a new sales order in your Manu Online account from whatever started the Zap, such as an order taken elsewhere.

When to use it
orders come in through another app and must end up in the ERP.
Watch out
Order Date, Partner ID, Currency and Item ID are required, and Currency takes a three-letter code such as GBP, USD or EUR.

A search step finds something that already exists in Manu Online and hands it to the next steps. The two searches sit at the bottom of the action-event list, under SEARCH. Three settings decide what happens when the result is not a clean single match.

Lookup Object Mapping

Reads back a mapping stored earlier, so a Zap can turn a Manu Online ID into the ID of another system, or the reverse.

When to use it
sending an invoice to your accounts system, which needs its own customer ID.
Watch out
External System Name and Object Type are required, and the name must match the one used when the mapping was created.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap and skips the steps that depended on it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking it turns the search into a find-or-create: it drops the setting above and asks for the fields needed to create the missing item.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When it breaks

Zapier attaches no help article to Manu Online, and no limit specific to the app is on record.

The cases below come from Zapier's general limits and from the required fields of the app. If a Zap misbehaves, our Zapier troubleshooting page is the next stop.

  • Older documents never come through

    A Zap only reacts to what happens after it is switched on. Orders, invoices and partners activated or saved earlier are not picked up; moving them is a separate job.
  • A partner Zap that restarts itself

    A Zap that writes where its own trigger watches can set itself off again and burn tasks. Create or Update a Partner next to Partner Saved deserves a test.
  • A bulk import held back

    When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold those items back.
  • The same order fires twice

    Sales orders, purchase orders and sales invoices fire again on a new version. The second activation is a real event, not a Zapier glitch.
  • A sales order refused for missing IDs

    Create a Sales Order needs a Partner ID and an Item ID. Plan where those IDs come from, such as a partner search placed before it, and check them at test.
  • A mapping that cannot be found

    Lookup Object Mapping matches on the system name you typed when the mapping was created. A different spelling can return nothing, so keep the name identical.

Manu Online Zapier integration: common questions

01Is the Manu Online Zapier integration free?
Yes. Manu Online is not a premium app, so it works on Zapier's free plan. That plan gives 100 tasks a month and an unlimited number of Zaps, each with two steps: one trigger and one action. Sending each activated sales order to a team chat fits inside that. An order Zap with a partner search does not: finding the partner first is a search step, which makes the Zap multi-step, and that needs a paid plan, as does a filter or a second action.
02How many tasks does a Manu Online Zap use?
Triggers are free, instant or polling, so an activated order or a saved partner costs nothing by itself. You pay one task for each action that succeeds. A Zap that creates a sales order from an order taken in another app spends one task per order for that action. Add a mapping record after it and that becomes two. A failed action is not counted against your plan, so a sales order refused for a missing ID does not eat into the allowance.
03Does Manu Online trigger Zapier in real time?
Mostly yes. Seven of the eight triggers are instant: Manu Online tells Zapier when the event happens, and the Zap starts right away whatever your plan. The exception is New Sales Order Promise Date, a polling trigger: Zapier checks every 15 minutes on the free plan, every 2 minutes on Professional and every minute on Team and Enterprise. A Zap built on an instant trigger shows a lightning bolt in the editor.
04What does it take to connect Manu Online to Zapier?
A Manu Online account and a Zapier account. Open Apps in Zapier, click + Add connection, search for Manu Online and click Add connection. Sign in in the tab that opens and grant Zapier access. If the Zap will write orders, partners or dispatches, your login needs write access to them. Before building, make sure the partners and items your orders refer to exist in Manu Online, since Create a Sales Order asks for their IDs.
05Why did the same Manu Online sales order start the Zap twice?
Because Sales Order Activated fires on a new order and also on a new version of an existing one. The same goes for Purchase Order Activated and Sales Invoice Activated. If someone revises an order and activates it again, the Zap runs again, and whatever it creates elsewhere may be created twice. Check at test what the trigger returns for a revised document, and plan a filter or an update step if a second version should not repeat everything.
06What if the Manu Online operation you need is not on Zapier?
Then this integration cannot do it. Zapier offers eight triggers, four actions (sales order, partner, sales dispatch, object mapping) and two searches (partner, object mapping). There is no action to create an invoice, a purchase order or an item, and nothing deletes records. You can still react to the eight events in other apps and write the four kinds of record in. If the job needs more inside Manu Online, look for another route.
