PheedLoop Zapier integrationAutomate PheedLoop with Zapier.
The PheedLoop Zapier integration gives you 7 triggers, 6 actions and 0 searches. All 7 triggers are instant, so a registration, a ticket sale or an attendee change reaches Zapier without waiting on a plan interval. Here is what each one does and costs.

What the PheedLoop Zapier integration actually does
It links PheedLoop, the event platform for live, virtual and hybrid events, to the other tools your team uses. Something happens in PheedLoop (a registration, a ticket purchase, an attendee edited or removed) and Zapier reacts in another app. Or the reverse: another app tells Zapier to create, update, check in or remove an attendee in PheedLoop.
Three results people build first. A members list that fills itself: New Registration feeds Create Member, so everyone who signs up for one event joins your organization's member base without a copy-paste session after the doors close. Check-in from the outside: a scan, a form or a spreadsheet row in another tool calls Event Check In or Session Check In, and the attendance shows up in PheedLoop. A sales tool that knows who bought: New Ticket Purchase sends each buyer to your CRM or your mailing tool the moment the sale lands.
Every PheedLoop trigger is instant. That matters more than it sounds: on a free plan, a trigger Zapier has to check on a timer waits up to 15 minutes, while an instant one does not wait at all. With PheedLoop you never pay for speed.
Now what Zapier does not do here. There is no search step for PheedLoop, so a Zap cannot look up an attendee or a member before acting on it. You need the email from an earlier step. There is no action to create a registration or sell a ticket, and no trigger on sessions. And nothing that existed before you switch the Zap on gets picked up: past registrations stay where they are.
If you are still choosing a tool, two comparisons are on the site: Make vs Zapier and n8n vs Zapier.
Zapier vocabulary, in plain words
Eight words come back on every line of this page. Here they are once, so the rest reads without a dictionary.
- Zap
- The automation you build in Zapier: one trigger, then one or more actions that run every time that trigger happens.
- Trigger
- The event in an app that starts the Zap, like a new registration in PheedLoop. Once the Zap is on, Zapier waits for it.
- Action
- What the Zap does after it starts: the step that creates, updates, checks in or removes something for you.
- Task
- What Zapier bills: one action that completes successfully. Your plan's allowance is a count of those, nothing else.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself, the moment the event happens.
- Filter
- A step that lets the Zap continue only when the incoming data meets your condition, and stops it quietly otherwise.
- Connection
- Your PheedLoop account linked to Zapier once, then reused by every step of every Zap that touches PheedLoop.
- Multi-step Zap
- Any Zap with more than one trigger and one action. A second action, a filter or a search makes one, and it needs a paid plan.
What a PheedLoop Zap really costs
PheedLoop is not a premium app on Zapier: it works on the free plan. The bill is counted in tasks, and only actions make them.
- Premium appNo, available on the free plan
- Free plan100 tasks a month, Zaps of two steps
- TriggerNever costs a task
- PheedLoop triggers7 instant, 0 polling
The trigger never costs a task, and neither does Zapier listening for new data. Each action that goes through counts once; an action that fails is not counted. A Zap with three actions eats three times what a one-action Zap eats. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger, one action. Add a filter or a second action and it becomes multi-step, which needs a paid plan. The interval grid below only applies to polling triggers, and PheedLoop has none.
Connect PheedLoop to Zapier in 3 steps
- 01
Open your connections
In your Zapier account, go to the Apps page, then click + Add connection. A dialog opens with a search box: type PheedLoop and pick it from the results.
- 02
Sign in to PheedLoop
Click Add connection. PheedLoop opens in a new tab and asks you to sign in. Use the account that can see the events you want to automate, not a personal one with no access to them.
- 03
Grant access
Allow Zapier to use the account. The connection now sits on your Apps page, and every PheedLoop step in every Zap can reuse it. You only do this once per account.
Your first PheedLoop Zap, step by step
GoalTurn the registrations of one event into organization members, but only for the ones that match your rule.
- 01
Build: pick the trigger
Create a Zap, choose PheedLoop as the app and
New Registrationas the event. Select your PheedLoop connection, then the event to watch in the required Event box. - 02
Test the trigger
Run the test. Zapier brings back the three most recent registrations of that event, so you map the next steps on a real one. No registration yet? Create a test one first.
- 03
Add the filter
Click the plus icon, choose Filter, then set the field, the rule and the value. Use a text rule on text and a number rule on numbers, or the filter never passes. This step makes the Zap multi-step.
