Nextiva Zapier integrationAutomate Nextiva with Zapier.

The Nextiva Zapier integration gives you 4 triggers, 1 action and 1 search. The triggers follow missed calls, received calls, voicemails and contacts, and Zapier checks them on a timer set by your plan. Here is what each one does and what it costs.

Overview

What the Nextiva Zapier integration actually does

Nextiva is a business communications platform that brings calls, contacts and customer relationships into one place. Linked to Zapier, its calls and voicemails can start work in your other apps, and those apps can add or look up contacts in Nextiva without anyone typing them in twice.

No missed call left without a follow-up. New Missed Call starts a Zap when a call is missed, so your team chat or your task list gets a reminder to call back.

A call and voicemail log outside the phone system. New Received Call and New Voicemail can write every call and every message into a spreadsheet or a CRM, where the rest of the team already works.

One contact list, kept in step. Create Contact adds a personal contact to Nextiva from another app, Find Contact looks one up by name or phone number, and New Contact tells your other tools when a contact is added in Nextiva.

What Zapier does not do here: there is no action to place a call, send a message or update or delete a contact. And because all four triggers work by polling, nothing reaches Zapier the instant it happens: Zapier goes and checks at the interval of your plan. If you are comparing automation tools, see our Make vs Zapier comparison and our Zapier review.

Vocabulary

Zapier words you will meet on this page

Eight terms, in plain words. The rest of the page uses them without explaining them again.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap, such as a missed call in Nextiva. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once it has started: the step that writes, sends or creates something in an app for you.
Task
The unit Zapier bills: one action your Zap completes successfully. The allowance of your plan is a count of those.
Polling vs instant
Zapier checks a polling trigger on a timer and keeps only what is new. An instant trigger is reported by the app itself.
Filter
A step that lets the Zap continue only when the data that arrived meets your condition, and stops it otherwise.
Search step
A step that looks up something that already exists in an app, so the steps after it can use what it found.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes it one, and it then needs a paid plan.
Cost

What Nextiva on Zapier really costs

Zapier does not reserve Nextiva for paid plans: it works from the free plan. You pay in tasks, and only successful actions count.

  • Reserved for paid plansNo, works on the free plan
  • Free plan100 tasks a month, two-step Zaps
  • Trigger checksCost no task
  • Search stepMakes the Zap multi-step

The trigger never costs a task, and neither does Zapier checking Nextiva for new calls, however often it looks. Each action that succeeds counts once, so a Zap with two actions uses twice as many tasks. An action that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, each limited to two steps: one trigger and one action. Adding Find Contact, a filter or a second action makes the Zap multi-step, which needs a paid plan. All four Nextiva triggers are polling triggers, so the grid below decides how often Zapier checks them.

Connect

Connect your Nextiva account to Zapier

  1. 01

    Open Apps

In your Zapier account, go to Apps and click + Add connection. A connection is your Nextiva account linked to Zapier once, then reused by every step that talks to Nextiva.

  2. 02

    Pick Nextiva

Search Nextiva in the dialog, select it and click Add connection. You need an account on Nextiva, plus read or write access on anything you do not own yourself and want the Zap to touch.

  3. 03

    Sign in and grant access

Nextiva opens in a new tab. Sign in with the account Zapier should use, then grant Zapier access to it. The connection is then ready to be picked in any Zap.

First Zap

Your first Zap: missed Nextiva calls turned into callbacks

GoalEach missed call in Nextiva posts a reminder in your team chat, and a second action can add a callback task to your task list.

  1. 01

    Start on New Missed Call

Create a Zap, pick Nextiva as the trigger app and New Missed Call as the event, then select the Nextiva connection you added.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent missed calls of the connected account, so you see what a call carries and map the next step on a real one.

  3. 03

    Write the chat message

Add your team chat as the action and insert the call details you saw at test into the message. Test the action and read the message that arrives.

  4. 04

    Decide on the callback task

The task card is a second action, which makes the Zap multi-step and needs a paid plan. On the free plan, keep the chat message only.

  5. 05

    Publish

Publish the Zap to switch it on. Zapier then checks for missed calls at the interval of your plan. For guided practice, see our Zapier training.

Triggers

Nextiva triggers on Zapier

4 events start a Zap when something happens in Nextiva. Zapier checks for them at the interval your plan allows.

1

New Missed Call

Polling trigger

In Zapier“Triggers when a new call is missed.”

Starts your Zap when Zapier finds a newly missed call in Nextiva, and hands that call to the next step.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when nobody should have to scroll through the call history to see who tried to reach the business and needs a callback.
Watch out
on the free plan a missed call can wait up to one check before the Zap runs. Zapier remembers what it has already seen, so the same call does not start the Zap twice.
2

New Contact

Polling trigger

In Zapier“Triggers when a new personal contact is added.”

Picks up personal contacts newly added in Nextiva and passes each one to the rest of the Zap.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when your CRM, your mailing tool or a shared sheet has to know about the contacts saved in Nextiva.
Watch out
as a general precaution, a Zap that writes contacts back into Nextiva, where this trigger looks, can set itself off again. Only contacts added after the Zap is published are picked up.
3

New Received Call

Polling trigger

In Zapier“Triggers when a new call is received.”

