What the Order Sender Zapier integration does for a sales team
Order Sender is a mobile order-taking tool built for sales networks and the agents who visit customers. Plugging it into Zapier means two things: what your agents create in the field (a client, an order, a quote) can set off work in your other tools, and the catalogue data your office maintains elsewhere can be pushed into Order Sender, or pulled out of it, with no copy and paste.
Three results come up again and again. First, a clean client file on day one: New Client starts the Zap and Import Client Payment Condition attaches the right payment terms, so the agent's next order goes out with the correct conditions. Second, a catalogue that stays in step: Import Product, Import Price List and Import Discount write in what your purchasing team decides, instead of someone retyping it before every sales season. Third, a file your accountant can open: Export Orders or Export Commissions hand the data on as CSV or JSON, ready for the next step of the Zap.
What Zapier does not do here is just as useful to know. None of the four triggers is instant: Zapier goes and checks Order Sender on a timer, so an order typed at a customer's counter reaches the Zap at the next check, not the second it is saved. The triggers only react to new records, so a client, an order or a quote that gets edited later does not start anything. And the app has no search step, so a Zap cannot look up an existing client or product inside Order Sender before acting on it; the codes it needs have to come from an earlier step.
If you are still weighing the tool itself, the Zapier review and the Make vs Zapier comparison are the places to start.
Zapier vocabulary in one minute
Eight words carry the whole page. Here is what each one means for an Order Sender user.
- Zap
- The automation you build: one trigger, then one or more actions that run every time that trigger event happens.
- Trigger
- The event that starts the Zap, here a new client, order, product or quote in Order Sender. Once the Zap is on, Zapier waits for it.
- Action
- What the Zap does after it starts: the step that imports, exports or deletes something in Order Sender or writes into another tool.
- Task
- What Zapier bills: one action your Zap completes successfully. The allowance on your plan is a count of those.
- Polling trigger
- A trigger Zapier checks on a timer, asking the app for new items and keeping only those it has not seen. All four here work this way.
- Instant trigger
- A trigger the app reports itself the moment the event happens, so nothing waits for a check. Order Sender has none.
- Filter
- A step that lets the Zap carry on only when what arrived meets a condition you set, and stops it otherwise.
- Connection
- Your Order Sender account linked to Zapier once, then reused by every step of every Zap that touches the app.
What an Order Sender Zap really costs
Order Sender is not a premium app, so it works on the free plan. The bill is counted in tasks, and only completed actions count.
- Premium appNo, available on the free plan
- Free plan100 tasks a month, unlimited Zaps
- Free plan Zap size2 steps: one trigger, one action
- Trigger cost0 tasks
Watching for new clients or orders costs nothing, however often Zapier checks, and the trigger itself never costs a task. Each action that goes through counts once, so a Zap with three actions eats three times what a one-action Zap does. An action that fails is not counted. The free plan gives you 100 tasks a month and Zaps of two steps only: one trigger, one action. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan.
Connect your Order Sender account
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. You need an Order Sender account first, plus read or write rights on any data you do not own yourself but want the Zap to touch.
- 02
Pick Order Sender
Type Order Sender in the search box of the dialog, select it, then click Add connection. A new tab opens on the Order Sender side, where the actual sign-in happens.
- 03
Sign in and grant access
Log in to Order Sender in that tab and let Zapier access the account. The connection is then saved once and offered again in every Zap step that uses Order Sender.
Your first Zap: payment terms for every new client
GoalEvery new client entered in Order Sender gets a payment condition attached, but only the clients that match your rule.
- 01
Build: choose the trigger
Create a Zap, pick Order Sender as the app that starts it and New Client as the event, then select your Order Sender connection.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent clients of the connected account, so you map the next steps on a real record instead of a guess.
- 03
Add the filter
From the plus icon, add Filter and set the field to look at, the rule and the value. This turns the Zap into a multi-step Zap, so it needs a paid plan.
- 04
Add the action
Pick Order Sender again with Import Client Payment Condition. Point Client Code at the matching value from the tested client and type the Payment Condition Code to apply.
- 05
Test, then publish
Test the action once and check the result in Order Sender before going further. When it looks right, publish the Zap to switch it on. It only reacts to clients created after that.
Order Sender triggers
4 events start a Zap when something happens in Order Sender. Zapier checks for them at the interval your plan allows.
New Client
Polling triggerIn Zapier“Triggers when a new client is created.”
A customer account added to Order Sender is what starts this Zap, whether the agent created it on the road or the office keyed it in. The new client's details then travel to whatever step comes next.
New Order
Polling triggerIn Zapier“Triggers when a new order is created.”
This one follows the sales themselves: an order collected by an agent appears in Order Sender, and the Zap takes it from there, toward the warehouse, the accounts team or a shared sheet.
New Product
Polling triggerIn Zapier“Triggers when a new product is created.”
Each item added to the Order Sender catalogue sets off this one. It suits the people who manage the product list rather than the agents, since it follows the catalogue, not the sales.
New Quote
Polling triggerIn Zapier“Triggers when a new quote is created.”
