Overview

What the net2phone Zapier integration does for you

The net2phone Zapier integration links your cloud phone system to the other tools you use, without code. A call event in net2phone (missed, answered, busy, recorded) or an incoming text starts an automation, and Zapier carries the information to the next app, or sends a text and opens a meeting back in net2phone.

A call log that fills itself. Call Completed, Call Answered and Call Busy each start a Zap, so every outcome of a call can land as a line in the table your team already reads.

Recordings you can actually open. Call Recorded tells Zapier a recording exists, and Get Call Recording Direct Download Link turns the recording ID into a link the next step can store or share. Both are limited to Gen X and Gen U accounts.

A text after a missed call. Call Missed plus Send SMS (Gen X and U Only) turns a call nobody picked up into a text message; the action only works with the phone number of the user who connected the account, so check at test that the number you map is accepted.

What Zapier does not do here: there is no search step, so a Zap cannot look up an older call or contact in net2phone; it only works with what the trigger brings. SMS Notification ignores texts sent between two Gen X or Gen U users. And Create Huddle Meeting needs a second action to deliver the meeting details to anyone, which makes the Zap multi-step. Vocabulary

Zapier words in one minute

Seven terms come back on this page. Here they are in plain words, once.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it, here a call or a text in net2phone.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you, such as sending a text.
Task
The unit Zapier bills: one action your Zap completes successfully. The number on your plan counts those, nothing else.
Instant vs polling trigger
An instant trigger is reported by the app the moment it happens. A polling trigger is checked by Zapier on a timer. All net2phone triggers are instant.
Filter
A step that lets the Zap continue only when what arrived meets your condition, and stops it otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes one, and it then needs a paid plan.
Cost

What a net2phone Zap really costs

net2phone is not a premium app, so it works from the free plan. The trigger never costs a task: only an action that completes is billed.

  • Free plan100 tasks a month
  • Zaps on the free planUnlimited, two steps each
  • Premium appNo
  • net2phone triggers7 instant, 0 polling

Each action that succeeds counts on its own, so a Zap with three actions eats three times what a one-action Zap does, and an action that fails is not counted. The free plan stops at two steps: one trigger, one action. Adding a filter or a second action, for example to send out huddle meeting details, makes the Zap multi-step and needs a paid plan. The interval grid below is Zapier's for polling triggers; it does not apply to the net2phone triggers, which are all instant.

Connect

Connect net2phone to Zapier in 3 steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need a net2phone account, plus read or write access on anything you do not own yourself and want the Zap to touch.

  2. 02

    Find net2phone

Type net2phone in the search box of the dialog, pick it from the results, then click Add connection. A new browser tab opens on the net2phone sign-in screen.

  3. 03

    Sign in and grant access

Sign in with the net2phone user whose calls and number the Zaps should use, then grant Zapier access to the account. The connection is then reused by every step that calls net2phone.

First Zap

Your first Zap: every recorded call, with a link, in a table

GoalWhen a call is recorded, get a direct download link for it and add a row with that link to your spreadsheet.

  1. 01

    Create the Zap

Start a new Zap and pick net2phone as the app that starts it, with the event Call Recorded (Gen X and U Only). Choose the connection you made earlier.

  2. 02

    Test the trigger

Run the test: Zapier brings back the three most recent items of the connected account, so you map the next steps on a real recorded call rather than an empty one.

  3. 03

    Get the download link

Add the action Get Call Recording Direct Download Link (Gen X and U Only). Its Call Recording Id field is required: map the value from the test sample that holds the recording ID, and check at test that it is there.

  4. 04

    Add the row

Add your spreadsheet as the third step and map the link from step two into a column. Three steps make this a multi-step Zap, so it needs a paid plan.

  5. 05

    Test, then publish

Test each step once and read what came back. When the row looks right, click Publish to switch the Zap on. Recordings made before that moment are not picked up.

