What the Novocall Zapier integration actually does
Novocall lets visitors of your website ask for a callback or book a call slot. Linked to Zapier, it reports each of those moments to your other tools the instant it happens, and it accepts call requests coming from elsewhere. Seven events go out, one action comes in.
Three outcomes people usually build first:
A calendar that books itself. New Schedule, Reschedule Appointment and Cancel Appointment keep a sales rep's agenda in step with what the prospect chose, without anyone copying times by hand.
A CRM that knows how each call went. Successful Call and Failed Call tell your pipeline whether the conversation happened, so a missed lead gets a follow-up instead of falling through.
Callbacks from any form. Create Call takes a phone number from another app, say a demo request, and turns it into a call record in Novocall, with an automated call if you tick that option.
What Zapier does not do for Novocall: there is no search, so a Zap can't look up a past call or appointment. The only action creates a call; nothing edits, cancels or deletes one. And nothing that happened before the Zap was switched on gets picked up. If you need more than that, compare the options in Make vs Zapier and n8n vs Zapier.
Zapier vocabulary in one minute
Seven words come back on every Zapier screen. Here they are in plain English.
- Zap
- The automation you build: one trigger, then one or more actions that run each time that trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier sits and waits for it to happen.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something on your behalf.
- Task
- The unit Zapier bills you for. One task is one action your Zap finished successfully, nothing else.
- Polling vs instant trigger
- Polling: Zapier checks the app on a timer. Instant: the app calls Zapier itself the second the event happens.
- Filter
- A step that lets the Zap carry on only when the incoming data meets your condition, and stops it otherwise.
- Connection
- Your Novocall account linked to Zapier once, then reused by every step in every Zap that touches Novocall.
What it really costs
A Novocall trigger never costs a task. You pay for the actions that follow, and only when they work.
- TriggersFree, never billed
- Create CallOne task each time it works
- Free plan100 tasks a month, two-step Zaps
Each action that completes counts as one task, and a failed action is not counted. Novocall isn't a premium app, so it runs on the free plan: 100 tasks a month and Zaps limited to two steps, one trigger and one action. Add a filter or a second action and you have a multi-step Zap, which needs a paid plan. All seven triggers are instant, so the polling interval grid below never slows them down, on any plan.
Connect your Novocall account
- 01
Open your Zapier apps
In Zapier, go to the Apps page of your account and click + Add connection. A dialog opens with a search box. Type Novocall in it and pick it from the list.
- 02
Sign in to Novocall
Click Add connection. A new tab opens on Novocall. Sign in there with the account that owns the widget and the call reps you want your Zaps to work with.
- 03
Grant access
Allow Zapier to access the account. The connection is saved once. Every Zap that uses Novocall will reuse it, so you sign in only once. Anything you don't own yourself needs access granted first.
Your first Zap: put every Novocall booking in the calendar
GoalEach call slot booked through Novocall becomes a calendar event, and the team hears about it.
- 01
Create the Zap
Start a new Zap, pick Novocall as the app that starts it and New Schedule as the event. Choose the Novocall connection you added earlier.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent bookings on the account, so you map the next steps on a real appointment instead of guessing.
- 03
Add the calendar event
Add the calendar app as the action and map the booking's time and the prospect's details into the event. Pick the calendar of the rep who takes these calls.
- 04
Tell the team
Add a second action that posts in your team chat. Two actions make this a multi-step Zap, so it needs a paid plan. Stop after the calendar step to stay free.
- 05
Test and publish
Test each step, read what came back, then click Publish. The next booking starts the Zap at once, since New Schedule is an instant trigger.
The 7 Novocall triggers
7 events start a Zap when something happens in Novocall, and 7 of them are instant: the app calls Zapier straight away, whatever your plan.
Cancel Appointment
Instant triggerIn Zapier“Triggers when a customer cancels an existing appointment”
When a prospect drops a call slot they booked through Novocall, this event hands the cancelled appointment to your Zap, so the rest of your tools stop counting on that meeting.
Failed Call
Instant triggerIn Zapier“Triggers when either the customer or the call rep misses the call. (Only after the call has ended)”
Fires after a call ends without both sides talking, whether the customer or your rep was the one who missed it. It's your safety net for leads who asked to be called and never were.
Incoming Call
Instant triggerIn Zapier“Triggers when a customer makes a new request for a callback. (Only at the very start of the call)”
A visitor clicks the widget and asks to be called back: this is the earliest moment Novocall reports, before anyone has picked up. Use it when speed of reaction matters more than the outcome.
New Message
Instant triggerIn Zapier“Triggers when a new message is submitted.”
Some visitors leave a written message instead of asking for a call. This event passes each one to your Zap as soon as it is submitted, so it doesn't sit unread in the Novocall dashboard.
New Schedule
Instant triggerIn Zapier“Triggers when a customer makes a new appointment for a scheduled call.”
A prospect picks a slot for a scheduled call, and your Zap receives the booking with its time. This is the event that keeps your calendars and your pipeline aligned with what people actually chose.
Reschedule Appointment
Instant triggerIn Zapier“Triggers when a customer change an existing appointment”
Your Zap hears about it whenever a customer moves an existing appointment to another slot. Without it, the meeting you created at booking time keeps pointing at the old hour.
Successful Call
Instant triggerIn Zapier“Triggers when both customer & call rep have picked up the call. (Only after the call has completed)”
Both the customer and your rep picked up, the conversation took place, and the call is over. That is the point where this event hands the completed call to your Zap.
The Novocall action
Novocall gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create Call
ActionIn Zapier“Creates a call record”
Hands Novocall a phone number coming from another app and records it as a new call, ready for your reps.
When a Novocall Zap breaks
Zapier ties no help article to Novocall, so the traps below are the general ones, applied to calls and bookings.
Most of them don't throw an error. The Zap just does less, or more, than you expected. If one of them bites, the Zapier troubleshooting guide walks through the fix.
Past bookings never show up
A Zap only reacts to what happens after you publish it. Appointments and calls already in Novocall stay there, and moving that history is a separate job.A Zap that calls itself
A Zap that starts on a Novocall call event and then runs Create Call writes where its own trigger watches. It can set itself off again and again and burn through tasks.A wave of requests gets held back
After a bulk import, a trigger that suddenly returns a huge batch can be held back by Zapier's flood protection rather than starting one Zap per item. The filter never lets anything through
Filter rules are typed. A number rule on a field Zapier reads as text never matches, and the Zap quietly stops at the filter every time it runs.
