Overview

What the Paradigm Vendo Zapier integration actually does

The Paradigm Vendo Zapier integration connects Paradigm Vendo, a selling tool that takes contractors and in-home sales reps from the first appointment to the signed contract, to Zapier, a service that runs automations between apps. On Zapier it books appointments and finds them again, fed by your other tools.

Three outcomes it is built for. Leads that turn into visits on their own: a quote request on your website goes to Create Appointment and lands in a rep's schedule with the customer's name and job site address. A booking line that does not depend on someone retyping: an appointment set in a scheduling tool or a call-center form is pushed into Vendo instead of being copied by hand. And a check on what was booked: Get Appointment finds an appointment by its Vendo ID, or by the identifier your own system gave it, so the next step can use it.

Now what Zapier does not do here. There is no trigger: nothing that happens in Paradigm Vendo, a signed contract, a moved appointment, a new customer, can start a Zap. Every Zap starts in another app. There is no action to update or cancel an appointment, and no search other than by ID. The third operation, Validate Event Grid Subscription, is an advanced setup step, not something a sales team uses day to day. If you need Vendo to tell another tool what happened, this integration will not carry it.

Vocabulary

Zapier words you will meet on this page

Eight terms, one line each, so the rest of the page reads without a dictionary.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap. Paradigm Vendo offers none, so the trigger always comes from another tool.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you, like a new appointment.
Task
The unit Zapier bills: one action your Zap completes successfully. The count on your plan is a count of those.
Polling vs instant
A polling trigger is checked by Zapier on a timer; an instant one is reported by the app itself the moment it happens.
Search step
A step that looks up something that already exists in an app, so the steps that follow can use what it found.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A filter, a search or a second action makes one, and it needs a paid plan.
Cost

What a Paradigm Vendo Zap really costs

Paradigm Vendo is not reserved for paid plans on Zapier, so it works from the free plan. The trigger of the other app never costs a task.

  • Tasks on the free plan100 per month
  • Zaps on the free planUnlimited
  • Steps on the free plan1 trigger + 1 action
  • Cost of the trigger0 tasks

You pay in tasks: each action that succeeds counts once, and one that fails is not counted. A Zap that books one appointment per lead spends one task per lead. The free plan stops at two steps, one trigger and one action. Add Get Appointment as a search, or a filter that keeps incomplete leads out, and the Zap becomes multi-step, which moves you to a paid plan. Checking the starting app for new leads costs nothing, however often Zapier looks.

Connect

Connect your Paradigm Vendo account to Zapier

  1. 01

    Open your connections

In your Zapier account, go to the Apps page and click + Add connection. A connection is your Vendo account linked to Zapier once, then reused by every step that uses Paradigm Vendo.

  2. 02

    Pick Paradigm Vendo

In the dialog that opens, type Paradigm Vendo in the search box and select it in the results. Then click Add connection, and Zapier opens a new tab for the sign-in.

  3. 03

    Sign in and grant access

Sign in to Paradigm Vendo in that tab and allow Zapier to use the account. You need a Vendo account, plus rights on any schedule or record you do not own and want the Zap to write to.

First Zap

Your first Zap: book a visit from every quote request

GoalEach quote request from your website becomes an appointment in a rep's Paradigm Vendo schedule.

  1. 01

    Start in the form app

In the Build step, pick the tool that collects quote requests and its event for a new submission. Paradigm Vendo has no trigger, so the first card always belongs to another app.

  2. 02

    Test the trigger

Run the trigger test. Zapier brings back the three most recent items of that account and you pick one, so the mapping below is done on a real request.

  3. 03

    Keep incomplete requests out

Add a filter from the plus icon: field, rule, value. Every job site field of the appointment is required, so this saves failed runs. It also makes the Zap multi-step, on a paid plan.

  4. 04

    Book the appointment

Add Create Appointment. Map the customer's name and job site address, set the rep's email, the duration and the Schedule Time in the format the field shows.

  5. 05

    Test, then publish

Run the action once and check the appointment in Vendo. Then click Publish to switch the Zap on. The Zapier training goes deeper into field mapping.

Actions

Paradigm Vendo actions on Zapier

Paradigm Vendo gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Appointment

Action

In Zapier“Generates a Vendo Appointment”

Books a new appointment in Paradigm Vendo for one of your reps, with the customer and the job site already filled in. The rep finds it in their schedule, ready to go.

When to use it
a roofing or window lead fills in your website form and should become a home visit without anyone retyping it.
Watch out
the time goes in as YYYY-MM-DDTHH:MM:SS.MSSZ and the duration as 30m, 1h or 1h30m. A plain date from a form needs reformatting first.
2

Validate Event Grid Subscription

Action

In Zapier“Validates Vendo Event Grid Subscription”

A technical setup step rather than a daily one: it confirms a Vendo Event Grid subscription by passing in the validation link Vendo gives you.

