Overview

What the MightyCall Zapier integration does for you

MightyCall is a cloud phone system. Linking it to Zapier lets your calls start automations: when a call appears or ends, Zapier can look up the caller, fetch call details and pass them to your other tools. You set that up once as a Zap, the automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.

A call log in your spreadsheet. Call Completed starts the Zap once a call has finished, Find or Create Contact ties the number to a contact, and a spreadsheet step adds the row. Nobody types the call in by hand.

Call details on demand. Find Call Data takes a Call ID and brings back that call's data, so a later step can use it without anyone opening MightyCall.

No caller left unknown. With Find or Create Contact, the Zap looks up the phone number among your MightyCall contacts and, with the right box ticked, creates the contact when there is none.

What Zapier does not do here matters too. There is no action to place a call, send a message or edit a contact outside that search, and nothing deletes anything. The two triggers cover calls that appear and calls that end, and nothing else. Everything else stays in MightyCall itself, handled by hand.

Vocabulary

Zapier words, in one minute

Eight words come back throughout this page. Each one in plain terms.

Zap
The automation itself: one trigger, then one or more actions that run each time the trigger event shows up.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for that event and nothing else.
Action
What the Zap does after it starts: the step that writes, sends or fetches something in an app on your behalf.
Task
The unit Zapier bills. One task is one action that your Zap completed successfully; your plan counts those.
Instant trigger
A trigger the app reports by itself the moment the event happens. Both MightyCall triggers work this way.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items at a fixed interval. MightyCall has none.
Filter
A step that lets the Zap continue only when the incoming data meets a condition you set, and stops it otherwise.
Search step
A step that looks up something that already exists in an app, so the steps after it can use what it found.
Cost

What a MightyCall Zap really costs

A call that starts your Zap costs nothing. The trigger never uses a task; only the actions that complete do.

  • Free plan100 tasks a month, unlimited Zaps of two steps each
  • TriggerNever billed
  • Failed actionNot counted against the plan
  • MightyCall on freeYes, not reserved for paid plans

Each successful action counts as one task, Find Call Data included, and an action that fails is not counted. A Zap with three actions uses three times more than one with a single action. MightyCall is not reserved for paid plans, so the free plan works within its limit of two steps per Zap. Add a filter, a search such as Find or Create Contact, or a second action, and the Zap becomes a multi-step Zap, which needs a paid plan. The interval grid below is Zapier's general one: it does not apply to MightyCall's two triggers, which are instant.

Connect

Connect your MightyCall account in three moves

  1. 01

    Open your connections

In your Zapier account, open the Apps page and click + Add connection. You need a MightyCall account, plus read or write access on anything you do not own yourself and want the Zap to touch.

  2. 02

    Pick MightyCall

Type MightyCall in the search box of the dialog, select it in the results, then click Add connection. A new tab opens, and that is where you sign in to MightyCall.

  3. 03

    Sign in and allow access

Log in to MightyCall in that tab and grant Zapier access to the account. The connection is saved once, then reused by every Zap step that uses MightyCall, triggers and searches alike.

First Zap

Your first Zap: log every finished call with its contact

GoalWhen a call ends in MightyCall, find the matching contact or create it, then add the call as a row in your spreadsheet.

  1. 01

    Create the Zap

Start a new Zap, pick MightyCall as the app that starts it and Call Completed as the event, choose your connection, then set the required Call Direction.

  2. 02

    Test the trigger

Run the test: Zapier brings back the three most recent calls of the connected account. Pick a real one, since the rest of the Zap is mapped on it.

  3. 03

    Add the contact search

Add Find or Create Contact and map the phone number from the call into its required Phone Number field. With a search in it, this Zap is multi-step and needs a paid plan.

  4. 04

    Add the spreadsheet step

Add the action of your spreadsheet tool that creates a row, then map the call and the contact found by the search into its columns.

  5. 05

    Test, then publish

Run each step once and read what came back before going further. Then click Publish to switch the Zap on. Calls that ended before that moment are not picked up.

Triggers

MightyCall triggers on Zapier

2 events start a Zap when something happens in MightyCall, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Call Completed

Instant trigger

In Zapier“Triggers when a new call is finished.”

Starts your Zap once a call has finished in MightyCall, so everything that should follow a conversation (a log line, a contact lookup, a follow-up) waits until the call is over and works on the finished call.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
for anything that only makes sense after the call, such as recording it in a sheet or a contact history.
Watch out
the required Call Direction field filters calls by direction, so a Zap set on one direction ignores the others; pick it on purpose.
2

New Call

Instant trigger

In Zapier“Triggers when a new call appears.”

A new call showing up in MightyCall is enough to start this Zap. Call Completed waits for a finished call; this one reacts to the call showing up. Whether the call is still going on at that point is not stated anywhere, so check it at test.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
when someone should hear about each new call, for example a message in a team chat, rather than a record of the finished call.
Watch out
this trigger also asks for a Call Direction, required; which details come with a new call is something to check at test.
Actions

The MightyCall action on Zapier

MightyCall gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Find Call Data

Action

In Zapier“Find Call Data (CallID required)”

Fetches the data of one MightyCall call from its Call ID, a required field. It sits among the actions, so each run that works counts as a task.

