Overview

What the Novofon Zapier integration actually does

Novofon is internet telephony for support and sales teams. Linked to Zapier, it sends out a notice at each step of a call: when it starts, when someone answers, when it ends, and when nobody picks up. Inbound and outbound calls each get their own four events. Novofon is only ever the starting point.

Three outcomes people usually build on those eight events:

No missed caller left behind. Notify Missed posts the unanswered call in your team chat, so someone rings back while the lead is still warm.

A call log nobody types. Notify End and Notify Out End add each finished call to a spreadsheet or your CRM, inbound and outbound side by side.

Live context for the agent. Notify Start can post the caller's number to the agent's channel as the phone rings, before anyone answers.

One thing to know before you build: Zapier's own descriptions of these triggers only repeat their names. Run the test on each one and read what comes back before you map anything.

What Zapier does not do for Novofon: there is no action, so a Zap can't place a call, send a text or change a setting. There is no search either, so it can't look up a past call. And nothing that happened before the Zap was switched on gets picked up. For more reach, compare Make vs Zapier and n8n vs Zapier.

Vocabulary

Zapier vocabulary in one minute

Seven words come back on every Zapier screen. Here they are in plain English.

Zap
The automation you build: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier sits and waits for it to happen.
Action
What the Zap does after it starts: the step that writes, sends or moves something on your behalf.
Task
The unit Zapier bills you for. One task is one action your Zap finished successfully, nothing else.
Polling vs instant trigger
Polling: Zapier checks the app on a timer. Instant: the app calls Zapier itself the second the event happens.
Filter
A step that lets the Zap carry on only when the incoming data meets your condition, and stops it otherwise.
Connection
Your Novofon account linked to Zapier once, then reused by every step in every Zap that touches Novofon.
Cost

What it really costs

A Novofon trigger never costs a task, however many calls you take. You pay for the actions that follow, and only when they work.

  • TriggersFree, never billed
  • Free plan100 tasks a month, two-step Zaps
  • Premium appNo

Each action that completes counts as one task, and a failed action is not counted. Novofon isn't a premium app, so it runs on the free plan: 100 tasks a month and Zaps limited to two steps, one trigger and one action. Add a filter or a second action and you have a multi-step Zap, which needs a paid plan. All eight triggers are instant, so the polling interval grid below never delays them, on any plan.

Connect

Connect your Novofon account

  1. 01

    Open your Zapier apps

In Zapier, go to the Apps page of your account and click + Add connection. A dialog opens with a search box. Type Novofon in it and pick it from the list.

  2. 02

    Sign in to Novofon

Click Add connection. A new tab opens on Novofon. Sign in there with the account that handles the phone lines whose calls you want your Zaps to follow.

  3. 03

    Grant access

Allow Zapier to access the account. The connection is saved once. Every Zap that uses Novofon will reuse it, so you sign in only once. Lines you don't own yourself need access granted first.

First Zap

Your first Zap: never lose a missed Novofon call

GoalEvery missed inbound call is posted to the team and logged in a sheet for the callback.

  1. 01

    Create the Zap

Start a new Zap, pick Novofon as the app that starts it and Notify Missed as the event. Choose the Novofon connection you added earlier.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent missed calls, so you see exactly which details this event carries before you map a single field.

  3. 03

    Post to the team

Add your team chat as the action and map the caller's details into the message. Pick the channel the people on callback duty actually read.

  4. 04

    Log it in a sheet

Add a spreadsheet row as a second action. Two actions make this a multi-step Zap, so it needs a paid plan. Stop after the message to stay on the free one.

  5. 05

    Test and publish

Test each step, read what came back, then click Publish. The next missed call starts the Zap at once, because the trigger is instant.

Triggers

The 8 Novofon triggers

8 events start a Zap when something happens in Novofon, and 8 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Notify Answer

Instant trigger

In Zapier“Triggers when a new "notify answer" is created.”

On the inbound side, this is the notice Novofon sends once a call is picked up. Your Zap learns that a caller is now talking to someone on your team.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
mark the contact as reached in your CRM, so nobody else on the team rings the same person back.
Watch out
Zapier describes it only by its name, so test it and check which details it carries before mapping fields.
2

Notify End

Instant trigger

In Zapier“Triggers when a new "notify end" is created.”

When an inbound call is over, this event closes the loop. It's the natural place to record that the conversation happened, once there is nothing left to wait for.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
add a line to your call log or create a follow-up task for the agent who handled the caller.
Watch out
a missed call has its own event, so don't count on this one to tell answered and unanswered calls apart without testing it.
3

Notify Missed

Instant trigger

In Zapier“Triggers when a new "notify missed" is created.”

Nobody answered an incoming call. For a sales or support team, it's the event that turns a silent miss into a callback someone actually owns.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
alert the team in chat and put the number on a callback list straight away.
Watch out
busy lines can produce many of these in a row, and each one that reaches an action costs a task, so keep an eye on the count.
4

Notify Out Answer

Instant trigger

In Zapier“Triggers when a new "notify out answer" is created.”

