NextAgency Zapier integrationAutomate NextAgency with Zapier.

The NextAgency Zapier integration gives you 3 triggers and 5 actions. All three triggers are instant, the integration works on the free plan, and every action that succeeds counts as one task. Here is what each step does and where it can trip you up.

Overview

What the NextAgency Zapier integration actually does

NextAgency is an insurance agency management tool with a built-in CRM. Linking it to Zapier means a new case, contact or ticket in NextAgency can start an automation in another app, and that other apps can push leads, tasks and form answers into NextAgency without anyone retyping them.

Leads that arrive filled in. With Create Lead, a sign-up captured elsewhere lands in NextAgency with its name, email, phone number and market segment, the four fields the action insists on.

A to-do on the right case. Create Task adds a titled task to a case you name, so follow-ups stop living in someone's inbox.

Form answers stored in NextAgency. Three actions save a whole form submission into NextAgency: Save Form Stack Entry, Save Google Form Entry and Save Type Form Entry. Each one stores the responses, the submission time and the form name; the Google Form and Type Form versions also ask for the form ID.

What Zapier does not do here: it cannot find an existing lead, contact or case, because NextAgency offers no search step on Zapier. It cannot update or delete anything either. Every action creates or saves something new. If you weigh Zapier against other tools for that kind of gap, see our n8n vs Zapier and Make vs Zapier comparisons.

Vocabulary

Zapier words you will meet on this page

Seven terms, in plain words. The rest of the page uses them without explaining them again.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event.
Action
The step that does the work once the Zap has started: it writes, sends or saves something in an app for you.
Task
The unit Zapier bills. One task is one action that your Zap completes successfully; your plan counts those.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself the moment the event happens.
Filter
A step that lets the Zap continue only when the data that arrived meets a condition you set, and stops it otherwise.
Multi-step Zap
Any Zap that goes beyond one trigger and one action. A second action or a filter makes it one, and it then needs a paid plan.
Cost

What NextAgency on Zapier really costs

NextAgency is not reserved for paid plans: it works from the free plan. What you pay for is tasks, and only successful actions are billed.

  • Reserved for paid plansNo, works on the free plan
  • Free plan100 tasks a month, two-step Zaps
  • TriggerCosts no task
  • Failed actionNot counted

The trigger never costs a task. Each action that goes through counts once, so a Zap with two actions burns twice as much as a Zap with one. An action that fails is not counted. The free plan gives 100 tasks a month and an unlimited number of Zaps, but each Zap stops at two steps: one trigger and one action. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. The interval grid below applies to polling triggers only; all three NextAgency triggers are instant, so it does not apply to them.

Connect

Connect your NextAgency account to Zapier

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. A connection is your NextAgency account linked to Zapier once, then reused by every step that uses NextAgency.

  2. 02

    Pick NextAgency

Type NextAgency in the search box of the dialog, select it, then click Add connection. What you need first: an account on NextAgency, plus read or write access on anything you do not own yourself and want the Zap to touch.

  3. 03

    Sign in and grant access

A new tab opens on NextAgency. Sign in there with the account you want Zapier to use, then grant Zapier access to it. Once that is done, the connection is ready to be picked in any Zap.

First Zap

Your first Zap: new NextAgency contacts copied to a sheet

GoalEvery contact created in NextAgency gets a row in your spreadsheet, with an optional second action into your mailing tool.

  1. 01

Start the Zap on Create Contact

Create a Zap, pick NextAgency as the trigger app and Create Contact as the event, then choose the NextAgency connection you added earlier.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent contacts of the connected account, so you map the next step on a real contact and see which details NextAgency sends.

  3. 03

    Add the spreadsheet row

Add your spreadsheet as the action, pick its create-row event and map the contact details you saw at test into the columns you want to fill.

  4. 04

    Test the action

Run the action test once and open the sheet to read what came back. Fix the mapping here, before the Zap is live and running on every new contact.

  5. 05

    Optional second action, then publish

The mailing tool card in the drawing is a second action: it makes the Zap multi-step, which needs a paid plan. Leave it out to stay on the free plan, then publish the Zap to switch it on. For guided practice, see our Zapier training.

Triggers

NextAgency triggers on Zapier

3 events start a Zap when something happens in NextAgency, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Create Case

Instant trigger

In Zapier“Triggers when a new case is created.”

Starts your Zap each time a new case is opened in NextAgency, so the rest of your tools learn about it without anyone copying it over.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
when a new case should be announced to your team, or logged in a tracking sheet next to your other files.
Watch out
only cases created after the Zap is published start it; the cases already in NextAgency are not picked up. Test the trigger to see which details come back with a case before you map anything.
2

Create Contact

Instant trigger

In Zapier“Triggers when a new contact is created.”

Fires on every new contact added to NextAgency and hands that contact to the next step of the Zap.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
when your mailing tool or your spreadsheet of clients has to stay in step with the contacts your agency records in NextAgency.
Watch out
as a general precaution, a Zap that writes where its own trigger looks can set itself off again. Read the test result to see which contact details come through.
3

Create Ticket

Instant trigger

In Zapier“Triggers when new ticket is created.”

