What the NextLead Zapier integration actually does
NextLead is a simple CRM aimed at small and medium businesses. Linking it to Zapier means letting changes in your CRM (a new contact, an edited structure, a contact leaving a list) start work in other tools, and letting other tools write contacts, sales, notes and activities into NextLead for you. You set it up once, then it runs on its own.
Three results people build first. A contact record that fills itself: a form or a spreadsheet hands its entries to Create Contact, and the opt-in boxes for marketing, newsletter, SMS and postal mail can be set in the same step. A pipeline that moves without copy-paste: Create Sale opens a deal in the column you pick, and Update Sale finds it again by contact email and sales name. A history you can read: Create Note leaves a trace on a contact or a structure, signed by a member of your organization, and Create Activity logs a task, a call or a meeting.
Then there is the other direction. New Structure, Contact Edited or Contact Removed From a List can push what changed in NextLead out to a spreadsheet, a messaging tool or anything else on Zapier.
What Zapier does not do here. None of the 10 triggers is instant: every one of them is checked on a timer, so on the free plan a change can wait up to 15 minutes before the Zap notices it. Zapier also never goes back in time, so contacts that existed before the Zap was switched on stay where they are. And the free plan stops at two steps, which rules out the two searches and any filter until you move to a paid plan.
If you are still weighing tools, see our Make vs Zapier comparison before you build anything.
Zapier vocabulary in one minute
Seven words come back on every line of this page. Here they are in plain English, once.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
- Trigger
- The event in an app that starts the Zap, like a contact being added in NextLead. Once the Zap is on, Zapier waits for it.
- Action
- What the Zap does once it has started: the step that writes, sends or moves something for you, such as creating a sale.
- Task
- The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
- Polling vs instant
- A polling trigger is checked on a timer, keeping only what Zapier has not seen. An instant one is reported by the app. NextLead has only polling ones.
- Filter
- A step that lets the Zap continue only when what arrived meets a condition you set, and stops it there otherwise.
- Search step
- A step that looks up something already in an app, like an existing contact, so the steps after it can use what it found.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it needs a paid plan.
What a NextLead Zap really costs
Zapier bills tasks, not Zaps. The trigger never costs anything, however often Zapier checks NextLead for new contacts or structures.
- Trigger checksFree, never billed
- Successful action1 task each
- Free plan100 tasks a month, two-step Zaps
- Premium appNo
Each action that goes through counts as one task, and an action that fails is not counted. A Zap that creates a contact and then a note uses two tasks per run. The free plan gives you 100 tasks a month and unlimited Zaps, but each one is limited to a trigger plus a single action. Add a filter, a second action or one of the two NextLead searches and the Zap becomes multi-step, which needs a paid plan. NextLead is not a premium app, so it is available on the free plan. Since every NextLead trigger is a polling one, the interval grid below applies to all of them.
Connect your NextLead account to Zapier
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. A dialog opens with a search box: type NextLead, then pick it from the results that come up.
- 02
Sign in to NextLead
Click Add connection. A new tab opens on NextLead: sign in with the account the Zaps should act through. You need an account on the app, plus read or write access on anything you do not own yourself and want the Zap to touch.
- 03
Grant access
Allow Zapier to reach the account. The connection is then saved once and reused by every NextLead step in every Zap, so you will not repeat this for each new automation.
Your first NextLead Zap, step by step
GoalEvery contact added to a NextLead list is also added as a subscriber in your email tool.
- 01
Create the Zap and pick the trigger
Start a new Zap, choose NextLead as the trigger app and Contact Added to a List as the event. Connect your account if Zapier asks for it.
- 02
Test the trigger
Run the test: Zapier brings back the three most recent items of your account, so you map a real one. Read what came back to see which values you can use next.
- 03
Add the email tool action
Add your email tool as the action step and pick its event for adding a subscriber. With one trigger and one action, this Zap stays at two steps and runs on the free plan.
- 04
Map the fields
Fill the fields of the email tool with the values the NextLead test brought back. Only use what you actually saw in that test, so each field gets a real value.
