What the Mela Works Zapier integration actually does

Mela Works keeps track of construction sites and maintenance works. Linking it to Zapier means one thing: when something changes in a Mela Works task, another tool reacts, and when something happens elsewhere, Mela Works gets a task, a checklist line or a note without anyone typing it twice.

A signed-off job that files itself. New or Updated Signature fires when a signature lands in Mela Works, so the Zap can copy that sign-off into your spreadsheet or post a message that the job is signed on the ground.

Tasks that come from outside. A request typed in a form or a ticket raised in another tool can become a Mela Works task through Create Task, which needs nothing more than a Task Name.

A clean record of what disappears. Item Deleted and Task Archived let you keep a log outside Mela Works of what was removed or put away, handy when someone asks where an image went.

Now the limits. Zapier offers no action that updates, archives or deletes a task, so a Zap can only add to Mela Works, never tidy it. The only search reads a task by its id, not by name. The trigger never costs a task, and watching for new events costs nothing either. Each action that goes through counts once; an action that fails is not counted. A Zap with three actions uses three times what a one-action Zap uses. The catch on the free plan: Zaps stop at two steps. Adding a filter, a search or a second action makes it a multi-step Zap, which needs a paid plan. The three settings every search exposes

  1. Successful if no search results are found?
    Left as is, a search that finds nothing stops the Zap and skips the steps that depended on it. Switched on, the Zap carries on with nothing in hand.
  2. Create X if it doesn't exist yet?
    This box turns a search into a find-or-create. Mela Works exposes no find-or-create variant, so its search only ever looks things up.
  3. If multiple search results are found?
    Keep the first match, which is the default, stop the Zap, or pass all the matches on at once.
When it breaks

When a Mela Works Zap breaks

Zapier attaches no help article to Mela Works and lists no limit of its own for it. What breaks is what breaks on every app.

  • Nothing from before the Zap

    A Zap only reacts to what happens after you switch it on. Tasks, images or signatures already in Mela Works are never picked up; moving that backlog is a separate job.
  • A Zap that sets itself off

    A Zap that writes into the very place its own trigger watches can set itself off again and again and burn through your tasks fast. Check at the test what each action writes before you publish.
  • Flood protection after a bulk change

    If many items change at once, after an import for example, Zapier can hold the batch back with its flood protection. Plan bulk work outside your live Zaps.

Yes, it works on the free Zapier plan, because Mela Works is not a premium app. The free plan gives you 100 tasks a month and an unlimited number of Zaps, with one hard limit: each Zap is a trigger plus one action, nothing more. Add a second action, a filter or a search, and the Zap becomes multi-step, which needs a paid plan. A New Task to Create Checklist Item Zap fits in the free plan; the signature Zap above, with its filter, does not.
02How many tasks does a Mela Works Zap use?
One per action that succeeds, and nothing for the trigger. A Zap that starts on New or Updated Image and adds one row in a spreadsheet costs one task per image. A Zap that creates a task and then a text item costs two per run. Watching for events is free, however many fire, and an action that fails is not counted. The media triggers are described as firing on creation or update, so an edited image may start the Zap again and cost another task; check it at the test before you publish.
03Does Mela Works trigger Zaps in real time?
Yes. All 10 Mela Works triggers are instant: the app tells Zapier the moment the event happens, and the Zap starts right away whatever your plan. The interval grid, 15 minutes on Free down to 1 minute on Team and Enterprise, applies to polling triggers only, and Mela Works has none. In the editor, a Zap built on an instant trigger shows a lightning bolt. The type is set by the app and cannot be changed from Zapier.
04What does connecting Mela Works to Zapier require?
Two things: an account on Mela Works, plus read or write access on anything you do not own yourself and want the Zap to touch. The second point comes up fast here, since Create Checklist Item and Create Accounting Item both write onto a Task. You link the account once, from the Apps page with + Add connection, and every Mela Works step reuses that connection. Sign in with the account the Zaps should act as, since everything they create in Mela Works is written through it.
05Where does the Task Id for Get Task by Id come from?
From an earlier step of the same Zap. Get Task by Id looks a task up by its id only, never by its name, so the value has to arrive with the trigger or a previous action. Map that value into the Task Id field, run the test, and check that a real task comes back. Keep in mind that adding this search makes the Zap multi-step, so it needs a paid plan.
06What if the Mela Works action you want is not there?
Then this integration does not offer it. The Mela Works page on Zapier shows the current list of operations, so check there first. In the list read for this page, the 5 actions all create something: a task, an action, a checklist item, a text item or an accounting item. None updates, archives or deletes a task. A creation step can sometimes stand in, for example a text item that records a status instead of changing it. If it cannot, see whether another automation tool covers that step for Mela Works.