Triggers

The 7 net2phone triggers

7 events start a Zap when something happens in net2phone, and 7 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Call Missed

Instant trigger

In Zapier“Triggers when a call is missed. (Gen V, Gen X, Gen U)”

Starts your Zap each time a call to the connected user goes unanswered, so nobody has to scroll back through the call history to find who tried to reach the team.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
pair it with Send SMS (Gen X and U Only) so a caller who got no answer receives a text from the same number.
Watch out
Zapier's description marks it Gen V, Gen X, Gen U; check what that means for your account before you build around it.
2

Call Recorded (Gen X and U Only)

Instant trigger

In Zapier“Triggers when the call is recorded. (Gen X and U Only)”

Fires once net2phone has stored the recording of a call, which makes it the natural starting point for anything that should happen to recordings: filing them, sharing them, logging them.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
feed it into Get Call Recording Direct Download Link and keep the link next to the call in a shared table.
Watch out
as its name says, it only exists for Gen X and Gen U accounts.
3

Call Ringing

Instant trigger

In Zapier“Triggers when the subscribed user extension is ringing. (Gen P, Gen V, Gen X, Gen U)”

Reacts while the extension of the subscribed user is still ringing, before anyone picks up. It is the earliest moment of a call the integration can catch, and Zapier puts it forward on the app page.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
post a heads-up in a team channel so a colleague can grab the call if the main person is busy.
Watch out
every ring starts a run, so add a filter (paid plan) if only some calls matter.
4

Call Busy

Instant trigger

In Zapier“Triggers when there is a busy line. (Gen V, Gen X, Gen U)”

Catches the calls that hit a busy line. Instead of leaving no trace outside net2phone, each one becomes an event your Zap can act on.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
add a row per busy-line call to your spreadsheet so somebody can call the person back.
Watch out
its description on Zapier carries the marks Gen V, Gen X, Gen U; run the trigger test to see which details a busy call brings.
5

Call Completed

Instant trigger

In Zapier“Triggers when a call is completed. (Gen P, Gen V, Gen X, Gen U)”

Runs when a call ends, which makes it the trigger for anything that needs the whole call behind it: a log entry, a follow-up task, a note in another tool. Zapier features it on the app page.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
write one row per finished call to keep a call log outside net2phone.
Watch out
run the trigger test to see which details the completed call carries before you map anything.
6

Call Answered

Instant trigger

In Zapier“Triggers when a call was answered. (Gen P, Gen V, Gen X, Gen U)”

Goes off when somebody picks up. Answered calls are the ones with a conversation behind them, so this is where a Zap that opens a record for each real exchange belongs.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
open a note or a ticket in another tool as soon as the call is taken, ready for the person on the line.
Watch out
its internal key reads new_call_received, but the editor shows it as Call Answered.
7

SMS Notification (Gen X and U Only)

Instant trigger

In Zapier“Triggers when the user receives an incoming text message. Note: it won't work for internal (Gen X or U user → Gen X or U user) messages.”

Turns each text that reaches the connected user into a Zap run, so an SMS stops being something only one phone sees.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
forward incoming texts to a shared inbox or channel where the whole team can answer them.
Watch out
a text sent from one Gen X or Gen U user to another does not trigger it.
Actions

The 3 net2phone actions

net2phone gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Huddle Meeting

Action

In Zapier“Creates a huddle meeting. (Gen P, Gen V, Gen X, Gen U) You need to add one more action in order to receive the huddle meeting information. Ex. an email with the information or a SMS.”

Opens a huddle meeting in net2phone from any trigger, on Gen P, Gen V, Gen X and Gen U accounts.

When to use it
set up a quick meeting when a call needs a follow-up with several people.
Watch out
the meeting details only reach someone if you add another action after it, such as an email or a text, which makes the Zap multi-step.
2

Get Call Recording Direct Download Link (Gen X and U Only)

Action

In Zapier“Gets Call Recoding Direct Download Link (Gen X and U only).”

Hands back a direct link to download a call recording, from its recording ID, which is the one required field.