- 05
Test, then publish
Run each step once and read what came back before going on. When the subscriber appears where you expected, publish the Zap to switch it on.
The 10 NextLead triggers
10 events start a Zap when something happens in NextLead. Zapier checks for them at the interval your plan allows.
Contact Added to a List
Polling triggerIn Zapier“Triggers when a contact is added to a list.”
Starts a Zap when one of your NextLead contacts is put into a list, so the list itself becomes the switch for whatever comes next in your other tools.
Contact Added
Polling triggerIn Zapier“Triggers when a contact is added to NextLead.”
Fires for each new contact added to NextLead. Of all the contact triggers, it is the widest: no list, no edit, just a new person in the CRM.
Contact Removed From a List
Polling triggerIn Zapier“Triggers when a contact is removed from a list.”
The mirror of the list trigger above: it starts when a contact leaves one of your NextLead lists, while the contact itself stays in the CRM.
Contact Edited
Polling triggerIn Zapier“Triggers when a contact is edited in NextLead.”
Reacts when someone changes an existing contact in NextLead. It suits Zaps that keep a copy of your contacts in sync somewhere else rather than ones that react to new people.
Contact Deleted
Polling triggerIn Zapier“Triggers when a contact is deleted in NextLead.”
Fires once a contact has been removed from NextLead. It gives the other tools a chance to clean up behind the CRM instead of keeping people who no longer exist there.
Structure Deleted
Polling triggerIn Zapier“Triggers when a structure is deleted.”
In NextLead, contacts can be linked to structures, the records that carry identifiers such as a SIRET. This trigger starts a Zap when one of those structures is deleted from the CRM.
Edited Structure
Polling triggerIn Zapier“Triggers when a structure is edited.”
Watches the organizations in your CRM and starts a Zap when one of them is changed. Note the word order of the label: you will find it in the editor as Edited Structure.
Get Custom Fields
Polling triggerIn Zapier“Get your contact personalized custom fields in Nextlead.”
Its official description says it gets the personalized custom fields of your contacts in NextLead. It is listed among the triggers, so it can start a Zap like any other.
Get Structure Custom Fields
Polling triggerIn Zapier“Trigger to get all structures custom filed from NextLead”
The counterpart of the previous trigger on the structure side: it reads the custom fields defined for your organizations in NextLead.
New Structure
Polling triggerIn Zapier“Triggers when a new structure is added.”
Each time a new organization is added to NextLead, this one starts a Zap. It is the structure-side twin of Contact Added and the natural start for company-level automations.
The 19 NextLead actions
NextLead gives you 19 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Run AI
ActionIn Zapier“Send a prompt to the NextLead AI and perform CRM actions based on the plan's permissions.”
Sends a prompt, written in plain language, to the NextLead AI, which then performs CRM actions within the permissions of your plan. You must also choose the organization member it acts for.
Create Activity
ActionIn Zapier“Creates an activity in Nextlead.”
The first of two entries named Create Activity: its description simply says it creates an activity in NextLead, and the title is the one required field.
Create Activity
ActionIn Zapier“Create an activity (task, call, meeting...) attached to a contact found by email or LinkedIn URL.”
The other entry with this label: it logs an activity such as a task, a call or a meeting, attached to a contact that NextLead finds by email or LinkedIn URL.
Create Contact
ActionIn Zapier“Create a contact in your CRM.”
Adds a new person to your CRM from data coming out of another app.
Create Group
ActionIn Zapier“Create groups for structure in NextLead”
Creates a group for structures in NextLead. The group name is the only required field.
Create List
ActionIn Zapier“Create a list in Nextlead”
Makes a new list in NextLead from a single required value, the list name.
Create Note
ActionIn Zapier“Create a note in NextLead, optionally attached to a contact or a structure.”
Writes a note in NextLead, optionally attached to a contact or a structure. It needs an author from your organization, a title and the content, where line breaks are kept.
