Overview

What the Nyota.ai Zapier integration actually does

Nyota.ai takes notes for your meetings: it prepares an agenda, writes a summary, pulls out highlights and lists the action items. The Zapier integration links that meeting memory to the rest of your apps, so what gets decided in a call lands where the work happens, and edits made elsewhere flow back into the session.

Three results people set it up for. First, action items that never get lost: New Action Item starts a Zap the moment Nyota.ai records one, and the next step drops it into your task manager. Second, a summary in the team channel: New Summary hands the meeting recap to a chat or email step, so people who skipped the call still read what was agreed. Third, an agenda built from other tools: Create Agenda Item adds a point to an upcoming session from a form, a ticket or a CRM note, so nobody types it twice.

What Zapier does not do here matters as much. It cannot start a recording, create a session or delete anything in Nyota.ai: the 5 actions only create or update agenda items, summary highlights and action items. Transcripts and sessions can be looked up with a search, never written. And nothing reaches back in time: a Zap only sees what happens after you switch it on.

If you are still choosing a tool, our Make vs Zapier comparison is the next read, and so is the Zapier review.

Vocabulary

Zapier vocabulary in one minute

Seven words come back on every line of this page. Here they are in plain English, once.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier sits and waits for that event to happen.
Action
What the Zap does once it has started: the step that writes, sends or updates something for you in an app.
Task
What Zapier bills: one action your Zap completes successfully. The number on your plan is a count of those.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself the moment the event occurs.
Filter
A step that lets the Zap continue only when the incoming data meets the condition you set, and stops it otherwise.
Search step
A step that looks up something that already exists in an app, so the steps after it can reuse what it found.
Cost

What a Nyota.ai Zap really costs

Nyota.ai is not a premium app on Zapier, so it works on the free plan. The bill is counted in tasks, and only finished actions count.

  • Free plan100 tasks a month, unlimited Zaps
  • Zap size on Free2 steps: one trigger, one action
  • Premium appNo, works on Free
  • Nyota.ai triggers10 instant, 0 polling

The trigger never costs a task, and neither does waiting for new data. Each action that succeeds counts once, so a Zap with three actions uses three times what a one-action Zap uses. An action that fails is not counted. The catch on the free plan is size: a Zap there is one trigger and one action, nothing more. Add a filter, a search or a second action and you have a multi-step Zap, which needs a paid plan. Since every Nyota.ai trigger is instant, the polling interval grid below does not slow any of them down.

Connect

Connect your Nyota.ai account to Zapier

  1. 01

    Open your connections

In Zapier, go to the Apps page of your account. A connection is your Nyota.ai account linked to Zapier once, then reused by every Zap step that touches Nyota.ai. Click + Add connection.

  2. 02

    Pick Nyota.ai

Type Nyota.ai in the search box of the dialog and select it, then click Add connection. You need an existing Nyota.ai account for this: Zapier does not create one for you.

  3. 03

    Sign in and allow access

A new tab opens on Nyota.ai. Log in with the account whose meetings you want to automate, then grant Zapier access. The connection then shows up in your list, ready for any Zap.

First Zap

Your first Nyota.ai Zap, step by step

GoalPost a message in your team channel each time an action item from a meeting is marked as finished.

  1. 01

    Create the Zap

Start a new Zap in Zapier. The editor opens with an empty trigger card at the top and an empty action card right below it.

  2. 02

    Set the trigger

Choose Nyota.ai, then Updated Action Item, and pick your connection. It is instant: the Zap starts as soon as someone edits an action item.

  3. 03

    Test the trigger

Run the test. Zapier brings back the three most recent items of your account, so edit one action item first and pick it to map real data.

  4. 04

    Add the filter

Click the plus icon and add Filter. Point it at the Finished field and keep only items where it is true. Any other edit then stops the Zap.

  5. 05

Add the action and test it

Add your chat app, choose the message action and map the action item title into the text. Run the test and check that a real message arrives.

  6. 06

    Publish

Click Publish to switch the Zap on. With a filter it is a multi-step Zap, so this one needs a paid plan before it can run on its own.

