MediaBrains brings your reputation, your leads and your directory listings together in one marketing tool. The integration links it to Zapier, so reviews and leads reach your other tools, and customers from those tools get a review request. The automation is called a Zap: one trigger (the event that starts it), then one or more actions (what it does next).

Three results cover the integration. Every review seen by the team: New Review starts the Zap when a customer finishes leaving a review, and the next step posts it in your team chat. Approved leads where you work: New Lead fires once a lead is approved, and the next step adds it as a row in your spreadsheet. Review requests without manual entry: when a customer appears in another app, Add Customer puts them in BusinessChatter, the MediaBrains review tool, so a review is requested from them.

Both triggers are instant: MediaBrains reports the event to Zapier itself, so neither waits for your plan's check interval, even on the free plan.

What Zapier does not do here: there is no search step, so a Zap cannot look up an existing customer or review. There is a single action, so nothing about directory listings or lead details can be changed from a Zap.

    In your Zapier account, go to Apps and click + Add connection. You need a MediaBrains account, plus access to anything you do not own and want the Zap to touch.

    Type MediaBrains in the search box of the dialog, pick it in the results, then click Add connection. A new tab opens so you can sign in on the MediaBrains side.

    Sign in and grant access

    Sign in to MediaBrains in that tab and grant Zapier access to the account. The connection is saved once, then reused by every Zap you build on this app.

    Build the trigger

    Create a Zap, pick MediaBrains as the app that starts it and New Lead as the event. Select your connection, then fill Name your zap with a name you will recognize.

    Test the trigger

    Run the test. Zapier brings back the three most recent items, so approve a test lead first if nothing comes back, then pick it.

    Add the filter

    From the plus icon, add Filter and set the field to look at, the rule and the value. Use a text rule on a text field. The Zap is now multi-step and needs a paid plan.

    Add the spreadsheet row

    Add your spreadsheet app with its new-row action, pick the sheet, then map the lead's details from the trigger into the columns.

    Test, then publish

    Test the row once and check the sheet. Then click Publish to switch the Zap on. Leads approved before that moment are not picked up.

    A Zap only reacts to leads approved and reviews left after you publish it. Older ones are not picked up; moving them is a separate job.
  • A Zap that sets itself off

    As a general precaution: a Zap that writes where its own trigger watches can restart itself and use up tasks. Check the chain if you combine Add Customer with New Review.
  • A flood of customers

    If a bulk import adds many customers at once in the app that starts the Zap, Zapier's flood protection can hold the batch back.
  • A required field missing

    Add Customer needs first name, last name, email and company name. If the source app does not hold one of them, fix the source before you publish.

01Is the MediaBrains Zapier integration free?
Yes. MediaBrains is not a premium app, so it works on Zapier's free plan. That plan gives you 100 tasks a month and an unlimited number of Zaps, each limited to two steps: one trigger and one action. Posting every new review in your team chat fits within it. Add a filter, to keep only some reviews or leads, or a second action, and the Zap becomes multi-step, which needs a paid plan.
02How many tasks does a MediaBrains Zap use?
One task per action that completes, and nothing for the trigger. A Zap that posts each review in the chat uses one task per review. A Zap that adds a row and then sends a message uses two each time it runs. An action that fails is not counted, and waiting for leads and reviews costs nothing. A few actions on Zapier take more than one task, so check at test what yours costs.
03Is the MediaBrains integration real time?
Yes, for both triggers, which are instant. MediaBrains reports each approved lead and each new review to Zapier itself, so the Zap starts right away whatever your plan. The interval grid of Zapier plans, 15 minutes on the free plan, only concerns polling triggers, and this app has none. In the editor, a Zap built on an instant trigger shows a lightning bolt, which is how you tell the two kinds apart.
04What is needed to connect MediaBrains to Zapier?
A MediaBrains account, plus read or write access on anything you do not own and want the Zap to touch. In Zapier, open Apps, click + Add connection, search for MediaBrains, click Add connection, then sign in in the tab that opens and grant access. When you set up New Lead, have a name ready for the required Name your zap field, since it identifies the Zap in the MediaBrains portal.
05Why does New Lead not fire for every new lead?
Because it fires when a lead is approved, not when it first arrives. The official description of the trigger says exactly that. A lead that is still waiting for approval in MediaBrains will not reach your Zap yet. If your test brings nothing back, approve a test lead first, then run the test again. And if you expected every incoming lead, check how approval works in your MediaBrains account. Only then build the Zap on it.
06What if the MediaBrains operation is not on the list?
Then Zapier cannot do it for this app today. The editor offers 3 operations: 2 triggers, New Lead and New Review, and 1 action, Add Customer, with no search step. So a Zap cannot look up a customer, reply to a review or touch directory listings. Two ways around it: let another app in the Zap carry the missing step, or rebuild the scenario around the two triggers. Anything outside those three cannot be used in a Zap.
