Narrato Zapier integrationAutomate Narrato with Zapier.
The Narrato Zapier integration gives you 2 triggers, 2 actions and 1 search to move tasks in and out of your Narrato workspace. Both triggers are checked on a timer, Narrato is not a premium app, and the free plan runs it with two-step Zaps.

What the Narrato Zapier integration actually does
The Narrato Zapier integration links your Narrato workspace to the other apps you use, without code. Zapier watches Narrato for new or changed tasks, and it can also create a task, update one, or look one up when something happens elsewhere. Everything turns around tasks inside projects.
A running log of new tasks. With New Task as the starting point, each task added to a project lands as a line in a tracking sheet, so you can follow it without opening Narrato.
Tasks born outside Narrato. A form answer or a row in another tool can become a Narrato task through Create Task. You pick the workspace and project, and the title comes from the earlier step.
Status changes that travel. Updated Task reacts when a task changes, and Find Task plus Update Task let another app push its own changes back onto the right task.
All three rely on the same idea: the workspace and the project are chosen once in each step, and everything else comes from the step before.
What Zapier does not do here: it only works with tasks, never with anything else in Narrato, and it never fires instantly, since both triggers wait for the next check. If you are weighing other platforms, see our Make vs Zapier comparison.
Zapier words in one minute
Eight terms come back across the page. Here they are once, in plain words.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time that event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it, here a new or updated Narrato task.
- Action
- What the Zap does once it has started: the step that writes, sends or changes something for you, like creating a task.
- Task
- The unit Zapier bills: one action your Zap completes successfully. The number on your plan counts only those.
- Polling trigger
- A trigger Zapier checks on a timer: it asks the app for new items at a fixed interval and keeps only what it has not seen yet.
- Instant trigger
- A trigger the app reports itself, the moment the event happens. Narrato has none on Zapier: both of its triggers are polled.
- Filter
- A step that lets the Zap go on only when what arrived meets a condition you set, and stops it otherwise.
- Search step
- A step that looks up something that already exists in an app, so the following steps can use what it found.
What a Narrato Zap costs you
Zapier bills tasks, and only one thing counts as a task: an action that went through.
- Free plan100 tasks a month, unlimited Zaps, two steps each
- Premium appNo, Narrato works on the free plan
- Trigger checksFree, never billed
- Failed actionNot counted
The trigger never costs anything, and neither do the checks Zapier runs on Narrato, however often they happen. Each successful action counts once, so a Zap that creates a task and then updates it uses two. An action that fails is not counted. The free plan gives you 100 tasks a month and as many Zaps as you like, but each one stops at two steps. Add a filter, a second action or the Find Task search and the Zap becomes multi-step, which needs a paid plan. The interval below is how often a polling trigger like the two Narrato ones gets checked.
Connect Narrato to Zapier in 3 steps
- 01
Open the connection dialog
Go to the Apps page of your Zapier account and click + Add connection. A dialog opens with a search box where every app Zapier supports can be found by name.
- 02
Pick Narrato and add it
Type Narrato in the search box, select it, then click Add connection. A new tab opens on the Narrato side, where you sign in with the account that holds the workspace you want to automate.
- 03
Grant access
Give Zapier access to the account in that tab. You need a Narrato account, plus read or write access on anything you do not own yourself and want the Zap to touch. The connection is then reused by every Narrato step.
Your first Narrato Zap
GoalLog every new Narrato task in a tracking sheet, but only the ones that match a condition you choose.
- 01
Create the Zap
Start a new Zap and pick Narrato as the app that starts it, then New Task as the event. Choose the Narrato connection you added earlier.
- 02
Set the trigger
Select the workspace to watch. Test the trigger: Zapier brings back the three most recent tasks of that account, so you map fields on a real one.
- 03
Add the filter
Click the plus icon, add Filter, then set the field, the rule and the value. A filter makes the Zap multi-step, so this step needs a paid plan.
- 04
Add the action and map it
Add your spreadsheet tool as the action and map the task fields from the trigger into the columns. Leave out the filter if you are on the free plan.
- 05
Test, then publish
Run each step once and read what came back. When the result looks right, click Publish. Only tasks created after that moment will be picked up.
Narrato triggers
2 events start a Zap when something happens in Narrato. Zapier checks for them at the interval your plan allows.
New Task
Polling triggerIn Zapier“Triggers when a new task is created inside a project.”
Starts your Zap each time a task is added inside a project of the workspace you select. The task details then flow into whatever steps you place after it.
API access appear in it.Updated Task
Polling triggerIn Zapier“Triggers when a task is updated.”
Fires when a Narrato task changes, so a later step can react to the new state of that task instead of its first version.
Narrato actions
Narrato gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create Task
ActionIn Zapier“Creates a task on Narrato.”
Adds a new task to Narrato, inside the project you point it to, with the title an earlier step gives it.
Update Task
ActionIn Zapier“Updates a task on Narrato.”
Changes an existing Narrato task. It needs to know which task, so it asks for the Task Id of the one to update.
Narrato search
1 search step looks for data that already exists in Narrato, so a later step can use it.
A search step finds a task that already exists so the next steps can use it. In the editor, searches sit at the bottom of the action-event list, under the SEARCH heading. Three settings decide what happens when the result is not clean.
Find Task
SearchFind or createIn Zapier“Find a task inside workspace and/or project to update the details.”
Looks for a task by its title inside a project of your workspace, and hands what it found to the steps that follow.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap there and the dependent steps are skipped. Switched on, the Zap carries on without a result.
- Create X if it doesn't exist yet?Ticking it turns the search into a find-or-create: the setting above disappears and the step asks for the fields needed to create the missing item.
- If multiple search results are found?Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When a Narrato Zap breaks
Zapier attaches no help article to Narrato, so the limits below are the general ones every Zap runs into.
Four cases are worth knowing before you publish. If a Zap stops doing what you expect, our Zapier troubleshooting guide is the place to start.
Old tasks are not picked up
A Zap only reacts to what happens after you switch it on. Tasks already in Narrato stay where they are, and moving that backlog is a separate job.A Zap that sets itself off
A Zap that writes into the same place its own trigger watches can start itself again and again, and burn through your task count fast.A sudden flood of tasks
If a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold the run back. The same task, only once
Zapier keeps track of what it has already seen on a polling trigger, so the same task does not start the Zap twice.
