Payday Zapier integrationAutomate Payday with Zapier.

The Payday Zapier integration offers 1 trigger, 1 action and 1 search, all built around customers. A new customer in Payday can start a Zap, and a Zap can look a customer up, create one, or do both in a single find-or-create step.

Overview

What the Payday Zapier integration does for your admin

Payday takes care of the business admin of freelancers and small companies. On Zapier, it exposes one thing: its customer list. A Zap, the automation you build there with one trigger and the actions that follow, can react to a new Payday customer or keep that list in step with your other tools. Payday is not reserved for paid plans.

Three outcomes cover what the integration can do. A customer list your other tools share: New Customer reports each customer added in Payday, so your CRM or mailing list gets the same record without a second entry. Customers created from the place they first appear: Create Customer adds a customer in Payday from a form, a shop or a booking tool. No duplicates: Find Customer looks a customer up by name, email, phone or social security number first, and its find-or-create variant creates the record only when nothing matches.

What Zapier does not do here is just as clear. Nothing on Zapier touches invoices: there is no Payday trigger, action or search for them, only customers. The trigger is polling, so a new customer reaches the Zap at the next check, not the instant it is saved. And a Zap that starts on New Customer must never run Create Customer, or it feeds itself.

Vocabulary

Zapier words you will meet on this page

Eight terms, one line each, in plain words. After this block they are used without a reminder.

Trigger
The event in an app that starts the Zap, here a new customer in Payday. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once started: the step that writes, sends or moves something for you, such as creating a Payday customer.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked by Zapier at a fixed interval. An instant trigger is reported by the app itself. New Customer is polling.
Filter
A step that lets the Zap carry on only when what arrived meets the condition you set, and stops it there otherwise.
Search step
A step that looks up something that already exists in an app, so the steps after it can use what it found.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes it one, and it then needs a paid plan.
Connection
Your Payday account linked to Zapier once, then reused by every step of every Zap that touches Payday.
Cost

What a Payday Zap really costs

Zapier bills tasks, and only completed actions count. The checks Zapier runs on Payday cost nothing, however often they happen.

  • Trigger and checksNever cost a task
  • Successful action1 task each
  • Failed actionNot counted
  • Free plan100 tasks a month, two-step Zaps only
  • Search or filterMakes the Zap multi-step, paid plan

Each action that succeeds is one task, and a failed one is not counted. The free plan gives 100 tasks a month and builds two-step Zaps only, which matters here: a Zap that finds a customer and then creates one, or that adds a filter, is multi-step and needs a paid plan. Since New Customer is a polling trigger, your plan also sets how fast a Zap reacts, as the grid below shows. Looking for new customers costs nothing either, however often Zapier checks.

Connect

Connect your Payday account in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. A dialog opens with a search box. You need an existing Payday account first; Zapier does not create one.

  2. 02

    Pick Payday and sign in

Type Payday, select it, then click Add connection. Sign in to Payday in the tab that opens, with the account that holds the customers you want the Zap to read and write.

  3. 03

    Grant access

Allow Zapier to reach the account. If the customers live in a company account you did not create, check that your login can read and add customers there, otherwise the Zap cannot touch that list.

First Zap

Your first Payday Zap: copy selected new customers to a sheet

GoalWhen a customer is added in Payday, keep only the ones that match your rule and add them as a row in the sheet your sales team reads.

  1. 01

Create the Zap and set the trigger

Start a new Zap, choose Payday as the app and New Customer as the event, then your connection. With a filter inside, this Zap needs a paid plan.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent customers from your Payday account, so the rest of the Zap is built on a real record rather than on blank sample data.

  3. 03

    Add the filter

Add a Filter step from the plus icon, then set the field to look at, the rule and the value. Use a text rule on text and a number rule on numbers, or the filter never passes.

  4. 04

    Add the sheet

Add the spreadsheet app as the action, pick the sheet, and map the customer values the test returned into the columns you want filled.

  5. 05

    Test, then publish

Test each step once and check the new row. When it looks right, click Publish to switch the Zap on; customers created before that are not sent.

Triggers

Payday trigger on Zapier

1 event starts a Zap when something happens in Payday. Zapier checks for them at the interval your plan allows.

1

New Customer

Polling trigger

In Zapier“Triggers when a new customer is created.”

Each customer created in Payday, by hand or by another tool, is handed to your Zap at the next check. It is the only Payday trigger on Zapier, so every Zap that reacts to Payday starts here.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
to copy each new customer into your CRM or newsletter tool, so sales and marketing work from the same list as your accounts.
Watch out
never end a Zap that starts here with Create Customer, or each customer created sets the Zap off again.
Actions

Payday actions on Zapier

Payday gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Customer

Action

In Zapier“Creates a customer in Payday”

Adds a customer to Payday from data an earlier step brought in, so a buyer from your shop or a lead from a form is ready to invoice without retyping.