When an agent drafts a quote in Order Sender, this trigger hands it to the Zap. Quotes are the deals still open, which makes them the natural place to hang a follow-up.
Order Sender actions
Order Sender gives you 24 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

Delete Client
ActionIn Zapier“Delete Client.”
Removes a client from Order Sender, found by its Client Code.
Delete Discount
ActionIn Zapier“Delete discount.”
Cancels a client's special price on a product, pinpointed by the Client Code, the Supplier Code and the Product Code together.
Delete Payment Condition
ActionIn Zapier“Delete payment discount.”
Removes a payment condition template, picked by its Condition Code.
Delete Product
ActionIn Zapier“Delete product.”
Withdraws a product from the catalogue. The step identifies it with the Supplier ID and the Product Code, since a code is only unique within one supplier.
Delete Secondary Address
ActionIn Zapier“Delete secondary address.”
Takes one extra address off a client, given the Address Name and the Client Code. The client itself stays, and only that one address goes.
Export Clients
ActionIn Zapier“Exports Client in JSON or CSV formats.”
Pulls the client list out of Order Sender. Its only required box is File Format, where you choose CSV or JSON.
Export Client Payment Conditions
ActionIn Zapier“Exports payment conditions for clients in JSON or CSV formats.”
Extracts which payment terms are attached to which client, as a CSV or JSON file chosen in File Format.
Export Commissions
ActionIn Zapier“Exports commissions in JSON or CSV formats.”
Gets the commission records out of Order Sender in the format set in File Format, CSV or JSON.
Export Discounts
ActionIn Zapier“Exports discounts in JSON or CSV formats.”
Produces the list of client discounts, CSV or JSON depending on File Format.
Export Orders
ActionIn Zapier“Exports orders in JSON or CSV formats.”
Takes the orders out of Order Sender as CSV or JSON, the choice made in File Format.
Export Payment Conditions
ActionIn Zapier“Exports payment conditions in JSON or CSV formats.”
Lists the payment condition templates defined in Order Sender, in the format picked under File Format.
Export Price Lists
ActionIn Zapier“Exports price lists in JSON or CSV formats.”
Delivers the price lists as a CSV or JSON file, set through File Format.
Export Products
ActionIn Zapier“Exports products in JSON or CSV formats.”
Dumps the product catalogue in CSV or JSON, whichever File Format says.
Export Quotes
ActionIn Zapier“Exports quotes in JSON or CSV formats.”
Brings out the quotes recorded in Order Sender, CSV or JSON according to File Format.
Export Suppliers
ActionIn Zapier“Exports Suppliers in JSON or CSV formats.”
Outputs the supplier list as a file, in the CSV or JSON format chosen in File Format, the only box this step asks you to fill.
Import Client
ActionIn Zapier“Import of client details.”
Creates a client in Order Sender from data arriving in the Zap. You give it at least a Name and a Code, the code being the unique key every other client action relies on.
Import Client Payment Condition
ActionIn Zapier“Import payment condition for clients.”
Links an existing payment condition to an existing client, using the Client Code and the Payment Condition Code.
Import Commission
ActionIn Zapier“Import commission.”
Records the commission attached to a supplier, given as a Supplier Code and a Commission Percentage.
Import Discount
ActionIn Zapier“Import discount.”
Sets a negotiated deal for one client on one product: Client Code, Supplier Code, Product Code and a Net Price, four required boxes.
Import Payment Condition
ActionIn Zapier“Import payment condition.”
Defines a payment condition in Order Sender, identified by its Payment Condition Code. It is the template; attaching it to a client is a separate action.
Import Price List
ActionIn Zapier“Import price list.”
Writes a product's price into a given price list. The step asks for the Supplier ID, the price list Code, the Product Code and the Price itself.
Import Product
ActionIn Zapier“Import product.”
Puts a product into the catalogue. It needs a Code, unique for its supplier, a Description that serves as the product's name, and the Supplier Code.
Import Secondary Address
ActionIn Zapier“Import secondary address.”
Adds another address to a client that already exists, such as a second shop or a delivery depot. The address gets a Name and is tied to a Client Code.
Import Supplier
ActionIn Zapier“Import suppliers details.”
Registers a supplier, with a Name, an Email Address and a Code, all three required. Many other actions point back to that supplier afterwards.
When an Order Sender Zap breaks
Zapier links no help article to Order Sender, so the traps below are the ones that apply to every Zapier app.
Four of them matter here, mostly because all four triggers work by polling and several actions write back into the app. If a case does not match yours, the Zapier troubleshooting page is the next stop.
The past is not picked up
A Zap reacts only to what happens after you publish it. Clients, orders and quotes that already existed are never processed; moving them is a separate job.The Zap that feeds itself
New Product followed by Import Product writes into the list the trigger watches, so the Zap sets itself off again and again and eats through the task count.A bulk import gets held back
If a large batch of products or clients lands at once after a migration, the trigger returns a huge batch and Zapier's flood protection can hold it back.No double runs on one record
Zapier remembers what it already saw on a polling trigger, so the same order does not start the Zap twice. Expecting a second run after an edit will disappoint.
