Overview

What the Nudge Coach Zapier integration actually does

The Nudge Coach Zapier integration links your coaching platform to the tools around it: payments, forms, email, your CRM. It works both ways. Nudge Coach can tell Zapier when a client joins your account, a company or a group, or reaches the end of a program; and Zapier can invite clients, move them between coaches and groups, and hand them cards or sequences.

Three results coaches typically build:

A client who pays is a client who gets invited. Start from your checkout or booking tool and Invite Clients sends the invitation to your coach account, or Invite Clients to Group drops them straight into the right cohort.

A program that starts itself. User Added to Group fires the moment someone joins a group; follow it with Find Sequence and Assign a Sequence to a User, and every new member starts the same plan without you touching it.

A follow-up when the program ends. User Finished a Program fires when a client receives the last day of their program cards. That is the moment to tag them in your CRM, send a renewal offer or ask for a testimonial.

What Zapier does not do with Nudge Coach: it cannot create cards, sequences, groups or companies (searches only find existing ones), it cannot read client progress or tracked data, and it does not react to a client leaving. Every action works on IDs, so most Zaps need a search step first. If you are comparing tools for this kind of multi-step flow, see n8n vs Zapier.

Vocabulary

Zapier vocabulary in one minute

Eight words come back on every line of this page. Here they are in plain English.

Zap
The automation you build: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap, such as a client joining a group. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you, like an invitation.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan's allowance is a count of those.
Polling vs instant
A polling trigger is checked on a timer. An instant trigger is pushed by the app the moment the event happens, like all four here.
Filter
A step that lets the Zap carry on only when what arrived meets your condition, and stops it otherwise.
Search step
A step that looks up something that already exists, such as a client by email, so later steps can use what it found.
Multi-step Zap
Any Zap beyond one trigger and one action. A filter, a search or a second action makes one, and it needs a paid plan.
Cost

What Nudge Coach automation costs on Zapier

Nudge Coach is not a premium app, so it works on the free plan. Zapier counts tasks, and the triggers never use any.

  • Free plan100 tasks a month, unlimited Zaps
  • Free plan Zap size2 steps: one trigger, one action
  • Premium appNo, Nudge Coach runs on the free plan
  • Triggers4 instant, plan interval does not apply

Each action that goes through costs one task; one that fails costs nothing. The real limit is elsewhere: almost every Nudge Coach action asks for an ID (user, group, coach, card, sequence), so most useful Zaps need a search step before the action. A search makes the Zap multi-step, and the free plan only builds two-step Zaps, one trigger and one action. The good news: the four triggers are instant, so the interval grid below never slows them down.

Connect

Connect Nudge Coach to Zapier in 3 steps

  1. 01

    Open your connections

In Zapier, go to Apps, the page that lists every account you have linked. Click + Add connection, type Nudge Coach in the search box of the dialog and pick it from the results.

  2. 02

    Sign in to Nudge Coach

Click Add connection. A new tab opens on Nudge Coach: log in with the coach account whose clients, groups and libraries you want the Zaps to use. Zapier cannot create that account for you.

  3. 03

    Grant access

Approve the access request in that tab. The connection then appears in your list and every Nudge Coach step reuses it. To touch a company or a coach you do not manage yourself, your login needs rights on it.

First Zap

Your first Nudge Coach Zap, step by step

GoalEvery client added to your coach account automatically starts your welcome sequence.

  1. 01

    Start from the trigger

Start a new Zap in the editor. Pick Nudge Coach as the app and User Added to My Coach Account as the trigger, then select your connection.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent clients added to your account, so you can pick a real one and map from actual data.

  3. 03

    Find the sequence

Add Find Sequence and type the exact name of your welcome sequence. This step turns a name you know into the ID the next action needs.

  4. 04

    Assign it

Add Assign a Sequence to a User. Map the user ID from the trigger and the sequence ID from the search. Remember: three steps means a paid plan.

  5. 05

    Test and publish

Test each step once and check the client now has the sequence in Nudge Coach. Then click Publish to switch the Zap on for good.

Triggers

Nudge Coach triggers on Zapier

4 events start a Zap when something happens in Nudge Coach, and 4 of them are instant: the app calls Zapier straight away, whatever your plan.

1

User Added to My Coach Account

Instant trigger

In Zapier“Triggers when a user is added to my coach account.”

Starts the Zap whenever a new client lands in your own coach account, whichever way they arrived. It is the broadest entry point and the natural start for any welcome routine, from a sequence to a CRM record.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you run a solo practice and want every newcomer to get the same onboarding, whether they came from an invitation or another route.
Watch out
it covers your coach account only; clients joining a company or a group have their own triggers.
2

User Added to Company

Instant trigger

In Zapier“Triggers when a user is added to a company.”

Fires when a client is attached to one of your companies, the structure Nudge Coach uses for organisations such as a corporate wellness contract. Each Zap watches one company, which you choose when you set it up.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
an employer signs its staff up and you want to log each new participant in the spreadsheet you report to that client from.
Watch out
Company is a required setting, so covering several companies means one Zap per company.
3

User Added to Group

Instant trigger

In Zapier“Triggers when a user is added to a group.”

