Overview

What the My Event Cafe Zapier integration actually does

My Event Cafe is a virtual online classroom for building courses meant to be followed together, with people learning from each other. On Zapier, the tool that links apps together, it works in one direction only: three things that happen in your events can start an automation, and the result lands in another app.

A running list of who signed up. With User Enrolled as the starting point, each person who enrolls in one of your events is added as a row in a spreadsheet, so you always have an up-to-date list outside the classroom.

Comments that reach you where you work. User Commented fires when someone comments in one of your events, and the comment can be posted in your team chat so it gets an answer.

A heads-up when someone drops out. User Un-Enrolled fires when an enrollment is cancelled, which lets you update your list or send yourself a note.

What Zapier does not do here: there is no action, so a Zap cannot create, change or enroll anything in My Event Cafe. There is no search step either. Everything the Zap does happens in other apps. The upside is speed: all three triggers are instant, so the plan's checking interval never applies. If you are still weighing tools, see our Zapier review or the Make vs Zapier comparison.

Vocabulary

Zapier vocabulary in one minute

Eight words come back across this page. Here they are in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it, here a comment or an enrollment.
Action
What the Zap does once it has started: the step that writes or sends something. With My Event Cafe, it is always in another app.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Instant trigger
A trigger the app reports itself, the moment the event happens, so nothing waits. All three My Event Cafe triggers work this way.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items at a fixed interval. My Event Cafe has none.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it there otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes one, and it then needs a paid plan.
Cost

What it really costs

My Event Cafe is not a premium app on Zapier, so it works from the free plan. What you pay for is tasks, spent in the other apps of your Zap.

  • Premium appNo, available on the free plan
  • Free plan100 tasks a month, two steps per Zap
  • Triggers3 instant, never billed
  • Failed actionNot counted

A trigger never costs a task, so a new comment or enrollment costs nothing by itself. Each action that succeeds afterwards counts as one task, and an action that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap stops at two steps. A filter or a second action makes it multi-step, which needs a paid plan. The interval grid below is Zapier's general one for polling triggers: it does not apply to the three instant triggers of My Event Cafe.

Connect

Connect My Event Cafe to Zapier in 3 steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need a My Event Cafe account, plus read or write access on anything you do not own yourself and want the Zap to touch.

  2. 02

    Pick My Event Cafe

Type My Event Cafe in the search box of the dialog that appears, select it in the results, then click Add connection. A new tab opens so you can sign in.

  3. 03

    Sign in and grant access

Sign in to My Event Cafe in that tab and grant Zapier access to the account. The connection is saved once and reused by every Zap that starts from My Event Cafe.

First Zap

Your first Zap: comments that pass a check go to your team chat

GoalEach new comment in one of your My Event Cafe events is checked against a condition, and only the ones that pass are posted to your team chat.

  1. 01

    Create the Zap

Start a new Zap and pick My Event Cafe as the app that starts it, with User Commented as the event. Choose the connection you added earlier.

  2. 02

    Test the trigger

Run the test and read what comes back: those fields are what you build the rest on. Check at the test what a comment carries before you map anything.

  3. 03

    Add the filter

Click the plus icon and add Filter. Set three boxes: the field to look at, the rule, and the value to compare with. This filter makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Add the message

Add your chat tool as the action and map the comment fields into the message. Test this step once and read what came back before going further.

  5. 05

    Publish

Click Publish to switch the Zap on. The trigger is instant, so My Event Cafe tells Zapier about each new comment; earlier ones are not picked up.

Triggers

My Event Cafe triggers on Zapier

3 events start a Zap when something happens in My Event Cafe, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.

1

User Commented

Instant trigger

In Zapier“Triggers when a user comments in one of your events.”

Starts a Zap when someone leaves a comment in one of your events. Zapier features this trigger, and it is the one that keeps you close to the conversation in your classroom.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
when comments should not wait until you next log in, for example a message in your team chat for each one.
Watch out
every comment starts the Zap, so a busy event means more tasks for the action that follows.
2

User Enrolled

Instant trigger

In Zapier“Triggers when a user enrolls in one of your events.”