When to use it
right after Call Recorded, to store a link the rest of the team can open.
Watch out
without a recording ID mapped from an earlier step, the action has nothing to fetch; check at test that the value arrives.
3

Send SMS (Gen X and U Only)

Action

In Zapier“Sends a SMS to a phone number (Gen X and U only). This will only work with the authenticated user’s phone number.”

Sends a text message to the phone number you give it, with the content you write or map. Both fields are required.

When to use it
confirm an appointment or answer a missed call by text, straight from a Zap.
Watch out
it only works with the phone number of the user who authenticated the connection.
When it breaks

When a net2phone Zap breaks

Zapier attaches no help article of its own to net2phone. What can go wrong comes from Zapier's general rules.

The three cases below apply to any Zap built on these triggers. For a step that fails with an error, see our Zapier troubleshooting guide.

  • Past calls are not picked up

A Zap only reacts to calls and texts that happen after you publish it. Calls already in the history stay where they are; moving them is a separate job.
  • A Zap that sets itself off

A Zap that writes into the very place its own trigger watches can start itself again and again, and burns through your task count. Check where each step writes.
  • A sudden flood of events

When a trigger suddenly sends a huge batch, after a bulk import or a migration for example, Zapier's flood protection can hold those runs back.

FAQ

net2phone Zapier integration: questions

01Is the net2phone Zapier integration free?
Yes, it works on Zapier's free plan, because net2phone is not a premium app. The free plan gives you 100 tasks a month and an unlimited number of Zaps, each limited to two steps: one trigger and one action. Call Missed followed by Send SMS fits inside that. Create Huddle Meeting is the exception in practice: its meeting details only reach someone through a second action, and a second action makes the Zap multi-step, which needs a paid plan. The same goes for any filter you add.
02How many tasks does a net2phone Zap use?
One per action that completes. The trigger itself never costs a task, so a missed call that starts your Zap is free; the text it sends counts as one task. A Zap with three actions uses three tasks each time it runs to the end. An action that fails is not counted against your plan. With 100 tasks a month on the free plan, the real question is how many calls of the chosen kind your line receives, since each one runs the Zap once.
03Do net2phone triggers fire in real time?
Yes, all seven are instant triggers. net2phone tells Zapier the moment a call is missed, answered, busy, completed, ringing or recorded, or a text arrives, so the Zap starts right away whatever your plan. The polling interval of the plans does not apply to them. In the Zap editor, a Zap built on an instant trigger shows a lightning bolt, which is a quick way to confirm it. The type is decided by net2phone itself and cannot be switched from the editor.
04What do you need to connect net2phone to Zapier?
A net2phone account, plus read or write access on anything you do not own yourself and want the Zap to touch. The connection runs from the Apps page of Zapier: click + Add connection, pick net2phone, sign in in the tab that opens and grant access. Choose the user carefully, because Send SMS (Gen X and U Only) only works with the phone number of the user who authenticated. Several operations are also limited to Gen X and Gen U accounts.
05Why doesn't SMS Notification fire on a colleague's text?
Because SMS Notification (Gen X and U Only) does not work for internal messages, the ones sent from one Gen X or Gen U user to another. So a text between two colleagues on those accounts never starts the Zap, and that is expected, not a broken connection. When you test the trigger, Zapier brings back the three most recent items of the connected account: pick a real incoming text among them, then check which details it carries before mapping the next step.
06What if the net2phone operation you need is not there?
Then this integration cannot do it today. The net2phone page on Zapier shows the current list: 7 triggers, 3 actions and no search. That last point matters most in practice. Without a search step, a Zap cannot look up an older call, a contact or a past recording in net2phone; every value has to come from the trigger that started it. If your scenario depends on finding something that already exists in net2phone, it does not fit this integration as it stands.
07Zapier, Make or n8n for net2phone?
It depends on three criteria rather than on a winner. First, the number of steps: a two-step Zap, one trigger and one action, runs on Zapier's free plan, while a filter or a second action needs a paid plan. Second, the trigger type: every net2phone trigger on Zapier is instant, so plan intervals play no part in the choice. Third, what you need beyond the 10 operations Zapier offers for net2phone, since another tool only helps if it covers that gap.