Create Sale
ActionIn Zapier“Create a sale in Nextlead.”
Puts a new sale into NextLead. Two fields are required: a name and a column.
Create Structure
ActionIn Zapier“Create a new structure in NextLead CRM.”
Opens a new organization in NextLead. Only the name of the structure is required, the rest is optional.
Delete Activity
ActionIn Zapier“Delete an activity based on a contact in NextLead.”
Deletes an activity based on a contact in NextLead, with the contact email as the one required field.
Delete Contact
ActionIn Zapier“Delete a contact in your CRM.”
Removes a contact from your CRM.
Delete Sale
ActionIn Zapier“Delete a Sale in Nextlead.”
Removes a deal from the pipeline. It needs the contact email linked to that sale.
Delete Structure
ActionIn Zapier“Delete a structure in NextLead CRM.”
Deletes an organization from NextLead.
Edit Structure
ActionIn Zapier“Edit a structure in your CRM.”
Updates an organization already in your CRM. A box named Create the structure if not found lets NextLead create it from the values below when nothing matches, and the result then carries created: true.
Link Contact to Structure
ActionIn Zapier“Links a contact to a structure based on matching identifiers like email, phone, SIRET, or custom fields”
Ties a contact to an organization by matching identifiers such as email, phone, SIRET or custom fields. A box can also make that structure the main one of the contact.
Link Structure to Contact
ActionIn Zapier“Links a structure to a contact based on matching identifiers”
The same link seen from the structure side: NextLead matches identifiers and attaches the organization to the contact, with the option to set it as the contact's main structure.
Update Activity
ActionIn Zapier“Update an activity based on contact email.”
Edits an activity linked to a contact. You give the contact's email and the title to search the activity by, and both are required.
Update Contact
ActionIn Zapier“Update a contact in NextLead CRM”
Changes an existing NextLead contact, including its consent boxes. With Create the contact if not found switched on, NextLead creates the contact from your values instead of failing, and the result carries created: true.
Update Sale
ActionIn Zapier“Update an existing Sale.”
Changes a deal that already exists. NextLead finds it from a contact email plus the sales name, both required.
The 2 NextLead searches
2 search steps look for data that already exists in NextLead, so a later step can use it.
A search step looks up a record that already exists so the next steps can use it. In the action list, NextLead's searches sit at the bottom under the SEARCH heading. Any search makes the Zap multi-step, so it needs a paid plan. Three settings decide what happens when the search comes back empty or crowded.
Find Contact
SearchFind or createIn Zapier“Find a Contact in NextLead CRM.”
Looks for an existing contact in NextLead so later steps can write to that exact person. The editor also shows Find or Create Contact: that is this same search with the create box ticked, not a separate action.
Find Structure
SearchIn Zapier“Find a single structure in NextLead using one or more identifiers.”
Finds one organization in NextLead using one or more identifiers, and hands it to the steps that follow.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap there and the steps that depended on it are skipped. Switched on, the Zap carries on without a result.
- Create X if it doesn't exist yet?Ticking it turns the search into a find-or-create. The setting above is then no longer offered, and the step asks for the fields needed to create the missing record.
- If multiple search results are found?Three ways out when several records match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When a NextLead Zap breaks
Zapier attaches no help article to NextLead, and no limit specific to the app has been recorded. What follows are the general Zapier limits, read with NextLead's triggers in mind.
Each case below is one to keep in mind before publishing. When a Zap does stop, see our Zapier troubleshooting guide.
The past is not picked up
A Zap only reacts to what happens after it is switched on. Contacts and structures already in NextLead stay out of it; moving that backlog is a separate job.A Zap that restarts itself
A Zap that writes into the place its own trigger watches can set itself off again and again, and eat through the task count. Check the pairing before you publish.Bulk imports held back
When a trigger suddenly returns a huge batch, after an import or a migration into NextLead, Zapier's flood protection can hold it back. The same item only once
On a polling trigger, Zapier keeps track of what it has already seen, so the same item does not start the Zap twice.
