What the MeetFox Zapier integration is good for

The MeetFox Zapier integration turns each new MeetFox meeting into a starting point for your other tools. MeetFox combines online booking, video calls and payments; on Zapier it exposes a single event, New Meeting, and that event can feed a sheet, a CRM or a message to your team.

A meeting log nobody has to keep. Every new meeting lands as a row in your spreadsheet. At the end of a period, the list is already there, without exporting anything from MeetFox.

A client record that exists before the call. The same trigger can create or update a contact in your CRM, so whoever takes the call opens a record that already holds the booking details returned by MeetFox. Check on your first test which details actually come back.

A team that hears about bookings. A message in your team chat for each new meeting keeps colleagues informed without anyone forwarding confirmation emails.

Now what Zapier does not do for MeetFox. There are no actions: a Zap cannot book, change or cancel a meeting in MeetFox. There are no searches either, so no step can look up a past meeting. And New Meeting is a polling trigger, not an instant one: Zapier checks MeetFox on your plan's interval, so the follow-up is never immediate. New Meeting itself never costs a task, however often Zapier checks MeetFox. Each successful action after it, a row, a contact, a message, counts one task; a failed one is not counted. The free plan stops at two steps, one trigger and one action, so a filter or a second action means a paid plan. Because New Meeting is a polling trigger, the interval grid below applies to it directly: the plan you are on sets how long a new meeting can wait before the Zap starts.

    Open Apps

    On the Apps page of your Zapier account, click + Add connection. Type MeetFox in the search box of the dialog that opens, then pick it from the results.

    Click Add connection. MeetFox opens in a new tab: sign in with the account that receives your bookings. You need an existing MeetFox account for this.

    Grant access

    Allow Zapier to use the account. The connection is then saved and reused by every Zap that starts on a new MeetFox meeting, so you only need to do this once.

    Create a Zap, choose MeetFox and New Meeting, then select the connection you just made. It is the only MeetFox event on offer.

    Run the test: Zapier brings back the three most recent meetings of the account. Keep a real one, so the next steps are set up with real values.

    Add the filter

    From the plus icon, add a Filter and fill its three boxes: the field to look at, the rule, the value. The filter makes the Zap multi-step, so it needs a paid plan.

    Add the CRM step

    Pick your CRM and its create-contact action. Map each contact field to a detail of the meeting you tested, one at a time.

    Test and publish

    Run the action once and check the contact in your CRM. Then click Publish to switch the Zap on. Meetings created before that are not picked up.

  • Old meetings are not sent

    A Zap only reacts to meetings created after it is published. Earlier bookings stay where they are; moving that backlog is a separate job.
  • A delay that depends on the plan

    New Meeting is checked on your plan's interval, so a follow-up that has to be immediate cannot rely on this trigger alone.
  • A bulk import held back

    If MeetFox suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold those meetings back.
  • The same meeting twice? No

    On a polling trigger, Zapier remembers what it has already seen, so the same meeting does not start the Zap twice.

01Is the MeetFox Zapier integration free?
Yes. MeetFox is not a premium app on Zapier, so New Meeting works on the free plan. That plan gives you 100 tasks per month and an unlimited number of Zaps, each built from two steps: one trigger and one action. Sending each new meeting to a spreadsheet fits exactly. Add a filter, so that only some meetings go through, or a second action, and the Zap becomes multi-step, which needs a paid plan. On the free plan, New Meeting is checked every 15 minutes.
02How many tasks does a MeetFox Zap use?
None for MeetFox itself, one for each successful action after it. New Meeting is a trigger, and triggers never cost a task, however often Zapier checks for new meetings. The row, contact or message created in the next app costs one task if it works, and nothing if it fails. A Zap that writes the meeting to a sheet and also posts a message uses two tasks per meeting. So the count follows your booking volume times the number of actions in the Zap.
03Is MeetFox on Zapier real time?
No. New Meeting is a polling trigger: Zapier goes to MeetFox at a fixed interval and picks up what is new. The interval depends on your plan: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. On paid plans the interval can be changed, and a check can also be run by hand from the editor. The type of a trigger is decided by the app, so it cannot be switched to instant from Zapier. Plan your follow-ups with that delay in mind.
04What do you need to connect MeetFox to Zapier?
An existing MeetFox account, and access to any calendar or booking you do not own and want the Zap to read. In Zapier, go to the Apps page, click + Add connection, search for MeetFox, click Add connection, sign in on the tab that opens and grant access. The connection is saved and reused by every Zap that starts on New Meeting. Pick the account that actually receives your bookings, since the trigger test brings back its three latest meetings.
05Why don't past MeetFox meetings come through?
Because a Zap only reacts to what happens after it is switched on. When you publish a Zap on New Meeting, meetings booked before that moment are not sent, even if they are recent. The trigger test does show the three most recent meetings, but only to help you map fields; it does not push them through the Zap. If you need your history in the other app as well, treat that as a separate one-off job, and let the Zap handle new meetings from now on.
06What if the MeetFox operation you need is not there?
Then it is not available through Zapier today. MeetFox exposes a single trigger, New Meeting, and nothing else: no action to create, change or cancel a meeting, no search to find one, no trigger for cancellations. So Zapier can push MeetFox bookings into other tools but cannot write anything back. This was read from version MeetFoxCLIAPI@1.0.0 of the app in October 2026. If writing to MeetFox is central to your project, check what other automation tools offer for it first.
07Zapier, Make or n8n for MeetFox?
Start from how quickly the follow-up has to happen. New Meeting is a polling trigger, so on Zapier the wait is set by your plan, from 15 minutes on Free down to 1 minute on Team; if that is fine, a free two-step Zap already logs every booking. Then check the reach: on Zapier MeetFox only sends new meetings out, with no action and no search, so see what Make and n8n list for MeetFox if you also need to write back.
