Overview

What the Mavenoid Zapier integration actually does for your support team

The Mavenoid Zapier integration links your Mavenoid support account to Zapier, a service that moves information between apps without code. Mavenoid reports two events to Zapier, a new conversation and a ready transcript, and Zapier can ask Mavenoid for one thing in return: an invitation link for a customer.

A transcript archive you can read later. Session Transcript Ready fires once a completed session has its transcript. Push it into a spreadsheet or a shared document and your team leads review support sessions in one place, instead of opening them one by one.

A heads-up when a conversation opens. New Conversation starts a Zap each time someone begins a conversation in Mavenoid. Route that to your team chat, and nobody has to keep a tab open to know a customer is waiting.

Invitation links built from another tool. Create Conversation Link produces a unique invitation that leads a customer to self-service, live support, or both. It can also text that invitation by SMS. Plug it after a trigger from another app, and the link goes out without anyone copying it by hand.

What Zapier does not do here matters just as much. There is no search step for Mavenoid, so a Zap cannot look up an existing conversation or customer. There is no action to edit, assign later or close a conversation: one action, that is all. If you are weighing other tools for this, see our n8n vs Zapier guide.

Vocabulary

Zapier vocabulary in one minute

Eight words come back on every line of this page. Here they are in plain English, once, so the rest reads easily.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event and nothing else.
Action
What the Zap does after it starts: the step that writes, sends or creates something for you in an app.
Task
The unit Zapier bills. One task is one action your Zap completes successfully; your plan counts those.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself, so nothing waits for a check.
Filter
A step that lets the Zap carry on only when what arrived meets your condition, and stops it quietly otherwise.
Search step
A step that looks up something already stored in an app so later steps can reuse it. Mavenoid offers none on Zapier.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it needs a paid plan.
Cost

What a Mavenoid Zap really costs

Mavenoid is not reserved for paid plans on Zapier: it works on the free plan. The bill depends on actions, not on how busy your support desk is.

  • Trigger0 tasks
  • Each successful action1 task
  • Free plan100 tasks a month, two steps per Zap
  • Mavenoid on the free planYes

The trigger never costs a task, so a flood of new conversations costs nothing by itself. Each action that succeeds counts as one task, and an action that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but each one is limited to two steps. Add a filter or a second action and you are on a paid plan. The interval grid below is for polling triggers: it does not apply to the two Mavenoid triggers, which are both instant.

Connect

Connect your Mavenoid account to Zapier

  1. 01

    Open the Apps page

In your Zapier account, open Apps and click + Add connection. A connection is your Mavenoid account linked to Zapier once, then reused by every Zap step that talks to Mavenoid.

  2. 02

    Find Mavenoid

Type Mavenoid in the search box of the dialog, pick it, then click Add connection. You need an existing Mavenoid account first: Zapier only links to it.

  3. 03

    Sign in and allow access

Sign in to Mavenoid in the tab that opens, then grant Zapier access to the account. Anything you do not own yourself in Mavenoid needs read or write access on your side before a Zap can touch it.

First Zap

Your first Zap: file every finished transcript

GoalEach time a Mavenoid session ends with a transcript, keep only the ones that match a condition you choose and add them as a row in your spreadsheet.

  1. 01

    Create the Zap

Start a new Zap and pick Mavenoid as the app that starts it. Choose Session Transcript Ready as the event, then select your Mavenoid connection.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items of the connected account, so you map fields on a real transcript. Check at the test which fields come through.

  3. 03

    Add the filter

Add a Filter step from the plus icon and fill its three boxes: the field to look at, the rule, the value. The rules are typed, so a text rule only works on text.

  4. 04

    Add the spreadsheet action

Add your spreadsheet as the action, pick the step that adds a row, and map each column to a field from the trigger. Test it once and read what came back.

  5. 05

    Publish

Publish the Zap to switch it on. The filter makes this a multi-step Zap, so it runs on a paid plan. If you want a guided build, our Zapier training is there for that.

Triggers

Mavenoid triggers on Zapier

2 events start a Zap when something happens in Mavenoid, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Conversation

Instant trigger

In Zapier“Triggers when a new conversation is created.”

Starts your Zap whenever someone opens a new conversation in Mavenoid, so the next steps can tell a person or log the start of the exchange somewhere outside the support tool.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
when your team wants a message in its chat each time a customer starts talking to support, without watching the Mavenoid inbox.
Watch out
the Zap only sees conversations created after you publish it; the ones already open stay out of reach, and the fields that come through are worth checking at the test.
2

Session Transcript Ready

Instant trigger

In Zapier“Triggers when a transcript is created for a completed session.”

