What the JobAdder Zapier integration does for a recruiting desk

The JobAdder Zapier integration links your JobAdder account (the applicant tracking system and CRM built for recruiters) to the other tools you use, through a Zap: an automation that waits for one event, then runs one or more steps every time it happens. Nothing to code. You pick the event, the step that follows, and which details go where.

Three results show up again and again. A follow-up task per placement: Placements - New or Status Changed starts the Zap, Create User Task books the check-in call for the consultant. A candidate file that builds itself: a form answer becomes a record through Create Candidate, and Attach a Candidate Document drops the resume on it. A job board alert: New Job Ad Posted pushes each live ad to your team chat so nobody shares an old link.

What Zapier does not do here: there is no delete action, so a Zap can create, update and annotate records but never remove one. It also cannot look back. A Zap only sees what happens after you switch it on, so last month's candidates stay where they are. And most actions want a JobAdder ID (candidate, job, company), which means many useful Zaps need a search step in front of the action.

The trigger never costs a task, and neither does waiting for it. Each action that succeeds counts once, so a Zap with three actions burns three times faster; a failed action is not billed. The free plan gives 100 tasks a month but only two-step Zaps: one trigger, one action. Add a filter or a search (and on JobAdder you often need one for IDs) and the Zap becomes multi-step, which needs a paid plan. The interval grid below only matters for polling triggers, and JobAdder has none.

Connect

Connect JobAdder to Zapier in three steps

    Open your connections

    In Zapier, go to the Apps page of your account and click + Add connection. You need a JobAdder login, plus access to any records you do not own but want the Zap to touch.

    Pick JobAdder and sign in

    Type JobAdder in the search box of the dialog, select it, then click Add connection. A new tab opens on the JobAdder sign-in page: log in with the account the Zaps should act as.

First Zap

Your first Zap: a task for every new placement

    Create the Zap

    Click Create, then pick JobAdder as the app and Placements - New or Status Changed as the event. Choose your JobAdder connection.

    Run the test. Zapier brings back the three most recent placements of the account, so you map the next steps on a real one, not on placeholder data.

    Add the filter

Most JobAdder actions want an ID. A search step finds the record first and hands its ID to the action. In the editor, searches sit at the bottom of the Action event list under SEARCH, and some fields offer + Add search step to insert one for you. Each search adds a step, so the Zap becomes multi-step.

The three settings every search exposes

  1. Successful if no search results are found?
    Left as it is, a search that finds nothing stops the Zap and skips what depends on it. Switched on, the Zap carries on without the record.
  2. Create X if it doesn't exist yet?
    Ticking it turns the search into a find-or-create: it asks for the fields needed to create the missing record, and the setting above disappears.
  3. If multiple search results are found?
    Three choices: keep the first match (the default), stop the Zap, or pass all matches on at once.
When it breaks

When a JobAdder Zap breaks

Zapier attaches no help article to JobAdder and no app-specific rate limit is documented. What breaks is the general Zapier behaviour, plus two JobAdder habits.

Most problems below show up in the first week. If a Zap still misbehaves, the Zapier troubleshooting page walks through the usual checks.

  • No backfill of old records

    A Zap only reacts to what happens after you publish it. Candidates and jobs already in JobAdder are not picked up; moving them is a separate job.
  • A Zap that sets itself off

    Update Candidate run from a candidate status trigger, or a folder action on a folder trigger, can restart the Zap endlessly and eat your tasks.

Yes, as long as the Zap stays simple. JobAdder is not a premium app on Zapier, so it works on the free plan, which gives 100 tasks a month. The catch is that the free plan only builds two-step Zaps: one trigger and one action. Many JobAdder actions need an ID found by a search step first, and a search, like a filter or a second action, turns the Zap into a multi-step one. That part requires a paid plan.
02How many tasks does a JobAdder Zap use?
One task per action that succeeds, and nothing else. The trigger is free, waiting for events is free, and an action that fails is not billed. A Zap with a placement trigger and one Create User Task action costs one task per placement. Add a note and a status update and it costs three. 03Does JobAdder trigger Zaps in real time?
Yes. All 14 JobAdder triggers are instant: JobAdder tells Zapier the moment the event happens, so the Zap starts straight away. 04What does connecting JobAdder to Zapier require?
A JobAdder account, plus access to the records you do not own but want the Zap to touch. In Zapier you open the Apps page, click + Add connection, pick JobAdder, sign in in the tab that opens and grant access. The connection is then reused by every Zap. Use an account that can see the users you will assign tasks or job orders to, since several actions take user IDs.
05Why do JobAdder actions ask for an ID?
Because JobAdder identifies candidates, jobs, companies and placements by ID, and most actions refuse a name. If the trigger already carries the ID, map it directly. If not, add a search step before the action, such as Find Candidate or Find Job Order, and pass its result on. For custom values in fields like Work Type, Job Owner or Application Status, JobAdder expects the ID of an existing item, not its label.
06What if the JobAdder operation you need is not in Zapier?
Check the list first: 14 triggers, 25 actions and 13 searches cover candidates, contacts, companies, jobs, applications, placements, opportunities, tasks and folders. There is no delete action, and no search for opportunities or document attachment IDs. If what you want is missing, a Zap cannot add it from the editor. The options are to work around it with a search and an update, to handle that step by hand, or to look at another automation tool.