Reacts when a new ticket appears in NextAgency, which makes it the entry point for anything that should happen around a fresh request.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
when a new ticket should reach a chat channel or a shared list, so nobody has to keep NextAgency open to notice it.
Watch out
a large batch of tickets created at once, after an import for example, can be held back by Zapier's flood protection. Test with a real ticket to check the fields you get.
Actions

NextAgency actions on Zapier

NextAgency gives you 5 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Lead

Action

In Zapier“will create lead in NextAgency.”

Adds a lead to NextAgency from data gathered in another app.

When to use it
for prospects who reach you through a form or a page that sits outside NextAgency.
Watch out
Name, Email, Phone Number and Market Segment are all required, so your source has to provide each of them.
2

Create Task

Action

In Zapier“Will create task in nextagency.”

Puts a new task, with its title, inside a case you designate by its name.

When to use it
when an event in another app means someone has a follow-up to do on a case you can name.
Watch out
Title and Case Name are both required; the case name tells NextAgency which case gets the task.
3

Save Form Stack Entry

Action

In Zapier“Save Form stack Entries”

Stores a form submission in NextAgency: the answers, when it was sent and which form it came from.

When to use it
when the forms your agency already runs should leave a full copy of each submission in NextAgency.
Watch out
All Responses, Submitted At and Form Name are required; check at test that all three are mapped.
4

Save Google Form Entry

Action

In Zapier“Save google form entry”

Keeps a submission inside NextAgency along with the name and ID of the form it belongs to.

When to use it
when answers should sit in your agency software instead of a stray sheet that nobody opens.
Watch out
this one needs four required fields, Form Id on top of All Responses, Submitted At and Form Name.
5

Save Type Form Entry

Action

In Zapier“Save Type Form Entry”

Records a form response in NextAgency with its submission time, form name and form ID.

When to use it
when the same form keeps collecting answers and each one should be traceable in NextAgency.
Watch out
All Responses, Submitted At, Form Id and Form Name are all required, so map each one before you test.
When it breaks

When the NextAgency Zap breaks

Zapier links no help article to NextAgency, so the cases below are the general limits that apply to any Zap built on it.

  • Old records are never picked up

A Zap only reacts to what happens after you switch it on. Cases, contacts and tickets that already existed stay where they are; moving them is a separate job.
  • A Zap that sets itself off

As a general precaution: a Zap that writes into the place its own trigger watches can start itself again and again, and use up tasks quickly.
  • A sudden flood of new items

When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold the run back.
  • Required fields left unmapped

Every NextAgency action has required fields, four for Create Lead and up to four for the form actions. Check them at test, before the Zap goes live.

FAQ

NextAgency Zapier integration: questions people ask

01Is the NextAgency Zapier integration free?
Yes, you can use it on the free plan, because Zapier does not reserve NextAgency for paid plans. The free plan gives you 100 tasks a month and as many Zaps as you like, as long as each one has only two steps: one trigger and one action. That covers a Zap such as a form submission turned into a NextAgency lead. As soon as you add a filter or a second action, the Zap becomes multi-step and needs a paid plan.
02How many tasks does a NextAgency Zap use?
One task per action that succeeds, and nothing for the trigger. A Zap that starts on Create Contact and then writes one row elsewhere uses one task each time it runs. Add a second action and each run costs two. An action that fails is not counted against your plan. Waiting for new cases, contacts or tickets costs nothing either, because Zapier only bills completed actions. Keep an eye on Zaps that run often, since the 100 tasks of the free plan go quickly.
03Do NextAgency triggers fire in real time?
Yes. Create Case, Create Contact and Create Ticket are all instant triggers: NextAgency tells Zapier the moment the event happens, and the Zap starts right away whatever your plan. The polling interval of the plans does not apply to them. In the editor, a Zap built on an instant trigger shows a lightning bolt. A sudden huge batch, after an import for example, can still be held back by Zapier's flood protection.
04What does it take to connect NextAgency to Zapier?
An account on NextAgency, plus read or write access on anything you do not own yourself and want the Zap to touch. The connection itself goes through the Apps page of your Zapier account: click + Add connection, search for NextAgency, click Add connection, sign in to NextAgency in the tab that opens and grant Zapier access. The connection is then reused by every step that uses NextAgency, in all your Zaps.
05Can a Zap start when a lead is created in NextAgency?
No, not with the triggers Zapier currently offers for NextAgency. The three visible triggers react to new cases, new contacts and new tickets. Leads go the other way: Create Lead is an action, so other apps can push leads into NextAgency, but a new lead there does not start a Zap. If your process starts from leads, look at the three triggers above and test the one closest to your process before you build.
06What if the NextAgency operation you want is not on Zapier?
Then this integration cannot do it today. Open the NextAgency page on Zapier: it shows the current list of triggers and actions, which is the one that counts. On this page you have three triggers and five actions, all of them creating or saving something; there is no search, no update and no delete. If the step you need is one of those, Zapier cannot cover it with NextAgency today.
07Zapier, Make or n8n for NextAgency?
It depends on what your Zap has to do. On Zapier, NextAgency brings three instant triggers and five actions that create or save records, and a two-step Zap runs on the free plan with 100 tasks a month. Your criteria: how many steps the flow needs, since filters and extra actions require a paid plan on Zapier; how many runs a month you expect, since each successful action is billed; and whether the operations you need are on the NextAgency list at all. Compare the same points on Make and n8n before choosing.
