What the MVP One Zapier integration actually does
MVP One is a maintenance management system (a CMMS) for planning, scheduling and reporting on asset maintenance. The Zapier integration lets it talk to your other tools: three new-record events can start an automation, and three actions work on purchase orders from the outside.
A running log of purchase orders. With New PO as the starting point, each new PO lands in a spreadsheet or a shared document, so people who never open MVP One still see each new PO.
An invoice attached to the right PO. Create PO Invoice writes invoice lines against an existing purchase order, using a receipt number, the shipping cost, the taxes and one value per line that another tool hands over.
A PO closed or renumbered from elsewhere. Close PO and Update PO ID let a step outside MVP One finish a purchase order or give it a new number, once you know its PO ID and Release ID.
What Zapier does not do here: none of the three triggers is instant, so every one waits for Zapier's next check. There is no search step, so a Zap cannot look up a PO by itself; the IDs have to arrive from an earlier step. No action creates a PO, a PR or a WO, and no trigger watches a change or a closure. If you are still weighing tools, see our Zapier review or the n8n vs Zapier comparison.
Zapier vocabulary in one minute
Eight words come back all over this page. Here they are in plain English.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for that event, here a new PO, PR or WO.
- Action
- What the Zap does once it has started: the step that writes, sends or changes something for you, like closing a PO.
- Task
- The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
- Polling trigger
- A trigger Zapier checks on a timer: it asks MVP One for new items at a fixed interval and keeps only what it has not seen yet.
- Instant trigger
- A trigger the app reports itself, the moment the event happens, so nothing waits for the next check. MVP One has none.
- Filter
- A step that lets the Zap go on only when what arrived meets the condition you set, and stops it there otherwise.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A second action or a filter makes one, and it then needs a paid plan.
What it really costs
MVP One is not a premium app on Zapier, so it works from the free plan. What you pay for is tasks.
- Premium appNo, available on the free plan
- Free plan100 tasks a month, two steps per Zap
- TriggerNever billed
- Failed actionNot counted
The trigger never costs a task, however often Zapier checks MVP One. Each action that succeeds counts as one task, so a Zap with three actions uses three times as much as a Zap with one. An action that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap stops at two steps. Add a filter or a second action and you are on a multi-step Zap, which needs a paid plan.
Connect MVP One to Zapier in 3 steps
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. Before you start, you need an MVP One account, plus read or write access on anything you do not own yourself and want the Zap to touch.
- 02
Pick MVP One
Type MVP One in the search box of the dialog that appears, select it in the results, then click Add connection. A new tab opens so you can sign in to MVP One.
- 03
Sign in and grant access
Sign in to MVP One in that tab and grant Zapier access to the account. The connection is then saved once and reused by every step that touches MVP One.
Your first Zap: new POs that pass a check go to your team chat
GoalEach new purchase order in MVP One is checked against one condition, and only the ones that pass are posted to your team chat.
- 01
Create the Zap
Start a new Zap and pick MVP One as the app that starts it, with
New POas the event. Choose the MVP One connection you added earlier. - 02
Test the trigger
Run the test. Zapier brings back the three most recent POs of the connected account, so you build the rest on a real one instead of a blank.
- 03
Add the filter
Click the plus icon and add Filter. Set three boxes: the field to look at, the rule, and the value to compare with. This filter makes the Zap multi-step, so it needs a paid plan.
- 04
Add the message
Add your chat tool as the action and map the PO fields from the trigger into the message. Test this step once and read what came back before going further.
- 05
Publish
Click Publish to switch the Zap on. From then on, Zapier checks MVP One at your plan's interval and only POs created after that point count.
MVP One triggers on Zapier
3 events start a Zap when something happens in MVP One. Zapier checks for them at the interval your plan allows.
New PO
Polling triggerIn Zapier“Triggers when a new PO is created.”
Starts a Zap each time a purchase order is created in MVP One. Test it once to see which PO fields come back before you map them into the next step.
New PR
Polling triggerIn Zapier“Triggers when a new PR is created.”
Fires when MVP One records a new PR. Pick it when the record that matters to you is the PR, not the PO or the WO.
New WO
Polling triggerIn Zapier“Triggers when a new WO is created.”
Watches MVP One for newly created WOs and hands each one to the rest of the Zap. Pick it when the WO, rather than the purchase order, is what has to travel.
MVP One actions on Zapier
MVP One gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Update PO ID
ActionIn Zapier“Updates the ID of a Purchase Order.”
Gives an existing purchase order a new ID. You point at the PO with its current PO ID and Release ID, then supply the New PO ID.
Close PO
ActionIn Zapier“Closes a PO in the system.”
Closes a purchase order in MVP One from outside the app, identified by its PO ID and its Release ID.
Create PO Invoice
ActionIn Zapier“Creates a PO Invoice in the system.”
Writes an invoice against an existing purchase order in MVP One. Each row you map to Line No. becomes one line on the invoice, tied to a receipt number.
2025-09-15T10:30:00.When the MVP One Zap breaks
Zapier publishes no help article and no specific limit for MVP One. What can go wrong comes from how every Zap behaves.
The four cases below cover what to check first. When a run fails anyway, see our Zapier troubleshooting guide.
Old POs never show up
A Zap only reacts to what happens after it is switched on. POs, PRs and WOs that existed before publishing are not picked up; moving that backlog is a separate job.A Zap that sets itself off
As a general precaution: a Zap that writes into the very place its own trigger watches can set itself off again and again, and burn through the task count fast.A big batch arrives at once
After a bulk import or a migration, a trigger that suddenly returns a huge batch can be held back by Zapier's flood protection. The same record, seen once
Zapier keeps track of what it has already seen on a polling trigger, so the same PO, PR or WO does not start the Zap twice.
