What the MindfulSMS Zapier integration does for you

The integration links your MindfulSMS account to Zapier. New contacts, contacts joining a list, and text messages coming in or going out can each start an automation, and other tools can add or update a contact, look one up, or send a text through MindfulSMS. You pick the event and what follows; Zapier runs both every time.

A first text for every new contact. New Contact reports each person created in MindfulSMS, and Send Message then texts them, so nobody waits for a manual follow-up.

Replies that reach the right person. New Incoming Message picks up each text a contact sends you, and a message in your team chat puts it in front of whoever handles replies, instead of leaving it in one inbox.

Sign-ups collected elsewhere, in your contact base. A form or a spreadsheet outside MindfulSMS feeds Add/Update Contact, which creates the contact or updates it if it is already there. The phone number is the one field it cannot do without.

What Zapier does not do here: no action launches a broadcast campaign, and Send Message texts one phone number per run. There is no trigger for unsubscribes or delivery reports, and no action removes a contact. The four searches only read; they change nothing. Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event that starts the Zap, such as a text coming in to MindfulSMS. Once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts: the step that writes, sends or changes something for you, like sending a text.
Task
The unit Zapier bills. One action that completes successfully is one task, and your plan is a count of those.
Polling vs instant
Zapier checks a polling trigger on a timer. An instant trigger is reported by the app itself the moment the event happens.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
Search step
A step that looks up something already in an app, so later steps can use what it found, like a contact by phone number.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it needs a paid plan.

Each successful action counts on its own, so a three-action Zap uses three times what a one-action Zap uses. A failed action is not counted, and a few actions take more than one task. The free plan gives 100 tasks a month and unlimited Zaps, each one capped at two steps: add a filter or one of the four searches and you need a paid plan. MindfulSMS is not a premium app, so it works from the free plan. The grid below is the interval Zapier uses for polling triggers; it does not apply to MindfulSMS, whose triggers are all instant.

    Open Apps and add a connection

    In your Zapier account, open the Apps page and click + Add connection. A connection is your MindfulSMS account linked once, then reused by every step that talks to MindfulSMS.

    Pick MindfulSMS

    Type MindfulSMS in the dialog's search box, select it, then click Add connection. You need a MindfulSMS account, plus read or write access on anything you do not own yourself and want the Zap to touch.

Get Contact List by Name

Search

Finds one of your contact lists from its name and hands it to the following steps.

When to use it
a later step needs a specific list, and you know its name but nothing else.
Watch out
Name is required, and whether it must match exactly is up to MindfulSMS; test with the real list name.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and skips the steps that depended on it. Switched on, the Zap carries on with no result.
  2. Create X if it doesn't exist yet?
    Ticking this box turns a search into a find-or-create and asks for the fields needed to create the missing item. MindfulSMS lists no find-or-create variant on Zapier, so check at test whether the box shows.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on.
When it breaks

When a MindfulSMS Zap breaks

Zapier links no help article and no rate limit to MindfulSMS. What breaks these Zaps comes from how Zapier works in general.

  • Older contacts and texts stay out

    A Zap only reacts to what happens after you switch it on. Contacts and messages from before are never picked up, and moving that backlog is a separate job.
  • A Zap that keeps restarting itself

    As a general rule, a Zap that writes where its own trigger looks can set itself off again and burn tasks. Keep what you read and what you write apart, or filter.
  • A burst after a big send or import

    When a trigger suddenly reports a huge batch, after a bulk import or a migration, Zapier's flood protection can hold those runs back.
  • A search that finds nobody

    With the default setting, a search such as Get Contact by Phone Number stops the Zap when nothing matches, and the steps that relied on it are skipped.

01Is the MindfulSMS Zapier integration free?
Yes, it runs on Zapier's free plan, because MindfulSMS is not a premium app. The free plan gives 100 tasks a month and an unlimited number of Zaps, each one limited to two steps: one trigger and one action. New Contact followed by Send Message fits that limit exactly. Add a filter on incoming replies, a search such as Get Contact by Phone Number, or a second action, and the Zap becomes multi-step, which needs a paid plan. Count the steps of the Zap you have in mind before you pick a plan.
02How many tasks does a MindfulSMS Zap use?
One task per action that completes, nothing for the trigger. A text coming in, a text going out or a new contact costs zero on its own; Zapier bills only what the Zap does next. Each successful action counts separately, so a Zap that adds a contact and then texts them uses two tasks per run. A failed action is not counted. A few apps and actions take more than one task when they complete. If your number receives a lot of replies, a filter early in the Zap keeps the actions to the ones that matter.
03Do MindfulSMS triggers run in real time?
Yes. All four MindfulSMS triggers are instant: MindfulSMS tells Zapier when the event happens, and the Zap starts right away, whatever your plan. The polling interval grid, 15 minutes on the free plan, does not apply to this app. In the editor, a Zap built on an instant trigger shows a lightning bolt. The type comes from the app and cannot be switched from the editor. So a free-plan Zap on New Incoming Message does not wait for a scheduled check before passing a reply on.
04What do you need to connect MindfulSMS to Zapier?
A MindfulSMS account, plus read or write access on anything you do not own yourself and want the Zap to touch. Then: open the Apps page of your Zapier account, click + Add connection, search for MindfulSMS in the dialog and pick it, click Add connection, sign in to MindfulSMS in the tab that opens, and grant Zapier access to the account. The connection is reused by every MindfulSMS step afterwards. If you plan to create contacts, also make sure the step before them carries a phone number, which is required.
05Why does Add/Update Contact need a phone number?
Because Phone Number is the one required field on both Add/Update Contact actions: MindfulSMS works with phone numbers, and the step will not run without one. If the tool that starts your Zap does not always collect a number, the contact step has nothing to work with. Make the number mandatory at the source when you can, or put a filter before the action so the Zap only goes on when a number is there; that filter makes the Zap multi-step. Check at test the format your account expects before you publish.
06What if the MindfulSMS operation you want is not listed?
Then the integration cannot do it as such. The MindfulSMS page on Zapier shows the current list of triggers, actions and searches, and the editor offers nothing beyond it. Before dropping the idea, see whether two existing steps get there together: Get Contact by Phone Number followed by Add/Update Contact With Dynamic Custom Fields can cover profile updates that look missing at first. Launching a broadcast campaign or removing a contact is not in the current list, so that stays in MindfulSMS.
07Zapier, Make or n8n for MindfulSMS?
Pick on criteria, not on a ranking. On Zapier, MindfulSMS comes with 11 ready-made operations, four instant triggers among them, which suits a team that wants texts and contacts to react to events from the editor. If the step you need is not among those 11, check whether Make or n8n offer MindfulSMS with it before deciding.
