What the Mindstone Zapier integration does for you

The Mindstone Zapier integration connects your Mindstone library to Zapier, the tool that runs automations between apps. What you highlight or add in Mindstone can start a Zap in another app, and a link that turns up elsewhere can land in a Mindstone workspace on its own.

Highlights that live where you write. New Highlight picks up each passage you mark in Mindstone and passes it to Zapier. Send it to your notes app and your reading notes sit next to the rest of your work.

A team that sees what was added. New Resource fires when a resource joins your library. Post it to your team chat, with a filter if only some resources matter, and nobody has to announce a new read by hand.

Links that reach your workspace. Add to Workspace takes the URL of a resource from another app and adds it to a Mindstone workspace. A link saved in a spreadsheet or a form ends up in the right place.

What Zapier does not do here: there is no search, no way to edit or delete a resource, and no action on highlights. Both triggers are polling triggers, so Zapier checks Mindstone at an interval set by your plan; nothing arrives instantly. And a Zap never picks up the highlights or resources you had before switching it on.

Neither Mindstone trigger costs a task, and Zapier checking Mindstone for new items is free however often it happens. Each action that succeeds counts as one task, Add to Workspace included; a failed one is not counted. The free plan gives 100 tasks a month and unlimited Zaps, each limited to two steps: one trigger, one action. A filter or a second action turns it into a multi-step Zap (anything beyond one trigger and one action), which needs a paid plan. Connect Mindstone to Zapier in three steps

    Open your connections

    In your Zapier account, open the Apps page and click + Add connection. A connection is your Mindstone account linked to Zapier once, then reused by every Mindstone step you build.

    Pick Mindstone

    Type Mindstone in the search box of the dialog, select it, then click Add connection. A new tab opens so you can sign in to the Mindstone account that holds your library.

    Sign in and grant access

    Sign in to Mindstone in that tab and let Zapier reach the account. You need an account on the app, plus read or write access on anything you do not own yourself and want the Zap to touch.

First Zap

Your first Zap: new resources posted to your team

    Create the Zap and pick the trigger

    Start a new Zap, choose Mindstone as the app and New Resource as the event, then select the Mindstone connection you created.

    Test the trigger

    Run the test. Zapier brings back the three most recent resources of the connected account, so you pick a real one and see what fields come back.

    Add the filter

    Click the plus icon and add Filter: the field to look at, the rule, the value. A filter makes this a multi-step Zap, so this step needs a paid plan.

    Add the chat message

    Add your team chat app with its send message action, choose the channel, and build the message from the resource fields you saw at the test.

    Test and publish

    Test the action once and read the message in the channel. If your team would understand it, click Publish to switch the Zap on.

When your Mindstone Zap breaks

Zapier links no help article to Mindstone and lists no Mindstone-specific limit. What breaks here is general Zapier behaviour, plus the URL rule of the action.

  • Old highlights never arrive

    A Zap only reacts to what happens after you switch it on. Highlights and resources you already had are never sent; moving them is a separate job.
  • A Zap that sets itself off

    A Zap that writes into the very place its own trigger watches can start itself again and again, and burn through your task count fast.
  • The same item only once

    Zapier keeps track of what it has already seen on a polling trigger, so the same highlight or resource does not start the Zap twice.
  • Big batches held back

    A trigger that suddenly returns a huge batch, after an import or a migration, can be held back by Zapier's flood protection.

Mindstone Zapier integration: your questions

01Is the Mindstone Zapier integration free?
Yes. Mindstone is not a premium app, so it works on the free Zapier plan. That plan includes 100 tasks a month and unlimited Zaps, as long as each Zap has two steps: one trigger and one action. A New Highlight to notes app Zap fits as it is. The first Zap on this page carries a filter, which makes it a multi-step Zap, and that needs a paid plan.
02How many tasks does a Mindstone Zap use?
One task per action that succeeds, nothing for the trigger. Zapier checking Mindstone for new highlights or resources is free however often it happens. A Zap that turns each highlight into a note uses one task per highlight, so a heavy reading session shows up on your count. A failed action is not counted. On the free plan you have 100 tasks a month across all your Zaps. Keep chained actions to a minimum until you know your volume.
03Are Mindstone triggers real time?
No. New Highlight and New Resource are both polling triggers: Zapier asks Mindstone for new items at a fixed interval set by your plan. That is every 15 minutes on Free, 2 on Professional, and 1 on Team and Enterprise. On paid plans you can change how often a polling trigger checks, and run a check by hand from the editor when you are testing. There is no instant version of either Mindstone trigger on Zapier.
04What do you need to connect a Mindstone account?
An account on Mindstone, plus read or write access on anything you do not own yourself and want the Zap to touch. The connection runs from the Apps page of Zapier: + Add connection, search Mindstone, Add connection, sign in to Mindstone in the tab that opens, then grant access. Sign in with the account that holds the library and workspaces you want the Zap to read or fill. Check it at the first test of the trigger.
05Why does Add to Workspace fail on a link?
Check the URL field first. It is required, and it must contain the URL of the resource itself. If the step before your action only carries a sentence or a message with a link inside, the action has no clean URL to use. Extract the URL in an earlier step, then map that value into Add to Workspace. Test the action on a real item before you publish the Zap.
06What if the Mindstone operation you need is not listed?
Then the Zapier integration does not offer it today. The Mindstone app page on Zapier shows the current list: two triggers, one action and no search. So you cannot look up a resource, change one or work with highlights from another app. Within those limits, a highlight or a resource can still start a Zap, and a URL can still be added. If the link you want to add sits inside a longer text, extract the URL in an earlier step, since Add to Workspace needs the link alone.
07Zapier, Make or n8n for Mindstone?
Decide on criteria rather than a ranking. First, coverage: on Zapier, Mindstone offers two polling triggers and one action, so check what the other tool lists for Mindstone. Second, timing: on Zapier, how soon a highlight leaves Mindstone depends on your plan's polling interval. Third, the apps around Mindstone, where most of the work happens.
