Overview

What the NinjaOutreach Zapier integration does for you

NinjaOutreach runs outreach campaigns to influencers, bloggers and prospects, with automatic follow-ups. Connected to Zapier, it can start a Zap (an automation built on Zapier) when someone replies, and it can receive leads from other tools or drop them from a list. Three operations, all about who sits on which list.

Three results teams usually build. A reply alert: each new reply starts a Zap that pings the person in charge of the campaign, so nobody has to refresh the inbox. A list fed from elsewhere: a sign-up in your CRM or a row in a spreadsheet becomes a lead in a NinjaOutreach list through Add lead to list. A clean follow-up list: when a contact answers or unsubscribes in another tool, Remove lead takes the email off the list so the next follow-up does not go out.

What Zapier does not do here matters just as much. It cannot create or launch a campaign, send an email, read your influencer search results or look up a lead: there are 0 searches. The reply trigger is not instant either. Zapier checks for new replies on a timer, so a reply can wait up to 15 minutes on the free plan before the Zap reacts.

Vocabulary

Zapier vocabulary in one minute

Seven words you will meet on every Zapier screen, in plain English, so the rest of the page reads fast.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event that starts the Zap. Here, a new reply received by an account connected to NinjaOutreach.
Action
What the Zap does once started: the step that writes or changes something for you, like adding a lead to a list.
Task
The unit Zapier bills. Each action that completes successfully counts as one task on your monthly allowance.
Polling vs instant
Polling: Zapier asks the app for new items at a fixed interval. Instant: the app calls Zapier the moment something happens.
Filter
A step that lets the Zap go on only when the incoming data meets your condition, and stops it otherwise.
Connection
Your NinjaOutreach account linked to Zapier once, then reused by every step and every Zap that needs it.
Cost

What a reply or a new lead costs you

Watching for replies is free. Zapier never bills the trigger, however often it checks. Only the actions that go through are counted.

  • TriggerNever costs a task
  • Add or remove a lead1 task each
  • Free plan100 tasks a month, two-step Zaps only
  • Premium appNo, works on the free plan

Each successful action is one task: adding a lead costs one, removing a lead costs one. An action that fails is not counted. NinjaOutreach is not a premium app, so the free plan works, with 100 tasks a month. Two limits shape what you build. The free plan only allows two-step Zaps, one trigger and one action; a filter or a second action makes the Zap multi-step, which needs a paid plan. And the reply trigger is a polling one, so how fast it reacts depends on the plan grid below.

Connect

Connect NinjaOutreach to Zapier in three steps

  1. 01

    Open your Apps page

In your Zapier account, open Apps and click + Add connection. The connection is your NinjaOutreach account linked once and reused by every Zap. You need an account on the app before you start.

  2. 02

    Pick NinjaOutreach

Search NinjaOutreach in the dialog, select it from the results, then click Add connection. A sign-in tab opens in your browser. That one connection is what every NinjaOutreach Zap reuses afterwards.

  3. 03

    Sign in and allow access

Log in to NinjaOutreach in that tab and grant Zapier access. If the lists you want to touch belong to a teammate, check that your login can read and edit them before building anything.

First Zap

Your first Zap: stop following up once a prospect replies

GoalWhen a prospect answers your outreach, take that email off the follow-up list so no automatic reminder goes out after the conversation has started.

  1. 01

    Build: choose the trigger

Create a Zap, pick NinjaOutreach as the app and New Reply as the event, then select the connection you added a moment ago.

  2. 02

    Test on real replies

Run the trigger test. Zapier brings back the three most recent replies of the account, so you can map fields from a real one rather than from a blank.

  3. 03

    Add a filter

Click the plus icon and add a Filter: the field to check, the rule, the value. Keep text rules for text fields. This step makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Add Remove lead

Add NinjaOutreach again as the action, choose Remove lead and drop the sender's email from the reply into the Email field. That field is required.

  5. 05

    Test and publish

Run each step once and check the lead really left the list. Then click Publish. From now on, replies are picked up at your plan's interval.

Triggers

The NinjaOutreach trigger

1 event starts a Zap when something happens in NinjaOutreach. Zapier checks for them at the interval your plan allows.

1

New Reply

Polling trigger

In Zapier“Triggers when a reply is received by any account connected to NinjaOutreach.”

Someone answers one of your outreach emails and the Zap starts with that reply in hand, ready to notify a teammate, log the conversation or update a list. It watches every account connected to NinjaOutreach, not just one mailbox, so a single Zap covers the whole team.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
an agency running blogger campaigns that wants the account manager told about each answer without opening the outreach tool.
Watch out
since it covers all connected accounts, replies from unrelated campaigns arrive too, so add a filter if only one campaign matters.
Actions

NinjaOutreach actions

NinjaOutreach gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add lead to list

Action

In Zapier“Adds a lead to a list. If the list does not exist, it will be created. If the list exists, the name must match exactly.”

