Overview

What the Megaventory Zapier integration does for an inventory team

Megaventory is business software for inventory and order management, with light manufacturing and reporting. Connected to Zapier, it reports what happens to orders, stock and production to a Zap (the automation you build on Zapier: one event that starts it, then one or more steps that run every time), and lets the Zap write back into Megaventory without anyone retyping an order.

Reorders that start themselves. New Low Stock Product fires when a product is low on stock in an inventory location. Behind it, Find Supplier By Name and Insert A Purchase Order prepare the order for a buyer to approve.

Orders from your other channels, recorded once. Insert A Sales Order takes a Client ID, a status and order rows by SKU and quantity. With Find Client By Name and Find Product By SKU in front, a sale made elsewhere lands in Megaventory with the right client and products.

Production that keeps the rest of the company informed. Ten triggers follow production orders, from New Production Order to Receive Finished Goods From Production Order, and eight actions drive them, so a finished batch can tell sales it is in stock.

What Zapier does not do here: no search offers a find-or-create version, some records can only be created, not updated (currencies, discounts, taxes, locations, categories), and nothing reaches events from before the Zap was switched on. The trigger never costs a task, however many orders move in a day. Each action that succeeds counts on its own: a Zap that inserts one purchase order per alert spends one task per alert, and adding a search step makes it multi-step. An action that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps of two steps, one trigger and one action. Most Megaventory actions want IDs that a search provides, so expect a paid plan. The interval grid below concerns polling triggers only; it does not apply to Megaventory's 82 instant triggers.

Connect

Connect Megaventory to Zapier in three steps

    Open your connections

    In Zapier, go to the Apps page of your account and click + Add connection. A connection is your Megaventory account linked once, then reused by every step that uses Megaventory.

    Pick Megaventory

    Type Megaventory in the search box of the dialog, select it, then click Add connection. A new tab opens so you can identify yourself on the Megaventory side.

    Sign in and allow access

Your first Zap: low stock turned into a purchase order

GoalWhen a product runs low in an inventory location, the Zap finds your usual supplier by name and inserts a purchase order with that product, for a buyer to review in Megaventory.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there, and the steps that depend on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    On apps that offer it, ticking this turns the search into a find-or-create. Megaventory's searches have no such version, so this box does not apply here.
  3. If multiple search results are found?
    Three ways out when several records match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a Megaventory Zap breaks

Zapier attaches no help article to Megaventory, and no rate limit is published for it. What breaks is what breaks on any Zap, plus IDs and statuses.

These are the general limits to keep in mind. If a Zap stops for a reason you cannot place, see our Zapier troubleshooting guide.

  • A status Megaventory refuses

    Update A Document only accepts valid moves: Closed or Cancelled from Verified, ReOpened from Closed, Delete while Pending. Check the current status at the test.
  • No history is picked up

    A Zap only reacts to orders, products and stock events that happen after you switch it on. Older records stay as they are; moving them is a separate job.
  • A Zap that sets itself off

    A Zap that writes where its own trigger watches can start again and again and burn through the task count fast. Keep the steps that write away from what the trigger watches.
  • A sudden burst is held back

    When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold the runs back instead of letting them all through.

Megaventory Zapier integration: common questions

01Is the Megaventory Zapier integration free?
Yes, Megaventory is not a premium app, so it works on Zapier's free plan. That plan gives 100 tasks a month and an unlimited number of Zaps, each limited to two steps: one trigger and one action. A Zap that posts a message for each low stock alert fits that. Most Megaventory actions want an ID found by a search step, though, and a search makes the Zap multi-step, which needs a paid plan.
02How many tasks does a Megaventory Zap use?
One task per action that succeeds, and nothing for the trigger, so a busy account with many order events costs nothing until an action runs. A reorder Zap that inserts one purchase order per low stock alert uses one task per alert. An action that fails is not counted. Find Bill Of Materials By SKU is listed as an action, so it counts like one when it succeeds. In a chain of actions, each one that succeeds is counted separately.
03Is Megaventory on Zapier real time?
Yes. All 82 Megaventory triggers are instant: Megaventory tells Zapier when an order, a product, a transfer or a production order changes, and the Zap starts right away, whatever your plan. The interval grid of the plans, 15 minutes on Free, only concerns polling triggers, and Megaventory has none. In the editor, a Zap built on an instant trigger shows a lightning bolt. None of the 82 waits for a check from Zapier.
04What does it take to connect a Megaventory account?
A Megaventory account you can sign in to, plus read or write access to the records you do not own and want the Zap to touch. The connection is made once from the Apps page with + Add connection, then reused by every Megaventory step. Before writing anything, make sure the clients, suppliers, locations and document types your actions refer to exist, since the actions ask for their IDs. Any other app in the Zap needs its own connection.
05Why does Update A Document refuse a status change?
Because Megaventory only accepts valid moves between statuses, and the field description spells them out. A document can go to Closed or Cancelled only when its current status is Verified, and to ReOpened only when it is Closed. It can be deleted only while Pending. Check the document's current status at the test before the update, and pick an Action and a status that fit. Megaventory decides; Zapier only passes the values.
06What if the Megaventory operation you want is not there?
Then a Zap cannot do it in Megaventory today. The integration has 82 triggers, 28 actions and 29 searches, but currencies, discounts, taxes, locations and categories can only be inserted, not updated, and no search has a find-or-create version. For those records, a Zap can add new ones but never change existing ones. Megaventory's app page on Zapier shows the current list of operations, so check it there first. If you only need to read a value, one of the 29 searches may already cover it.
07Zapier, Make or n8n for Megaventory?
Pick by criteria, not by name. On Zapier, all Megaventory triggers are instant and you get a search for almost every record, but the reorder Zap on this page chains a search and an action, so it is multi-step and paid, and each action is a task. If you sync orders in volume, compare how each tool counts a run with several steps. Also check that each tool actually offers a Megaventory integration with the events you need.