Triggers

Nyota.ai triggers: the 10 events that start a Zap

10 events start a Zap when something happens in Nyota.ai, and 10 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Deleted Action Item

Instant trigger

In Zapier“Triggers when an action item is deleted.”

Removing an action item in Nyota.ai starts this Zap, which lets you clean up the copy it left elsewhere: close the matching task, strike a line in a sheet, or tell the owner the item is gone.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your action items are mirrored in a task tool and you do not want ghost tasks to pile up after a meeting is tidied.
Watch out
items deleted before the Zap was switched on are never reported, so older copies stay in your task tool.
2

Deleted Agenda Item

Instant trigger

In Zapier“Triggers when an agenda item is deleted.”

When a point is taken off a meeting agenda, this trigger passes the news on. It is the right start for keeping a shared prep document or a planning board aligned with what the session will really cover.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
several people feed the agenda from outside Nyota.ai and need to know when their topic was dropped.
Watch out
in the editor, search for the word Agenda: the event shows under its English name, Deleted Agenda Item.
3

Deleted Summary Highlight

Instant trigger

In Zapier“Triggers when a summary highlight is deleted.”

A highlight removed from a meeting summary starts the Zap. Use it to retract a key point you already copied into a report, a client recap or a knowledge base, so the outside version never says more than the meeting record.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
summary highlights feed a client-facing document and an edited summary must not leave stale claims behind.
Watch out
pair it with New Summary Highlight, or your outside copy only ever shrinks and never grows.
4

New Action Item

Instant trigger

In Zapier“Triggers when a new action item is created.”

This is the trigger most teams start with. Each time Nyota.ai records a new action item, the Zap picks it up and can turn it into a task, a ticket or a reminder for the person who has to do it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
decisions from calls keep living in meeting notes instead of the project board where work is actually tracked.
Watch out
one busy meeting can create many items at once, and each one runs the Zap and spends a task per action.
5

New Agenda Item

Instant trigger

In Zapier“Triggers when a new agenda item is created.”

Fires each time someone adds a point to an upcoming meeting agenda. A sales lead can be warned that their deal is on the table, or a briefing document can be pulled together before the call starts.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
people need a heads-up before a meeting rather than discovering the agenda once they join.
Watch out
if the same Zap also runs Create Agenda Item, every point it adds starts the Zap again, in a loop.
6

New Summary

Instant trigger

In Zapier“Triggers when a new summary is created.”

Once Nyota.ai has written the summary of a meeting, this trigger sends it on. It is the cleanest way to get one recap per session into email, a team channel or a CRM record without anyone copying and pasting it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
managers or clients want the outcome of a call without attending it or opening another tool.
Watch out
this trigger covers the summary as a whole; single highlights inside it have their own trigger.
7

New Summary Highlight

Instant trigger

In Zapier“Triggers when a new summary highlight is created.”

Each key point added to a summary starts its own run. That finer grain suits teams who route different highlights to different places, such as product feedback to one board and pricing remarks to another.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you sort meeting insights by theme, and a filter step sends each highlight to the right list.
Watch out
one run per highlight means one task per highlight for every action, so a long summary adds up quickly.
8

Updated Action Item

Instant trigger

In Zapier“Triggers when an action item is updated.”

Any edit to an existing action item starts the Zap: a reworded item, or the item being marked finished. Combined with a filter, it becomes a dependable done signal for the rest of your tools.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
closing an item in Nyota.ai should close the matching task or post a short note in a channel.
Watch out
pairing it with Update Action Item on the same item makes the Zap restart itself every time it writes.
9

Updated Agenda Item

Instant trigger

In Zapier“Triggers when an agenda item is updated.”

A reworded agenda point starts the Zap. Handy when the agenda also lives in a calendar description or a shared doc, because the outside copy follows each change instead of drifting away from the session.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
the person running the meeting edits the agenda late and attendees read it somewhere other than Nyota.ai.
Watch out
small edits count as updates too, so every tweak runs the Zap and every action in it spends a task.
10

Updated Summary Highlight

Instant trigger

In Zapier“Triggers when a summary highlight is updated.”