Reacts to calls received in Nextiva, one run per new call Zapier finds when it checks.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when you want a call log in a spreadsheet or a CRM, outside the phone system, that the whole team can read.
Watch out
each call that leads to a successful action costs a task, so a busy line can use the 100 tasks of the free plan quickly. Test to see which call details come through.
4

New Voicemail

Polling trigger

In Zapier“Triggers when a new voicemail is received.”

Fires on new voicemails received in Nextiva, so a message left on the line can be routed somewhere people actually look.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when voicemails should land in a shared inbox, a chat channel or a ticket queue instead of waiting on the phone.
Watch out
voicemails left before the Zap is published are never picked up. Run the trigger test to see what a voicemail carries before mapping it.
Actions

Nextiva action on Zapier

Nextiva gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Contact

Action

In Zapier“Creates a new personal contact.”

Adds a new personal contact to Nextiva from data that arrived in another app.

When to use it
when people who fill in a form or appear in your CRM should be reachable from Nextiva without being typed in again.
Watch out
Phone Number is required and should be unique, so check at test that your source sends one.
Searches

Nextiva search on Zapier

1 search step looks for data that already exists in Nextiva, so a later step can use it.

A search step looks up a contact that already exists in Nextiva and hands it to the steps that follow. In the editor, it sits at the bottom of the Action event list, under the SEARCH heading. Like any search, it makes the Zap multi-step, so it needs a paid plan.

1

Find Contact

SearchFind or create

In Zapier“Find a contact by name or phone number.”

Looks up a Nextiva contact by name or phone number, so a later step can use the contact it finds.

When to use it
before you write anything about a caller elsewhere, to work from the contact already stored in Nextiva.
Watch out
the editor also shows a find-or-create line for Find Contact. It is the same search with the create box ticked, not a separate operation: it creates a contact when none is found.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there and the steps that depend on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
Ticking this box turns the search into a find-or-create: it stops offering the setting above and asks for the fields needed to create the missing contact.
  3. If multiple search results are found?
Three ways out when several contacts match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a Nextiva Zap breaks

Zapier attaches no help article to Nextiva, so the cases below are the general limits that apply to any Zap built on it.

  • Old calls are never picked up

A Zap only reacts to what happens after it is switched on. Calls, voicemails and contacts that already existed stay where they are; moving them is a separate job.
  • A Zap that sets itself off

As a general precaution: a Zap that writes into the place its own trigger watches can start itself again and again and burn through your tasks.
  • A sudden flood of calls

When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold the run back.
  • The same call only counts once

Zapier keeps track of what it has already seen on a polling trigger, so a call it has already handled does not start the Zap a second time.

FAQ

Nextiva Zapier integration: common questions

01Is the Nextiva Zapier integration free?
Partly. Zapier does not reserve Nextiva for paid plans, so a two-step Zap, one trigger and one action, runs on the free plan, which gives 100 tasks a month and unlimited Zaps. A Zap that posts each missed call to your team chat fits. Find Contact is different: a search makes the Zap multi-step, like a filter or a second action, and that needs a paid plan. So the free plan covers the triggers and Create Contact, not the search.
02How many tasks does a Nextiva Zap use?
One task for each action that succeeds, and nothing for the trigger. Zapier checking Nextiva for new calls costs nothing either, however often it looks. A Zap that posts each missed call to chat uses one task per call; add a callback task and it uses two. An action that fails is not counted. A busy phone line can produce many runs, so keep an eye on the 100 tasks of the free plan if the Zap follows received calls.
03Do Nextiva triggers fire in real time?
No. New Missed Call, New Contact, New Received Call and New Voicemail are all polling triggers: Zapier goes and looks at regular intervals, and how often depends on your plan. That is every 15 minutes on Free, 2 minutes on Professional and 1 minute on Team and Enterprise. On paid plans, the interval can be changed and a check can be run by hand from the editor. The Nextiva app page on Zapier also shows the free-plan interval on each trigger.
04What does it take to connect Nextiva to Zapier?
An account on Nextiva, plus read or write access on anything you do not own yourself and want the Zap to touch. From the Apps page of your Zapier account, click + Add connection, search for Nextiva, click Add connection, sign in to Nextiva in the tab that opens and grant Zapier access. The same connection is then reused by every Nextiva trigger, action and search in all your Zaps, so you only set it up once.
05Can Create Contact add two contacts with the same phone number?
Better not to try. The Phone Number field of Create Contact is required, and its description says the number should be unique; it does not say what happens with a duplicate. If your source might send a number already stored in Nextiva, a cautious option is to look it up first with Find Contact, which searches by name or phone number. That search makes the Zap multi-step, so it needs a paid plan. Test on a real number and read the result before publishing.
06What if the Nextiva operation you want is not on Zapier?
Then this integration cannot do it today. Open the Nextiva page on Zapier: it shows the current list of triggers, actions and searches, and that list is the reference. On this page you have four triggers on calls, voicemails and contacts, one action that creates a contact and one search that finds one. There is nothing to place a call, send a message, or edit or delete a contact. Those are outside what this integration covers today.
07Zapier, Make or n8n for Nextiva?
Decide on criteria rather than on a ranking. On Zapier, Nextiva brings four polling triggers, one action and one search, and a two-step Zap runs on the free plan. Three points matter: how fast you need to react, since the free plan checks every 15 minutes; how many steps your flow needs, since a search, a filter or a second action requires a paid plan; and how many calls a month pass through, since each successful action is billed. Check the same three points on Make and n8n.