When to use it
Vendo or your integrator asks you to validate a subscription and hands you the link to confirm.
Watch out
its only field is that link. Without the link from your Vendo setup, there is nothing to validate.
Searches

Paradigm Vendo search on Zapier

1 search step looks for data that already exists in Paradigm Vendo, so a later step can use it.

A search step finds something that already exists in Vendo and hands it to the next steps. It sits at the bottom of the event list, under its own SEARCH heading.

1

Get Appointment

Search

In Zapier“Retrieve Vendo Appointment data by ID”

Finds one Vendo appointment from its ID and passes its details to the steps that follow. It accepts either the Vendo appointment ID or the identifier your own system gave that appointment.

When to use it
your CRM stored its own reference at booking time, and a later Zap needs the Vendo appointment behind it.
Watch out
it searches by ID only, never by customer name or date, so the ID has to come from an earlier step.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap and the steps that depended on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
On apps that offer it, this box turns a search into find-or-create. Get Appointment offers no such variant, so a missing appointment is never created here.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on.
When it breaks

When a Paradigm Vendo Zap breaks

Zapier ties no help article to Paradigm Vendo, so the traps below are the general ones, read through the shape of this integration: actions fed by another app.

Since the trigger lives elsewhere, the first place to look is the starting app, then the required fields of the appointment. If a run still fails, see Zapier troubleshooting.

  • Old leads are never booked

A Zap only reacts to what happens after you switch it on. Requests that arrived before are not sent to Vendo, and moving that backlog is a separate job.
  • A loop that eats your tasks

A Zap that writes into the very place its own trigger watches sets itself off again and again. Keep the starting app and Vendo apart.
  • A bulk import gets held back

A trigger that suddenly returns a huge batch, after an import of old leads in the starting app, can be held back by Zapier's flood protection.
  • No double booking from polling

When the starting app uses a polling trigger, Zapier remembers what it has already seen, so the same request does not book two appointments.

FAQ

Paradigm Vendo Zapier integration: frequent questions

01Is the Paradigm Vendo Zapier integration free?
Yes, as long as the Zap stays at two steps. Paradigm Vendo is not reserved for paid plans on Zapier, so the free plan covers it: 100 tasks a month and as many Zaps as you like. The catch is the shape of the Zap. The free plan allows one trigger from another app and one action, such as Create Appointment. Add a filter, a second action or the Get Appointment search, and the Zap becomes multi-step, which needs a paid plan.
02How many tasks does a Paradigm Vendo Zap use?
One task for each action that succeeds. A Zap that books one appointment per quote request spends one task per request. The trigger in the other app is free, and so are the checks Zapier runs on it, however often they happen. An action that fails is not counted, so a booking refused for a missing field costs nothing, but it still needs fixing. On 100 tasks a month, count how many leads arrive before you rely on the free plan.
03Can Paradigm Vendo start a Zap in real time?
No, because Paradigm Vendo has no trigger on Zapier. Nothing that happens inside Vendo starts a Zap. The Zap starts in another app, and the timing is that app's. If its trigger is instant, the app reports the event to Zapier itself and no plan interval applies. If it is a polling trigger, Zapier checks on a timer: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. Check the trigger type of your form or CRM before promising a booking delay.
04What do you need to connect Paradigm Vendo to Zapier?
A Paradigm Vendo account, and rights on what the Zap will write to. If you book on behalf of others, your account needs write access there. The connection takes three moves: open the Apps page of your Zapier account and add a connection, pick Paradigm Vendo in the dialog, then sign in to Vendo in the new tab and let Zapier use the account. Each rep you book for must also exist as a user in your Vendo Office.
05Why does Create Appointment reject the Schedule Time?
Because the field expects one precise format: YYYY-MM-DDTHH:MM:SS.MSSZ, a full date and time down to the milliseconds. A form usually sends a plain date or a time typed by the customer, which does not match. Reformat the value in a step before the action, which makes the Zap multi-step, or have the starting app send the full format. The duration has its own format too: 1h, 2h, 3h and so on.
06What if the Paradigm Vendo operation you need is not on Zapier?
Then the editor will not offer it, and no setting brings it back. On Zapier, Paradigm Vendo has 2 actions and 1 search: Create Appointment, Validate Event Grid Subscription and Get Appointment. There is no trigger, nothing to update or cancel an appointment, and no search by customer. If the job needs one of those, someone still does that part in Vendo, or the flow moves to a tool that offers it. Check the event list in the editor before planning around a missing step.
07Zapier, Make or n8n for Paradigm Vendo?
Decide on criteria, not on a ranking. On Zapier, Paradigm Vendo works on the free plan, with one action fed by any trigger from another app. If your need is booking appointments from leads, a two-step Zap covers it and stays free. If you need Vendo to start the flow, to update appointments, or several steps per run, check what each tool actually offers for Paradigm Vendo and what your lead volume would cost on each before you commit.