When someone corrects a highlight after the meeting, this trigger carries the corrected wording out. It keeps reports, recaps or CRM notes built from highlights in step with the reviewed version of the summary.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
highlights are reviewed by a lead before they go to a client and the reviewed text must replace the draft.
Watch out
an Update Summary Highlight step in the same Zap would trigger it again, endlessly.
Actions

Nyota.ai actions: what a Zap can write

Nyota.ai gives you 5 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Agenda Item

Action

In Zapier“Adds new agenda item to provided session”

Adds a new point to the agenda of a given Nyota.ai session, with the title you map in.

When to use it
a support ticket or form answer should be discussed at the next review meeting without anyone retyping it.
Watch out
it needs a Session ID, so an earlier step, often Find Session, has to supply one.
2

Create Summary Highlight

Action

In Zapier“Adds new summary highlight to provided session summary”

Writes an extra key point into a session summary, from text you bring in from another app.

When to use it
a decision taken after the call, by email or in chat, belongs in the meeting record next to the rest.
Watch out
only the title is required, so check in the editor which summary the highlight attaches to.
3

Update Action Item

Action

In Zapier“Updates action item”

Changes an existing action item, including marking it finished, so Nyota.ai reflects work closed elsewhere.

When to use it
a task completed in your project tool should tick the matching item in the meeting notes.
Watch out
it requires the item ID, which you get from Find Action Item or from a trigger that carries it.
4

Update Agenda Item

Action

In Zapier“Updates agenda item”

Edits an agenda point that already exists in a session, for example to sharpen its wording or reflect new context.

When to use it
the status of a deal or ticket changes before the meeting and the agenda point should say so.
Watch out
the ID of the agenda item is mandatory; Find Agenda Item is the usual way to get it.
5

Update Summary Highlight

Action

In Zapier“Updates summary highlight”

Rewrites a highlight that is already in a summary, so corrections made elsewhere land in the meeting record.

When to use it
a reviewer fixes highlights in a shared doc and Nyota.ai should end up with the same text.
Watch out
do not combine it with Updated Summary Highlight as trigger, or the Zap feeds itself.
Searches

Nyota.ai searches: finding what already exists

5 search steps look for data that already exists in Nyota.ai, so a later step can use it.

A search step finds an existing session, transcript or item and passes it to the next steps. In the action list, searches sit at the bottom under their own SEARCH heading. Each one makes the Zap multi-step, so they need a paid plan. Three settings decide what happens when the result is not the expected one.

1

Find Action Item

Search

In Zapier“Finds an action item”

Looks up an existing action item so its ID and details can feed a later step.

When to use it
a task closed in your project tool must tick the right item through Update Action Item.
Watch out
whether it wants an exact match or something close is decided by Nyota.ai, not Zapier, so test with real wording.
2

Find Agenda Item

Search

In Zapier“Finds an agenda item”

Retrieves an agenda point that is already planned, which is the missing piece before any Update Agenda Item step.

When to use it
a CRM change should refresh the matching point on the next meeting agenda.
Watch out
with several matches the first one wins by default, which may not be the session you meant.
3

Find Session

Search

In Zapier“Finds a session”

Finds a Nyota.ai session, the meeting itself, and hands its ID to the following steps.

When to use it
just before Create Agenda Item, which cannot run without knowing which session to add to.
Watch out
if no session matches, the default setting stops the Zap and the agenda point is never created.
4

Find Summary Highlight

Search

In Zapier“Finds a summary highlight”

Locates a highlight already written in a summary, so a later step can read it or change it.

When to use it
a correction arrives from a client email and must reach the right highlight through Update Summary Highlight.
Watch out
run the test on a summary that has highlights, or the search returns nothing to map.
5

Find Transcript

Search

In Zapier“Finds a session transcript”

Pulls up the transcript of a session, which no trigger delivers, so a later step can store it or pass it on.