Fires each time a person enrolls in one of your events. Also featured by Zapier, it is the natural start for anything that should happen once per new participant.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
when you keep a list of participants outside My Event Cafe, such as a spreadsheet or a contact list, and want it filled without typing.
Watch out
people enrolled before you publish are not picked up; only new enrollments reach the Zap.
3

User Un-Enrolled

Instant trigger

In Zapier“Triggers when a user has canceled enrollment from your event.”

Reacts when a participant cancels their enrollment in one of your events. It is the mirror of User Enrolled, for people who leave rather than join.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
when your list of participants lives in another tool and someone leaving should show up there, or reach you as a note.
Watch out
test the trigger first and read the fields it brings back, since that is the only way to see what a cancellation holds before mapping it.
When it breaks

When the My Event Cafe Zap breaks

Zapier publishes no help article and no specific limit for My Event Cafe. What can go wrong comes from how every Zap behaves.

The three cases below are the ones to check first. When a run fails anyway, see our Zapier troubleshooting guide.

  • Past enrollments never show up

A Zap only reacts to what happens after it is switched on. Comments and enrollments that existed before publishing are not picked up; moving that backlog is a separate job.
  • A Zap that sets itself off

As a general precaution: a Zap that writes into the very place its own trigger watches can set itself off again and again, and burn through the task count fast.
  • A big batch arrives at once

After a bulk import or a migration, a trigger that suddenly returns a huge batch can be held back by Zapier's flood protection.

FAQ

My Event Cafe Zapier integration: questions people ask

01Is the My Event Cafe Zapier integration free?
Yes, you can use it on Zapier's free plan, because My Event Cafe is not a premium app. The free plan gives you 100 tasks a month and an unlimited number of Zaps, with one limit nobody mentions up front: each Zap has two steps, one trigger and one action. A User Enrolled that adds a spreadsheet row fits. A comment that is filtered first, or that feeds two tools at once, becomes a multi-step Zap and needs a paid plan.
02How many tasks does a My Event Cafe Zap use?
One task per action that succeeds, nothing for the trigger. A new comment, enrollment or cancellation costs nothing on its own. Since My Event Cafe has no action, the tasks are spent in the other apps of the Zap: a Zap that adds a row per enrollment uses one task per enrollment. A Zap with two actions uses two each time it runs all the way through. An action that does not go through is not counted.
03Is My Event Cafe on Zapier real time?
Yes, for all three triggers. User Commented, User Enrolled and User Un-Enrolled are instant triggers: the app tells Zapier the moment something happens, and the Zap starts right away whatever your plan. The grid of 15 minutes on Free, 2 on Professional and 1 on Team and Enterprise is for polling triggers, so it does not apply here. In the editor, these triggers carry a lightning bolt, which is how you can check it yourself.
04What does it take to connect My Event Cafe to Zapier?
A My Event Cafe account, plus read or write access on anything you do not own yourself and want the Zap to touch. The connection itself takes three moves: Apps, then + Add connection, pick My Event Cafe, sign in to it in the new tab and grant Zapier access. Once saved, the same connection serves every Zap that starts from My Event Cafe, so you only do this once per account.
05Can Zapier enroll someone in a My Event Cafe event?
No. The integration has no action at all, so a Zap cannot enroll, unenroll or comment on anyone's behalf in My Event Cafe. It only listens: a comment, an enrollment or a cancelled enrollment starts the Zap, and every step that follows runs in another app. If your process needs to write into My Event Cafe, that part stays manual on Zapier. Plan your Zaps around reacting to what happens in your events.
06What if the My Event Cafe operation you want is not there?
Then Zapier cannot do it with My Event Cafe today. The integration has three instant triggers on comments and enrollments, with no action and no search step. Open the My Event Cafe page on Zapier to see the current list of operations. Sometimes the missing piece can come from another app in the same Zap, as long as My Event Cafe only has to start it with one of its three triggers.
07Zapier, Make or n8n for My Event Cafe?
It depends on criteria, not on a winner. Start with direction: on Zapier, My Event Cafe can start a Zap but cannot receive anything, so check whether the tool you pick also needs to write into it. Then look at billing: Zapier counts a task per successful action in the other apps, and filters push you onto a paid plan. Timing is not a criterion on Zapier for this app, since all three triggers are instant.