When to use it
right after a sale or a sign-up in another tool.
Watch out
the name is required, and it does not check for an existing customer; put Find Customer before it, or use its find-or-create variant.
Searches

Payday search on Zapier

1 search step looks for data that already exists in Payday, so a later step can use it.

A search step looks up a Payday customer that already exists and hands it to the next steps. In the editor, it sits at the bottom of the action-event list, under SEARCH. Three settings decide what happens when the result is not a single clean match.

1

Find Customer

SearchFind or create

In Zapier“Finds customer by query”

Looks a customer up in Payday from a query, which can be a name, an email, a phone number or a social security number, then passes the match to the steps after it.

When to use it
before any step that needs an existing customer, so you never create the same person twice.
Watch out
the editor also lists Find or Create Customer, but it is this same search with the create box ticked, not a second operation.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there, and the steps that needed its result are skipped. Switched on, the Zap carries on empty-handed.
  2. Find or Create Customer
Ticking the create box turns Find Customer into this variant: if nothing matches, it asks for the fields needed to create the customer, and the setting above disappears.
  3. If multiple search results are found?
Three ways out when several customers match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a Payday Zap breaks

Zapier lists no help article and no rate limit specific to Payday. What breaks comes from the way every Zap works, and one Payday pair loops.

Four cases to know before you publish. If one of them catches you anyway, our Zapier troubleshooting page is the next stop.

  • New Customer feeding Create Customer

A Zap that starts on New Customer and runs Create Customer writes what its own trigger watches: each customer it adds starts it again, and tasks go fast.
  • No catch-up on existing customers

A Zap only reacts to what happens after it is switched on. Customers already in Payday never come through; moving that list is a separate job.
  • A delay you did not plan for

New Customer is polling, so the Zap reacts at the next check: every 15 minutes on the free plan, faster on paid plans. Zapier keeps track of what it saw, so one customer starts it once.
  • Bulk imports held back

After a bulk import of customers or a migration, a trigger that suddenly returns a huge batch can be held back by Zapier's flood protection. Keep the Zap off during the import.

FAQ

Payday Zapier integration: frequent questions

01Is the Payday Zapier integration free?
Yes, for Zaps that fit the free plan. Payday is not one of the apps Zapier reserves for paid plans, so a free account can connect it. The free plan includes 100 tasks a month and unlimited Zaps, each limited to two steps: one trigger and one action. New Customer followed by one action in another app fits. A Zap that searches for a customer before creating one, or that carries a filter, is multi-step and needs a paid plan. No prices are given here, they change too often.
02How many tasks does a Payday Zap use?
One per successful action, none for the trigger and none for Zapier's checks on Payday. A Zap that copies each new customer to a sheet uses one task per customer. A failed action is not counted. If you add Create Customer behind another app's trigger, each new record costs one task as well. The thing to avoid is a loop: a Zap that starts on New Customer and creates a customer in Payday restarts itself and can drain your monthly tasks quickly.
03Does the Payday trigger work in real time?
No. New Customer is a polling trigger: Zapier asks Payday for new customers at a fixed interval and keeps only the ones it has not seen. How often depends on your plan: every 15 minutes on Free, every 2 minutes on Professional, every minute on Team and Enterprise. On paid plans you can change that rhythm and run a check by hand from the editor. For customer records, that delay is usually fine, but do not promise anyone an instant reaction.
04What does it take to connect Payday to Zapier?
An existing Payday account and a Zapier account. From the Apps page in Zapier, add a connection, search for Payday, sign in to it in the tab that opens and grant Zapier access. Use the account that holds the customers the Zap should read and write. If that list sits in a company account you do not own, your login needs read and write access to it, otherwise the Zap cannot touch it. The connection is then reused by every Payday step.
05How to avoid duplicate Payday customers with Zapier?
Put a search before the creation. Find Customer looks a customer up from a query, such as an email or a phone number, and passes the match on. Its find-or-create variant goes one step further: if nothing matches, it creates the customer in the same step. Create Customer on its own does not check anything, so two identical sign-ups make two records. Keep in mind that a search makes the Zap multi-step, which needs a paid plan.
06What if the Payday action you need is not on Zapier?
Then the Zap cannot do it there. On Zapier, Payday offers 1 action, Create Customer, and 1 search, Find Customer. Nothing creates, sends or finds an invoice, and nothing updates or deletes a customer. Those tasks stay manual in Payday. What the integration covers well is the customer list: keeping it in step with your shop, your forms or your CRM. If invoicing is the part you want to automate, compare each automation tool's catalogue before you build.
07Zapier, Make or n8n for Payday?
Choose on criteria, not on a ranking. For Zapier, check three things: whether one polling trigger, one action and one search on customers cover your need, whether a check every 15 minutes on the free plan is fast enough, and whether your Zap fits in two steps or needs a search and a paid plan. Put the same three questions to Make and n8n for Payday, then keep the tool whose answers match your volume and the person who will maintain it.