Reacts as soon as someone joins a specific group, which makes it the cleanest way to start cohort-based programs. The group is picked in the trigger settings and the Zap only listens to that one.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
each time a new challenge group opens, every member should receive the same starting sequence and a welcome email.
Watch out
never pair it with Add Users to Group on that same group, or the Zap keeps setting itself off.
4

User Finished a Program

Instant trigger

In Zapier“Triggers when a user receives their last day of program cards”

Goes off when a client receives the cards of the last day of their program. It is the only trigger tied to progress rather than membership, which makes it the hook for everything that happens after a program.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you want to offer the next program, request a review or update the client's stage in your CRM when they reach the end.
Watch out
it fires on the last day's cards being sent, not on the client completing them.
Actions

Nudge Coach actions on Zapier

Nudge Coach gives you 10 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Users to Coach

Action

In Zapier“Add users to one or more coaches”

Attaches existing users to one or more coaches inside a company, which is how a team practice spreads clients between staff. It works on IDs for the company, the users and the coaches.

When to use it
a client switches plan and must be followed by a different coach in your team.
Watch out
all three IDs are required, so a Find User step usually comes first.
2

Add Users to Group

Action

In Zapier“Add users to one or more of my groups”

Puts users who are already clients into one or more of your groups, using their user IDs and the group IDs. Unlike the invite actions, it starts from user IDs, not email addresses.

When to use it
a current client buys an add-on program and should join its group right away.
Watch out
it only works for people already in your account; newcomers need an invitation first.
3

Assign a One Time Card to a User

Action

In Zapier“Assign a card to a user”

Pushes a single card from your library to one client and schedules its notification for the time you set. Handy for one-off check-ins rather than a full program.

When to use it
a client books a consultation and should get a preparation card the evening before.
Watch out
Notification Time expects the HH:mm:ss format, so a time typed as 7pm fails.
4

Assign a Sequence to a User

Action

In Zapier“Assign a sequence to a user”

Starts one of your prepared sequences for a given client, so a whole series of cards follows without manual scheduling. It needs the user ID and the sequence ID.

When to use it
every new member of a group or every new paying client should begin the same onboarding plan.
Watch out
pair it with Find Sequence rather than pasting an ID that may change when you rebuild the sequence.
5

Invite Clients

Action

In Zapier“Invites clients to connect to my coach account”

Sends an invitation to connect with your coach account to the email addresses you pass it. The client still has to accept before they appear in your account.

When to use it
a new payment or booking comes in from your checkout tool and you want the invitation out without logging in.
Watch out
an address with a typo just produces an invitation nobody receives.
6

Invite Clients to Company

Action

In Zapier“Invite clients to a specific company in Nudge Coach”

Invites people by email straight into one company of your Nudge Coach setup, so they land in the right organisation from the start rather than in your general account.

When to use it
an HR contact fills in a form with the staff who signed up for a corporate program.
Watch out
both Company and Emails are required; check the company before you publish.
7

Invite Clients to Group

Action

In Zapier“Invite clients to a specific group in my coach account”

Emails an invitation that brings the client directly into one group of your coach account, which saves a second step to place them in a cohort later.

When to use it
people register for a specific challenge or class and each one should join that group only.
Watch out
the group is set in the action, so one Zap serves one group unless you map it dynamically.
8

Remove Users From Coach

Action

In Zapier“Remove one or more users from a coach”

Detaches one or more users from one or more coaches within a company, without deleting the client from the platform. It mirrors Add Users to Coach and takes the same three IDs.

When to use it
a coach leaves your team and their clients must be reassigned, starting by unlinking them.
Watch out
run the reassignment in the same Zap, or clients end up with no coach at all.
9

Remove Users From Group

Action

In Zapier“Remove users from one or more of my groups”

Takes users out of one or more of your groups by ID, leaving them in your account otherwise. Useful to close a cohort cleanly once its dates are over.

When to use it
a subscription is cancelled in your billing tool and the client should lose access to the members' group.
Watch out
it needs user IDs, so look the client up by email with Find User first.
10

Remove User From Company

Action

In Zapier“Remove a user from a company as well as any company groups or company coaches they may be attached to”

Removes a client from a company and, in the same move, from every company group and company coach they were attached to. The strongest of the removal actions.

When to use it
an employee leaves the client organisation and must disappear from its wellness program.
Watch out
because it cascades to groups and coaches, test it on a dummy user before publishing.
Searches

Nudge Coach searches on Zapier

3 search steps look for data that already exists in Nudge Coach, so a later step can use it.

A search step finds something that already exists in Nudge Coach and hands its ID to the next steps. You will find the three searches at the bottom of the event list, under the SEARCH heading. Three settings decide what happens when the result is not the one you expected.

1

Find Card

Search

In Zapier“Find a card in your card library”

Looks up a card in your library by its name and returns its ID, which is what Assign a One Time Card to a User needs.