Your agent dialled out and the person at the other end picked up. That moment of contact is what this outbound event reports to your Zap.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
move a prospect to a contacted stage in your pipeline as soon as a cold call actually connects.
Watch out
it's the outbound twin of Notify Answer; pick the wrong one and your Zap listens to the other direction of calls.
5

Notify Out End

Instant trigger

In Zapier“Triggers when a new "notify out end" is created.”

Outbound calls that come to an end land here. Use it to keep track of the calls your team makes, the same way Notify End tracks the ones it receives.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
log each outbound call in a spreadsheet so you can count the calls your reps place.
Watch out
test it once with a call that connected and once with one that didn't, and compare what comes back.
6

Notify Out Missed

Instant trigger

In Zapier“Triggers when a new "notify out missed" is created.”

An agent calls a customer and gets no answer. Rather than relying on the agent to note it, let this event hand the unanswered attempt to your Zap.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
send the customer a short email saying you tried to reach them, or schedule a second attempt in your CRM.
Watch out
an automatic email after every unanswered attempt can annoy people, so think the wording through before you automate it.
7

Notify Out Start

Instant trigger

In Zapier“Triggers when a new "notify out start" is created.”

The very beginning of an outbound call, before anyone answers. It tells your Zap an agent has just started dialling someone.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
record the attempt in your CRM so the history shows every try, not only the calls that connected.
Watch out
every dial starts a Zap, including calls nobody picks up, so this one burns through tasks fastest on a busy outbound team.
8

Notify Start

Instant trigger

In Zapier“Triggers when a new "notify start" is created.”

A call is coming in and the phone has just started ringing. This is the earliest inbound moment Novofon reports, while nobody knows yet whether it will be answered.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
post the incoming number in the support channel so the agent knows who is calling before they say hello.
Watch out
the rest of the story arrives later through Notify Answer, Notify Missed or Notify End.
When it breaks

When a Novofon Zap breaks

Zapier ties no help article to Novofon, so the traps below are the general ones, applied to a phone system.

Most of them don't throw an error. The Zap just does less, or more, than you expected. If one of them bites, the Zapier troubleshooting guide walks through the fix.

  • Your call history never shows up

A Zap only reacts to calls that happen after you publish it. Everything already in Novofon stays there, and moving that history is a separate job.
  • A wrong direction, inbound or outbound

Each event exists twice, once for each direction. Pick Notify End when you meant Notify Out End and the Zap follows the other half of your calls.
  • A rush of calls gets held back

When a trigger suddenly returns a huge batch, Zapier's flood protection can hold it back instead of starting one Zap per call.
  • Tasks run out mid-month

Every call that reaches an action costs a task. With eight events firing on a busy line, the 100 tasks a month of the free plan go faster than you think.

FAQ

Novofon Zapier integration: your questions

01Is the Novofon Zapier integration free?
Yes, it works on the free plan. Novofon is not a premium app, so Zapier doesn't reserve it for paid plans. The free plan gives you 100 tasks a month and as many Zaps as you like, each limited to two steps: one trigger and one action. A Zap that posts each missed call in your team chat fits. As soon as you add a filter or a second action, it becomes a multi-step Zap and needs a paid plan.
02How many tasks does a Novofon Zap use?
None for the trigger: the eight Novofon triggers never cost a task. You pay for what happens next, one task per action that completes, and an action that fails is not counted. A one-action Zap on Notify Missed uses one task per missed call. Watch the outbound start event in particular: every dial starts the Zap, so on a team that makes a lot of calls the count rises quickly.
03Do Novofon triggers fire in real time?
Yes. All eight are instant triggers: Novofon tells Zapier itself the moment the call starts, connects, ends or is missed, and the Zap starts straight away. The polling interval grid, from 15 minutes on Free to 1 minute on Team and Enterprise, doesn't apply to them. In the editor, these Zaps show a lightning bolt. Novofon decides this, and nothing in Zapier can change it, so the speed is the same on every plan.
04What does it take to connect a Novofon account?
A Novofon account, plus access to anything you don't own yourself and want the Zap to touch. The connection is made from the Apps page of Zapier: click + Add connection, search for Novofon, sign in in the tab that opens, then grant Zapier access. Zapier saves the connection once and every Zap that uses Novofon reuses it, so you don't sign in again each time you build a new one.
05Which Novofon trigger should be used for a given call?
Start from the direction of the call, then pick the moment you care about. Inbound events are Notify Start, Notify Answer, Notify End and Notify Missed; the four with Out in their name cover calls your team places. Zapier's descriptions only repeat these names, so the safest way to choose is to make a test call, run the trigger test, and read what the three most recent items contain before you map anything.
06What if the Novofon operation you need isn't there?
Then Zapier can't do it for Novofon today. The integration consists of eight call events and nothing else: no action to place a call or send a message, and no search to find a past call. What remains possible is reacting to calls and doing the work in the next app. If the missing step is the heart of your process, check whether another automation tool reaches further into Novofon before you build.
07Zapier, Make or n8n for Novofon?
Honestly, it depends on your criteria rather than on a winner. Zapier is quick to set up, and all eight Novofon triggers are instant on every plan, which matters on the free plan. The trade-off is scope: events only, no action and no search. If you need more control over each step, self-hosting or a different pricing model, compare the three tools on those points before committing to one of them.