- 04
Add the action
Add PheedLoop again, with
Create Member. Map Email, First Name and Last Name from the registration: all three are required. If the email already belongs to a member, that member is updated instead. - 05
Test, then publish
Test the action and read what came back in PheedLoop. Then click Publish. From now on, each new registration that passes the filter costs one task.
The 7 PheedLoop triggers
7 events start a Zap when something happens in PheedLoop, and 7 of them are instant: the app calls Zapier straight away, whatever your plan.
Delete Attendee
Instant triggerIn Zapier“Triggers when an Attendee is deleted/removed from your chosen event.”
Starts the Zap when someone is removed from the event you chose. The cleanup you would otherwise do by hand in another tool (a seating sheet, a mailing list, a badge queue) follows on its own.
New Attendee
Instant triggerIn Zapier“Triggers when a new attendee is created for your organization.”
Fires each time an attendee profile is created in the event you pick, whoever created it: a registration, an import or a colleague typing it in. It is the broadest entry point on the attendee side.
New Member
Instant triggerIn Zapier“Triggers when a new member is created for your organization.”
Reacts to a member being created at the organization level, outside any single event. No Event box to fill: it watches your whole PheedLoop organization.
Create Member, every member it adds starts this trigger too; chain them carefully to avoid a loop.New Registration
Instant triggerIn Zapier“Triggers when a new registration is created for your chosen event.”
Fires when someone completes a registration for the event you select. This is the signal marketing teams usually wait for: a person who chose to come.
New Ticket Purchase
Instant triggerIn Zapier“Triggers when a new ticket is purchased for your chosen event.”
Triggers on each ticket bought for the chosen event. Where a registration says someone is coming, this one says someone paid, which is the event your accounting or sales tool cares about.
Update Attendee
Instant triggerIn Zapier“Triggers when an existing Attendee is updated for a specific event.”
Starts when an existing attendee of a specific event is edited. Useful to keep a second tool in step with PheedLoop when details change after registration.
Update Attendee action on the same event; the Zap would edit what it watches and set itself off again and again.Update Member
Instant triggerIn Zapier“Triggers when an existing Member is updated. This trigger is fired whenever a Member is updated (including their Attendee profiles) across any of your Organization's events as well.”
Covers any change to a member of your organization, including changes to their attendee profiles in any of your events. It is the widest trigger of the app.
The 6 PheedLoop actions
PheedLoop gives you 6 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create Attendee
ActionIn Zapier“Creates an Attendee for the specified event. If an existing Attendee is using the email specified in this action, then the existing Attendee will be updated with the fields used here (so this Create can also act like an Update).”
Adds a person to the event you choose, from data another app sends. Event, Email, First Name and Last Name are required.
Create Member
ActionIn Zapier“Creates a Member for your organization. Will not be tied to any specific event unless Events Attended is provided. If an existing Member is using the email specified in this action, then the existing Member will be updated with the fields used here (so this Create can also act like an Update).”
Creates a member at the organization level, with Email, First Name and Last Name required. It stays tied to no event unless you fill Events Attended.
Delete Attendee
ActionIn Zapier“Deletes/removes the specified Attendee from the chosen event.”
Removes an attendee from the chosen event, using Event and Attendee Email, both required.
Event Check In
ActionIn Zapier“Checks in a attendee to the selected event.”
Marks an attendee as arrived at the event, identified by Event and Attendee Email, both required.
Create Attendee if needed.Update Attendee
ActionIn Zapier“Updates an existing attendee.”
Edits an attendee who already exists, found by the Attendee Email you map, the only required box.
Session Check In
ActionIn Zapier“Checks in a attendee to a selected session.”
Checks an attendee into one session of an event. Three boxes are required here: Event, Session and Attendee Email.
When a PheedLoop Zap breaks
Zapier attaches no help article to PheedLoop, so the breakdowns below are the general ones, applied to this app.
Most PheedLoop Zaps that misbehave do so for one of four reasons, and none of them shows up as an error the first day. For the general method, see Zapier troubleshooting.
The past is never sent
A Zap only reacts to what happens after you publish it. Registrations and attendees that already existed stay out; moving them is a separate job.The Zap that feeds itself
Update Attendee as trigger and as action on the same event, or New Member next to Create Member: the Zap writes where it watches and runs again, burning tasks. The bulk import surge
Importing many attendees at once sends a large batch to Zapier. Its flood protection can hold that batch back instead of running every Zap.The wrong event selected
Most operations need an Event. A Zap set on last year's event runs fine and does nothing useful: check the Event box when you reuse a Zap.
