What the Innform Zapier integration is good for

Innform is an online training platform built around users and the assignments they have to complete. Connected to Zapier, it can start an automation when a user joins, when an assignment is completed or when one runs late, and it can invite, freeze or unfreeze users from other tools.

Three results teams set up first. A new hire created in another tool gets an Innform invitation through Create User, so onboarding training starts without anyone sending it by hand. A compliance course that runs late fires Overdue Assignment, and Freeze User puts that learner's account on hold. And Assignment Completed tells the rest of your tools that someone has finished, so a manager or a record elsewhere can be updated.

The limits, plainly. All three triggers are polled: Zapier asks Innform for news on a timer, so on the free plan a completion can surface up to 15 minutes later. There is no search step, so a Zap cannot look up a user or an assignment before acting, and there is no action to assign a course: that stays in Innform. And no trigger reacts to a frozen user or to a profile change.

Triggers cost nothing, however often Zapier checks Innform for new users or assignments. Each action that succeeds counts as one task, and one that fails is not counted. Freezing a learner for an overdue course costs one task per learner. The free plan includes 100 tasks a month but only two-step Zaps: one trigger and one action. Adding a filter or a second action makes the Zap multi-step, which needs a paid plan. The plan also sets how quickly the triggers notice anything.

    Open Apps

    In Zapier, go to Apps and click + Add connection. That connection is your Innform account, linked once and reused by every Innform step in all your Zaps.

    Search for Innform in the dialog, select it and click Add connection. An Innform account must exist already, since Zapier does not create one for you.

    Create a Zap, pick Innform as the app and Overdue Assignment as the event, then select the Innform connection you added earlier.

    Test with real data

    Run the test so Zapier brings back the three most recent overdue assignments of the account, and pick one to map from instead of an empty sample.

    Add the filter

    From the plus icon, add Filter and set the field, the rule and the value, so only the courses you care about go through.

    Add Freeze User

    Add Innform again with Freeze User, and fill in what the step asks for with the values the trigger test brought back for that learner.

    A Zap only reacts to users and assignments that appear after you switch it on. Past completions and overdue courses stay where they are.
  • New User plus Create User loops

    A Zap that starts on New User and ends with Create User invites someone, which counts as a new user and starts the Zap again, burning tasks fast.
  • A bulk import goes quiet

    Importing a whole team into Innform can make a trigger return a huge batch at once. Zapier's flood protection may hold those runs back.
  • Each item fires once

    Zapier remembers what it has already seen on a polled trigger, so the same user or assignment does not start your Zap twice.

Innform Zapier integration: frequent questions

01Is the Innform Zapier integration free?
Yes, on Zapier's side: Innform is not a premium app, so it runs on the free plan. That plan gives you 100 tasks a month and unlimited Zaps, but each Zap has two steps only, one trigger and one action. An Overdue Assignment trigger followed by Freeze User fits. As soon as you add a filter or a second action, the Zap becomes multi-step and requires a paid plan. A simple two-step Zap is enough to try it out.
02How many tasks does an Innform Zap use?
One task per successful action, nothing for the trigger. Zapier can check Innform for new users, completed assignments and overdue ones as often as your plan allows, and none of those checks is billed. A Zap that freezes one learner costs one task per run; a Zap that invites a user and then does something else costs one task per action that succeeds. An action that fails is not counted. Loops are the real risk to your task allowance.
03Does Innform trigger Zaps in real time?
No. Assignment Completed, New User and Overdue Assignment are all polling triggers: Zapier asks Innform for news at a fixed interval. That interval is 15 minutes on Free, 2 minutes on Professional and 1 minute on Team and Enterprise. On paid plans you can also run a check by hand from the editor. For training follow-ups the delay rarely matters, but keep it in mind before promising instant reactions to anyone.
04What does connecting Innform to Zapier require?
An Innform account, with enough rights to see and manage the users and assignments your Zaps will touch. You add the connection once from Apps with + Add connection, sign in to Innform in the new tab and grant access. Every Innform step then reuses that connection. If you plan to invite people, make sure the tool that starts the Zap carries a full name and an email, since Create User requires both.
05Can an Innform Zap assign a course to a new user?
Not through Zapier today. The three Innform actions are Create User, Freeze User and Unfreeze User; none of them assigns training. A Zap can invite the person, and the course assignment then happens in Innform itself. Once it is assigned, the Assignment Completed and Overdue Assignment triggers let Zapier follow what happens next. Plan your onboarding with that split in mind, so nobody expects the Zap to enrol people in courses.
06What if the Innform operation you need is missing?
Then the integration cannot do it today. Zapier lists three triggers and three actions for Innform, with no search step, and nothing else appears in the editor. There is no trigger for a frozen user, for example, and no way to look up a user before acting. A different starting event sometimes covers the need. If not, ask Innform whether they plan to add the operation, or check whether another platform exposes it.
07Zapier, Make or n8n for Innform?
Choose by criterion, not by ranking. On Zapier, Innform runs from the free plan, every successful action costs a task, and the three triggers are polled. List the Innform events and steps your flow needs, including any search or course assignment you would like, then check which platform exposes them. Compare what one run of your flow costs on each. The decision usually comes out of those checks rather than from a general opinion.
