What the MotionOps Zapier integration does for you
MotionOps is an operating system for service contractors: accounts, appointments, work orders, invoices and transactions in one place. Plugging it into Zapier means those events can update your other tools, and other tools can create or change MotionOps accounts, without anyone retyping a thing.
Three results you can build. A follow-up message once a visit is done: Appointment Completed starts the Zap and your email tool sends the note. A running log of money in, with one spreadsheet row per Transaction Created, so payments sit next to the rest of your figures. A tidy account list fed from outside: a new contact elsewhere becomes a MotionOps account through Create Account, and Add Tag to Account labels existing accounts once an earlier step hands over their ID.
Every one of the seven triggers is instant. MotionOps reports the event to Zapier itself, so the interval of your plan never slows these Zaps down, even on Free.
What Zapier does not do here. The three actions only touch accounts: there is no action to create an invoice, book an appointment or close a work order from Zapier. The only search is Find Account, so nothing looks up an invoice or a job. And Add Tag to Account and Update Account both need the account ID, which means a trigger or a search has to bring it first. Zapier vocabulary in one minute
The page uses eight Zapier words. Here is each one in plain language, defined once.
- Zap
- The automation you build on Zapier: one starting event, then one or more steps that run each time that event happens.
- Trigger
- The event in an app that starts the Zap, such as a work order being closed in MotionOps. Once the Zap is on, Zapier waits for it.
- Action
- The step the Zap carries out once started: it writes, sends or changes something, like creating a MotionOps account.
- Task
- What Zapier bills: one action that completes successfully. Your plan's number counts those, and nothing else.
- Polling vs instant
- Polling: Zapier asks the app for new items on a timer. Instant: the app calls Zapier the moment the event happens. MotionOps uses instant.
- Filter
- A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
- Search step
- A step that looks up something that already exists, so the steps after it can use what it found. Find Account is one.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A filter, a search or a second action makes one, and it then needs a paid plan.

MotionOps is not a premium app, so it runs on the free plan. You pay in tasks, and only for actions that go through.

The trigger never costs a task, and neither does Zapier waiting for events. Each successful action counts as one task, and an action that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap holds two steps: one trigger and one action. A filter or a search makes the Zap multi-step, which needs a paid plan. The interval grid below is the polling schedule of each plan; it does not apply to the MotionOps triggers, which are all instant, only to a polling trigger from another app that would start the Zap.
Connect your MotionOps account to Zapier

Start from the Apps page
Open Apps in your Zapier account and click + Add connection. Search MotionOps by name in the dialog and pick it. You need a MotionOps account before you start.

Sign in to MotionOps
Click Add connection, then sign in to MotionOps in the tab that opens. Use an account with read or write access on anything you do not own yourself and want the Zap to touch, such as accounts created by colleagues.

Grant access
Allow Zapier to access the account. The connection is saved once and reused by every MotionOps step, whether the Zap starts on a closed work order or ends on Update Account.

Create the Zap
Start a new Zap, pick MotionOps as the app and Work Order Closed as the event, then choose the MotionOps connection you just added.

Test the trigger
Run the test. Zapier brings back the three most recent closed work orders of the connected account, so you map from a real one. Pick the one you want to map from.

Add the spreadsheet row
Add your spreadsheet app as the action and choose its add-row event. Map the work order values the test returned into your columns.

Optional second action (paid plan)
Adding an email after the row makes the Zap multi-step, so it needs a paid plan, and each successful action is counted as its own task.

Test and publish
Test each action once and read what came back. Then publish the Zap to switch it on. Work orders closed before publishing are not picked up.

Work Order Closed

Add Tag to Account
ActionIn Zapier“Adds tag to account.”
Puts a tag on a MotionOps account, so you can group customers by where they came from or what they asked for. Account Id and Tag Name are both required.
Create Account

Adds a new account to MotionOps from data another app sent, so a lead captured elsewhere becomes a customer record without retyping.
Update Account
ActionIn Zapier“Updates an existing account.”
Changes an existing MotionOps account with values from an earlier step. It asks for the ID of the account to change, which is a required field.
The MotionOps search on Zapier
1 search step looks for data that already exists in MotionOps, so a later step can use it.
A search step finds an account that already exists so the next steps can use it. In the editor, searches sit at the bottom of the Action event list under SEARCH. Each one comes with three settings, shown below with their exact labels.
Find Account

Looks up an existing MotionOps account and passes it to the next steps, which is how Update Account and Add Tag to Account get the ID they need. The editor also shows Find Or Create Account: it is this same search with the create box ticked, not a separate operation.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap there and the steps that depended on it are skipped. Switched on, the Zap carries on empty-handed.
- Create X if it doesn't exist yet?Ticking this box turns the search into a find-or-create. It stops offering the setting above and asks for the fields needed to create the missing item.
- If multiple search results are found?Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When a MotionOps Zap breaks
Zapier attaches no help article to MotionOps, and no limit specific to the app is documented. The cases below come from how Zaps work in general.

No backlog
A Zap only reacts to events after it is switched on. Invoices, accounts or work orders that already existed are not picked up; moving them is a separate job.A Zap that sets itself off
