What the Marlie AI Zapier integration actually does

Marlie AI is a voice assistant that takes phone calls, sorts leads and books appointments. Plugging it into Zapier lets every call feed your spreadsheets, CRM or messaging tools, and lets your own system talk back to Marlie during a call. All three Marlie events reach Zapier the moment they happen.

Three things you get out of it. First, a call log you never type: Call Completed hands over the formatted phone numbers, the data Marlie collected and, when you switch it on, the transcript, ready to land as a row in a sheet. Second, a booking saved where you keep bookings: Live Call: Booking Requested (Advanced) fires while the caller is talking, your tool stores the slot, and Reply to Booking Request (Advanced) tells Marlie whether it worked. Third, a caller who gets recognized: Live Call: Customer Lookup Requested (Advanced) asks your own data source, and Reply to Customer Lookup Request (Advanced) tells Marlie whether a customer was found.

What Zapier does not do here: it cannot start a call, edit a Marlie agent or look anything up inside Marlie. There is no search step on this app, and the only two actions are replies to a live request. And if your CRM is already connected to Marlie directly, the two advanced triggers are not meant for you (Marlie's own description says to skip them in that case).

A call that ends and starts your Zap costs nothing by itself. Each action that goes through costs one task, so a live-booking Zap with a save step and a reply eats two per call. An action that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap stops at two steps, which rules out the three-card live-call pattern. The interval grid below concerns polling triggers only: it does not apply to the three instant triggers of Marlie AI.

    Open your connections

    You need a Marlie AI account first. In Zapier, go to the Apps page of your account and click + Add connection. A connection is your Marlie account linked once, then reused by every Zap that touches Marlie.

    Pick Marlie AI

    Type Marlie AI in the search box of the dialog and select it, then click Add connection. A new tab opens on the Marlie side, where the rest of the setup happens.

    Sign in and allow access

    Log in to Marlie AI in that tab and grant Zapier access to the account. If the agent you want to automate sits in an account you do not own, you need access rights on it before Zapier can use it.

    Start with Call Completed

    Create a Zap, pick Marlie AI as the app that starts it and Call Completed as the event. Choose the connection you made earlier.

    Test the trigger

    Run the test. Zapier brings back the three most recent items of the account, so you map on a real call rather than guessing what the data looks like.

    Add the filter

    Click the plus icon, choose Filter, then set the field to look at, the rule and the value. Pick a text rule for text and a number rule for numbers, or the filter never passes.

    Send the call to your sheet

    Add the spreadsheet action and map the phone numbers, collected data and, if you enabled it, the transcript into its columns. Check the field names on the test, not from memory.

    Test, then publish

    Test each step once and read what came back. Then click Publish to switch the Zap on. With the filter inside, this Zap is multi-step and needs a paid plan.

The everyday trigger. It starts your Zap once a call with your Marlie agent hangs up, carrying the phone numbers already formatted, the collected data flattened into simple fields, and the transcript when you turn it on.

Marlie has agreed a slot with the caller and needs somewhere to store it. This trigger passes the booking to your Zap while the call is still running, so your own system becomes the place where appointments are written.

When it breaks

When the Marlie AI Zap breaks

Zapier attaches no help article to Marlie AI, so the known traps are the general ones, plus the timing rule written into Marlie's own live-call operations.

  • Old calls are never picked up

    A Zap only reacts to calls that end after you switch it on. Calls from last week stay where they are; moving that backlog is a separate job.
  • The reply comes too late or too early

    Both live-call replies must be the final step and arrive within 30 seconds. Keep the steps in between few, and check the timing on a real test call.
  • A Zap that sets itself off

    A Zap that writes into the very place its own trigger watches can start itself again and again, and burns through tasks. Keep the input and the output apart.
  • A sudden flood held back

    If a trigger suddenly sends a huge batch, after a bulk import for instance, Zapier's flood protection can hold those runs back instead of firing them all.

Yes, on Zapier's side. Marlie AI is not a premium app, so the free plan can use it. That plan gives 100 tasks a month and an unlimited number of Zaps, but every Zap is capped at two steps: one trigger and one action. A Call Completed Zap that writes one row fits inside that. A live-call Zap that saves a booking in your tool and then replies to Marlie has three steps, so it needs a paid plan or the free trial.
02How many tasks does a Marlie AI Zap use?
One per action that succeeds, and nothing for the trigger. A call that ends and starts your Zap is free in itself. If that Zap then writes a single row, the call costs one task. A live-booking Zap with a save step and a reply costs two tasks per booking. An action that fails is not counted against your plan. A few apps and a few actions take more than one task when they complete, so read the count on your first test runs.

04What does it take to connect Marlie AI to Zapier?
A Marlie AI account and access to the agent you want to automate. From the Apps page of Zapier, click + Add connection, search Marlie AI, then sign in to Marlie in the tab that opens and grant Zapier access. The connection is made once and reused by every Zap. If someone else owns the Marlie account, ask for read or write rights on it first, because Zapier only sees what your login can see.
05Why does the Marlie AI reply action need a Request ID?
Because it tells Marlie which live call the answer belongs to. Both reply actions require the Request ID, and the only place it exists is the output of the matching live-call trigger. Map it from step one with the field picker, written as {{1.request_id}} in Marlie's own hint. That is also why a reply belongs after its own live-call trigger and never after Call Completed. Marlie expects that answer within 30 seconds, as the Zap's final step.
06What if the Marlie AI operation you need is missing?
Then Zapier cannot do it for Marlie AI today. The full list is three triggers and two actions: nothing creates or edits an agent, starts a call or looks something up inside Marlie. One way around it: let Call Completed carry the call data into another app that has the operation, and act there. Whether that covers the need depends on the data the call brings back, so check it on a test.