When to use it
after New Summary, to archive the full conversation next to the recap in a document tool.
Watch out
there is no action to write a transcript; Zapier can only read it.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there and the steps that depend on it are skipped. Switched on, the Zap carries on with nothing in hand.
  2. Create X if it doesn't exist yet?
This box turns a search into find or create. Nyota.ai offers no such variant on Zapier, so none of the 5 searches below can create the missing item for you.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a Nyota.ai Zap breaks

Zapier lists no help article and no rate limit specific to Nyota.ai. What goes wrong comes from the way Zaps work in general.

Four cases cover most surprises, and two of them are easy to build by accident with this app, because its triggers and actions work on the same items. Our Zapier troubleshooting guide goes through the fixes one by one.

  • Past meetings are ignored

A Zap only reacts to what happens after you switch it on. Action items and summaries created before that stay where they are; moving that backlog is a separate job.
  • The Zap triggers itself

Updated Action Item with Update Action Item, or New Agenda Item with Create Agenda Item: a Zap that writes where its trigger watches restarts again and again, and burns tasks fast.
  • A burst of items gets held back

When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold the runs back instead of firing them all.
  • A search finds nothing

Find Session or Find Action Item come back empty and, by default, the Zap stops there. The update or create step after them simply never runs.

FAQ

Nyota.ai Zapier integration: frequent questions

01Is the Nyota.ai Zapier integration free?
Yes, as long as your Zap stays small. Nyota.ai is not a premium app, so it runs on the free Zapier plan, which gives 100 tasks a month and unlimited Zaps. The limit is the shape of the Zap: on Free you get one trigger and one action. A filter, a search such as Find Session, or a second action turns it into a multi-step Zap, and that needs a paid plan. Since Create Agenda Item usually needs Find Session first, that Zap is a paid one.
02How many Zapier tasks does a Nyota.ai Zap use?
One task per action that succeeds, each time the Zap runs. The trigger itself is free, and so is the waiting for new events. A Zap that turns each new action item into a task in another tool spends one task per item. Add a second action, such as a chat message, and it spends two per item. Failed actions are not counted. Watch the per-highlight triggers: a long summary with many highlights runs the Zap once for each of them.
03Does Nyota.ai send events to Zapier in real time?
Yes. All 10 Nyota.ai triggers are instant: the app tells Zapier the moment an item is created, updated or deleted, and the Zap starts right away. The polling grid of the Zapier plans, which goes from 15 minutes on Free down to 1 minute on Team and Enterprise, does not apply to any of them. In the editor you can recognise these Zaps by the lightning bolt next to the trigger.
04What does it take to connect Nyota.ai to Zapier?
An existing Nyota.ai account and a Zapier account. In Zapier, open the Apps page, click + Add connection, pick Nyota.ai, then log in to Nyota.ai in the tab that opens and grant access. The account you connect must be able to see the sessions and items your Zaps will touch, because the update actions and Create Agenda Item ask for their IDs. If an action later fails for lack of access, check the connection first, before blaming the Zap itself.
05Why does a Nyota.ai Zap keep running on its own?
Most often because it writes into the very thing its trigger watches. Updated Action Item as trigger and Update Action Item as action, on the same items, means every write is a fresh update, which starts the Zap again. The same goes for New Agenda Item with Create Agenda Item. Each loop spends tasks. Break it with a filter that only lets through the edits that matter, or pick a trigger that does not react to your own writes.
06What if the Nyota.ai operation you need is not on Zapier?
Then Zapier cannot do it directly with this app. The integration covers 10 triggers, 5 actions and 5 searches; there is, for example, no action to create a session, delete an item or write a transcript. The realistic options are to rework the flow around the operations that exist, such as Find Transcript to read a transcript, or to ask Nyota.ai whether a wider integration is planned. A specialist can tell you quickly whether another automation tool reaches further.
07Zapier, Make or n8n for Nyota.ai?
It depends on your criteria rather than on a winner. Zapier has a ready Nyota.ai app with instant triggers that a non-technical team can set up from the editor. For Make or n8n, ask the same two things: is there a ready Nyota.ai module, and does it react to events as they happen. Check first that the operation you rely on exists on the platform you pick, then compare the rest.