Puts a contact into one of your NinjaOutreach lists from any other app, using a list name and the lead's email, both required.

When to use it
a webinar sign-up or a CRM contact that should join your next outreach list without a manual import.
Watch out
if no list carries that exact name, the action creates a new one, so copy the list name character for character.
2

Remove lead

Action

In Zapier“Removes a lead from an existing list, by email. If the list does not exist, or if the corresponding lead does not exist, nothing will happen.”

Takes a contact off an existing list, matched by email alone, which is the only required field.

When to use it
a prospect who replied, bought or unsubscribed elsewhere and should stop getting follow-ups.
Watch out
when the list or the lead does not exist, nothing happens and nothing warns you, so a wrong email fails silently.
When it breaks

When a NinjaOutreach Zap breaks

Zapier links no help article to this app and lists no limit of its own. What goes wrong comes from the general rules of Zapier, and from two quiet behaviors of the actions.

The six cases below are the ones to check first. If a Zap stopped and the reason is not on this list, the Zapier troubleshooting page goes through the usual causes.

  • A duplicate list appears

Add lead to list creates a list when the name does not match exactly. A misspelled List Name splits your leads across two lists without any error.
  • Remove lead does nothing

If the list or the email is not found, the action ends quietly. Check the mapped email field first when a contact keeps receiving follow-ups.
  • Old replies never arrive

A Zap only reacts to replies received after it was switched on. Earlier conversations stay in NinjaOutreach; bringing them over is a separate job.
  • A loop eats your tasks

If the Zap writes back into what its own trigger watches, it starts itself again and again, and the task count drains quickly.
  • A burst of replies is held back

When the trigger suddenly returns a huge batch, after a migration for instance, Zapier's flood protection can hold the Zap back.
  • The same reply counted once

Zapier remembers what a polling trigger already saw, so a reply never starts the Zap twice, even if you expected a second run.

FAQ

NinjaOutreach and Zapier: common questions

01Is the NinjaOutreach Zapier integration free?
Yes, it runs on the free plan because NinjaOutreach is not a premium app. That plan gives 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger and one action. A Zap that removes a lead whenever someone replies fits. Add a filter to keep a single campaign, or a second action such as a team alert, and the Zap becomes multi-step, which needs a paid plan.
02How many tasks does a NinjaOutreach Zap use?
One task per action that succeeds. Watching for new replies never costs anything, however often Zapier checks. Adding a lead to a list counts one task, removing a lead counts one task, and a Zap that does both on the same event counts two. An action that fails is not billed. To size your plan, multiply the replies or new leads you expect each month by the number of actions in the Zap.
03Does the NinjaOutreach trigger work in real time?
No. New Reply is a polling trigger: Zapier asks NinjaOutreach for new replies at a fixed interval, and that interval depends on your plan. It is every 15 minutes on Free, 2 minutes on Professional, and 1 minute on Team and Enterprise. On paid plans you can also run a check by hand from the editor. The type comes from the app itself, so it cannot be switched to instant from Zapier.
04What does it take to connect NinjaOutreach to Zapier?
A NinjaOutreach account, plus access to any list you do not own and want the Zap to change. In Zapier, open Apps, click + Add connection, search NinjaOutreach, click Add connection, then sign in to the app in the new tab and grant access. The connection is made once and every later Zap reuses it. For the actions, keep the exact list names at hand, since Add lead to list needs one.
05Why did NinjaOutreach create a new list instead of filling the existing one?
Because the List Name sent by the Zap did not match an existing list exactly. Add lead to list creates the list when it cannot find that name, so a typo or a trailing space ends in a second list. Open the action, compare the name with the one in NinjaOutreach, and type it again character for character. Copying the name straight from the app avoids it next time. Remove lead behaves the other way round: when the list does not exist, it creates nothing and simply does nothing.
06What if the NinjaOutreach operation you need does not exist?
Then that part of the work stays in NinjaOutreach. Zapier offers 1 trigger and 2 actions here: it can notice new replies, add a lead to a list and remove one. It cannot launch a campaign, send an email, edit a lead's details or look a lead up, since there are 0 searches. A common workaround is to let Zapier manage list membership and keep the campaigns themselves inside the app.
07Zapier, Make or n8n for NinjaOutreach?
It depends on the criterion, not on a winner. Zapier connects in three steps with no code and runs this integration on the free plan, which suits a small team that only syncs lists. Its limits are the two-step free plan, a reply trigger that polls on a timer, and a task billed per action. Make and n8n structure and bill workflows differently, so the choice depends on your volume, the number of steps and who maintains the flow.