When to use it
you rename or rebuild cards from time to time and do not want a hard-coded ID to break your Zap.
Watch out
give each card a distinct name; two cards with the same name send the first match on by default.
2

Find Sequence

Search

In Zapier“Find a sequence in your sequence library”

Finds a sequence from your library by name and passes its ID to the next step, usually Assign a Sequence to a User.

When to use it
the same Zap should pick a different sequence depending on a program name coming from your form or checkout.
Watch out
if no sequence in the library matches the name you send, the Zap stops there unless you change the no-result setting.
3

Find User

Search

In Zapier“Find a user that you are coaching”

Retrieves one of the clients you coach from their email address, which turns the email that every other tool knows into the user ID that Nudge Coach actions require.

When to use it
almost any Zap that starts outside Nudge Coach and then adds, assigns or removes something for an existing client.
Watch out
a client who signed up with another address will not be found.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there, and the steps that relied on it are skipped. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create on apps that support it. None of the Nudge Coach searches offer that variant, so a missing item always has to be created in Nudge Coach by hand.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When the Nudge Coach Zap breaks

Zapier attaches no help article to Nudge Coach, so the failures below come from how Zaps work in general and from what the operations require.

Coaching Zaps tend to fail on two things: IDs that do not match and loops between groups. The Zapier troubleshooting guide covers the usual checks when a run fails.

  • Existing clients are ignored

A Zap only reacts to what happens after you switch it on. Clients already in your groups do not start it: moving them through the new flow is a separate job.
  • A group Zap that loops

User Added to Group followed by Add Users to Group on the same group sets the Zap off again and again, and burns through your task count fast.
  • A mass import is held back

Adding a large batch of clients at once can make Zapier's flood protection hold the runs back. A bulk import may not reach your other tools in one go.
  • A search finds nothing

Find User, Find Card or Find Sequence come back empty when nothing matches the email or name you sent. By default the Zap stops there and the next steps are skipped.
  • A time in the wrong format

Assign a One Time Card to a User expects the notification time as hours, minutes and seconds. A free-text time from a form makes the step fail.
  • Invitations nobody accepts

The invite actions only send an email. Until the client accepts, they are not a user, so later steps that need their user ID cannot run yet.

FAQ

Nudge Coach Zapier integration: common questions

01Is the Nudge Coach Zapier integration free?
Yes, on the Zapier side, because Nudge Coach is not a premium app. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap is limited to two steps: one trigger and one action. Many Nudge Coach flows need a search step to turn an email or a name into an ID, and that third step makes the Zap multi-step, which requires a paid plan. Your Nudge Coach subscription is separate and not covered here.
02How many tasks does a Nudge Coach Zap use?
One task per action that completes. The four triggers never cost anything, and an action that fails is not counted. A Zap that invites one client uses one task per run; a Zap that finds a user and then adds them to a group and assigns a sequence uses more, since each successful action counts on its own. Zapier notes that a few apps and actions cost more than one task, so keep an eye on your count after the first runs.
03Do Nudge Coach triggers fire in real time?
Yes. All four triggers are instant: Nudge Coach tells Zapier the moment a client joins your account, a company or a group, or reaches the last day of a program, and the Zap starts right away. The plan interval grid, 15 minutes on Free down to 1 minute on Team and Enterprise, does not apply to them. In the editor, Zaps built on these triggers show a lightning bolt. Speed then depends only on the actions that follow.
04What do you need to connect Nudge Coach to Zapier?
A Nudge Coach coach account, plus rights on any company or coach you do not manage yourself but want the Zap to change. Zapier does not create the account for you. The connection takes three moves: open Apps in Zapier, click + Add connection and pick Nudge Coach, then sign in and approve the access request. Your clients, groups, cards and sequences should exist before you build, since Zapier can find them but not create them.
05Why do Nudge Coach actions ask for IDs?
Because almost every action works on internal identifiers: User Id, Group Id, Coach Id, Company Id, Card Id or Sequence Id. Other tools rarely know those values. The fix is a search step: Find User turns an email into a user ID, Find Card and Find Sequence turn a name into an ID. That extra step makes the Zap multi-step, so plan for a paid plan if your flow starts outside Nudge Coach.
06What if the Nudge Coach operation you need is not on Zapier?
Then Zapier cannot do it for this app today. The integration covers invitations, membership of coaches, groups and companies, card and sequence assignment, and three searches. Creating cards, sequences or groups, reading client progress or tracked data, and reacting to a client leaving are not available. A tool that talks to Nudge Coach directly is the usual way around that, and the comparison is worth making before you rebuild a flow that already runs on Zapier.
07Zapier, Make or n8n for Nudge Coach?
Judge on criteria rather than a ranking. Coverage: on Zapier, Nudge Coach offers 17 operations, with instant triggers that suit onboarding flows well. Cost model: Zapier bills each successful action, and the search steps most flows need push you onto a paid plan, so count steps per run before choosing. Control: if your flows branch a lot or loop over many clients, compare how each tool prices extra steps. Start from the flows you actually run each week.