Waits until a session is completed and its transcript exists, then starts the Zap. This is the trigger for anything that needs the full exchange rather than its first message.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
when a support lead wants every finished session stored as a row in a spreadsheet, ready for a read-through or for quality notes.
Watch out
it fires on completed sessions only, so a conversation that is still open does not reach your Zap through this trigger.
Actions

The Mavenoid action on Zapier

Mavenoid gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

When it breaks

When the Mavenoid Zap breaks

Zapier attaches no help article to Mavenoid, and no Mavenoid limit is recorded. What breaks is what breaks on every Zap, plus one required field.

Four cases cover most of the surprises. Read them before you publish, and if something still goes wrong, our Zapier troubleshooting page is the next stop.

  • Past conversations are not picked up

A Zap only reacts to what happens after it is switched on. Conversations and transcripts that existed before stay where they are; moving them is a separate job.
  • A Zap that sets itself off

A Zap that writes into the place its own trigger watches can start itself again and again, and eat your task count fast. Keep the action away from what the trigger watches.
  • A sudden batch is held back

When a trigger suddenly returns a very large batch, after a bulk import or a migration for instance, Zapier's flood protection can hold those runs back.
  • No Product ID, no link

Create Conversation Link needs a Product ID every time. Left empty, the step cannot run. If a mapped value still fails, run the step test and read what comes back.

FAQ

Mavenoid Zapier integration: your questions

01Is the Mavenoid Zapier integration free?
Yes, Mavenoid works on the free Zapier plan, since Zapier does not reserve it for paid plans. The free plan gives 100 tasks a month and as many Zaps as you like, but each Zap stops at two steps: one trigger and one action. So New Conversation followed by one message in your team chat fits. The moment you add a filter, a second action or a search, the Zap becomes multi-step and needs a paid plan. Plan the shape of the Zap before you count on the free tier.
02How many tasks does a Mavenoid Zap use?
One task per action that completes, and nothing for the trigger. A support desk that opens many conversations does not burn tasks by itself: only the steps that run afterwards count. A Zap with New Conversation and one action uses one task per conversation. Add a second action and each run costs two. An action that fails is not counted against your plan. A few apps and actions take more than one task when they complete, so read the task count on your first runs.
03Is the Mavenoid integration real time?
Yes for both triggers. New Conversation and Session Transcript Ready are instant triggers: Mavenoid tells Zapier itself when the event happens, so the Zap does not wait for a timed check. The interval grid of the plans, 15 minutes on Free down to 1 minute on Team and Enterprise, only concerns polling triggers. That is why the free plan is not slower here than a paid one. In the editor, a Zap built on an instant trigger shows a lightning bolt.
04What is needed to connect Mavenoid to Zapier?
A Mavenoid account you can sign in to, and access to what the Zap will touch. From the Apps page of Zapier, click + Add connection, search Mavenoid, click Add connection, then sign in to Mavenoid in the new tab and grant access. Items you do not own yourself need read or write access granted to your account beforehand. The connection is made once and reused by every Zap step that uses Mavenoid.
05Why does Create Conversation Link fail?
The first thing to check is the Product ID, the one required field of this action. Without it the step cannot run. If a value is mapped and the step still fails, check at the test which product it points to. Map it from a fixed value or from a field of the trigger, then run the step test and read what came back. The optional settings, such as Shorten url or Assign to agent, are not required to make the link.
06What if the Mavenoid operation you want is not there?
Then Zapier cannot do it with Mavenoid today. The integration has two triggers and one action, with no search and no way to edit or close a conversation. Ask yourself whether the event you care about is a new conversation or a finished transcript: if so, a trigger covers it and the rest can happen in another app. If the step has to change something inside Mavenoid, Zapier will not reach it, whatever the plan.
07Zapier, Make or n8n for Mavenoid?
It depends on the criteria, not on a winner. On Zapier, the two Mavenoid triggers are instant and the app works on the free plan, which suits a team that needs one trigger and one action with instant starts. Make and n8n have their own catalogues and their own pricing logic, and whether they offer Mavenoid is something to check on their side. Compare what each one lets you build with Mavenoid, how it counts runs, and who will maintain the automation.