When to use it
when an earlier step carries a Call ID and a later step needs the details of that call.
Watch out
without a Call ID to map, the step has nothing to look for; check at test that your trigger brings one.
Searches

The MightyCall search on Zapier

1 search step looks for data that already exists in MightyCall, so a later step can use it.

A search step looks up a contact that already exists and hands it to the steps that follow. Three settings decide what happens when the result is not a clean single match.

1

Find or Create Contact

SearchFind or create

In Zapier“Find existing contact or Create a new one.”

Looks up a MightyCall contact by its Phone Number, a required field, and hands what it finds to the next steps. The editor may show it twice: once as a plain search and once as its find-or-create variant, which is the same search with the creation box ticked, not a separate operation.

When to use it
right after a call trigger, to tie each call to a contact.
Watch out
whether it wants the exact number or something close is decided by MightyCall; compare at test.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there and the steps that depend on it are skipped. Switched on, the Zap goes on without a result.
  2. Create X if it doesn't exist yet?
Ticking this box turns the search into a find-or-create: it stops offering the setting above and asks for the fields needed to create the missing item.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When it breaks

When a MightyCall Zap breaks

Zapier links no help article to MightyCall and states no limit of its own for the app. What breaks is what breaks on any Zap.

The four cases below cover the usual suspects for a Zap built on a call trigger. If yours stops for another reason, open our Zapier troubleshooting page.

  • Past calls never come through

A Zap only reacts to what happens after you switch it on. Calls that ended before stay in MightyCall; moving that history elsewhere is a separate job.
  • A Zap that keeps restarting itself

A Zap that writes into the very place its own trigger watches can set itself off again and again, and burn through your task count quickly.
  • A big batch held back

When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold it back instead of running every item.
  • A search that finds nothing

Left on its default, Find or Create Contact stops the Zap when no contact matches, unless you tick the creation box or let the Zap carry on without a result.

FAQ

MightyCall Zapier integration: questions people ask

01Is the MightyCall Zapier integration free?
Yes, you can use it on the free plan. MightyCall is not one of the apps Zapier keeps for paid plans, so its triggers, its action and its search are open to a free account. The free plan gives you 100 tasks a month and unlimited Zaps, each limited to two steps: one trigger and one action. Call Completed followed by one spreadsheet row fits. Add Find or Create Contact, a filter or a second action, and the Zap becomes multi-step, which needs a paid plan.
02How many tasks does a MightyCall Zap use?
One task per action that completes, nothing for the trigger. A call that starts the Zap is free, so a Zap that only writes a row per call uses one task per call. Find Call Data is an action, so each successful run of it counts as one more. An action that fails is not counted against your plan. A few apps and actions take more than one task when they complete, so run the Zap on a test call before counting on a figure.
03Does MightyCall reach Zapier instantly?
Yes. Both MightyCall triggers, Call Completed and New Call, are instant: MightyCall reports the event to Zapier itself, so the Zap starts right away. That holds on every plan, the free one included, because the interval grid only concerns polling triggers. The editor marks a Zap built on an instant trigger with a lightning bolt. The type is set by the app and cannot be changed from the editor, so there is no setting to look for.
04What does it take to connect MightyCall to Zapier?
A MightyCall account, plus read or write access on anything you do not own yourself and want the Zap to touch. From the Apps page of your Zapier account, click + Add connection, search for MightyCall, click Add connection, then sign in to MightyCall in the tab that opens and grant Zapier access. The saved connection serves every MightyCall step in every Zap. Have in mind which call direction each Zap should cover, since both triggers require it.
05Why does Find Call Data ask for a Call ID?
Because that is how it knows which call to fetch: Call ID is a required field of this action, and the step works on the call that identifier points to. In practice you map the Call ID from an earlier step, for example a MightyCall trigger, if that step carries one. Run the trigger test first and read what it returns: if you see a call identifier there, map it into Find Call Data and test again.
06What if the MightyCall operation you want is not there?
Then it is not available through this integration, and no editor setting will add it. The current list is the one on the MightyCall page of the Zapier site: today two triggers, one action and one search. Placing a call, sending a message or deleting a contact is not on it. Check that page before you design a Zap around a step, and keep the missing part as manual work in MightyCall.
07Zapier, Make or n8n for MightyCall?
Go by criteria, not by a ranking. Coverage first: check that each tool offers the MightyCall triggers and steps your process needs. Then billing: on Zapier, each successful action is a task, so count calls per month times actions per call. Then shape: on Zapier, a search, a filter or a second action already makes the Zap multi-step and paid. Last, maintenance: choose the editor the person in charge of the process is comfortable with.
