What the Occy Zapier integration does for a hiring team
Occy is an applicant tracking system, the tool a company uses to run its hiring: open roles, candidates and the stages they move through. Zapier watches it for you. The integration does one thing: when a candidate lands on a stage you choose, a Zap starts and carries that candidate to the other tools your team uses.
One trigger, several useful results. The hiring manager hears first: Candidate Moved to Stage set on your interview stage posts a message in the team chat, so nobody has to refresh the pipeline to know who is coming in. Offers start the paperwork: set on the offer or hired stage, the same trigger adds the person to the sheet or HR tool that handles contracts and equipment. Rejections get a human follow-up: on the rejected stage, it can create a reminder for the recruiter to send a personal note.
Each Zap watches one stage. Want three stages covered? Build three Zaps; on the free plan that is allowed, since Zaps are unlimited.
Now what Zapier does not do for Occy. There is no action, so a Zap cannot create a candidate, move one between stages or add a note in Occy. There is no search step either, so a Zap cannot look up a candidate or a job. Occy sends; it never receives.

Zapier words, in one minute
A handful of words come back on every block. Here they are without jargon.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger happens.
- Trigger
- The event in an app that starts the Zap. For Occy, it is a candidate reaching a stage; Zapier waits for it once the Zap is on.
- Action
- What the Zap does after it starts: the step that writes, sends or creates something in another app on your behalf.
- Task
- What Zapier bills. One task is one action that completed successfully, and your plan counts those each month.
- Instant vs polling
- An instant trigger is reported by the app the moment it happens. A polling trigger is checked by Zapier on a timer.
- Filter
- A step that lets the Zap go on only when the candidate data meets your condition, and stops it there otherwise.
- Connection
- Your Occy account linked to Zapier once, then reused by every Zap that starts from a stage change.
What an Occy Zap really costs
Watching Occy for stage changes costs nothing. You pay for what the Zap does with each candidate.
- Stage triggerNever costs a task
- Successful action1 task each
- Free plan100 tasks a month, two-step Zaps
- Premium appNo, Occy works on the free plan
The trigger never uses a task. Each successful action in the apps after it uses one, and a failed action is not counted. A Zap that posts in chat and also adds a row to a sheet is two actions, so two tasks per candidate. The free plan gives you 100 tasks a month and unlimited Zaps, with two steps per Zap: one trigger, one action. A filter or a second action makes it a multi-step Zap, which needs a paid plan. The grid below is for polling triggers: Candidate Moved to Stage is instant and never waits for it.
Connect your Occy account in three steps
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. You need an Occy account, and access to the jobs and candidates of any hiring pipeline you do not own.
- 02
Find Occy
Type Occy in the search box of the dialog, pick it from the list, then click Add connection. A new browser tab opens on the Occy side so you can sign in there.
- 03
Sign in and grant access
Log in to Occy in that tab and allow Zapier to reach the account. The connection is then listed under Apps, and every Zap that starts from a stage change picks it from there.
Your first Zap: warn the team when an interview is booked
GoalWhen a candidate reaches the interview stage in Occy, post a message in the hiring channel, but only for the role you choose.
- 01
Create the Zap
Start a new Zap. Pick Occy as the trigger app and Candidate Moved to Stage as the event, then choose the connection you made earlier.
- 02
Pick the stage and test
In the Candidate Moved to field, pick the interview stage. Run the test: Zapier brings back the three most recent items of the account, so you map the rest on a real candidate.
- 03
Add a filter
From the plus icon, add Filter. Pick, among the fields the test candidate brought back, the one that names the job, then a text rule and the role this channel cares about.
- 04
Add the action
Pick your chat app and the step that posts in a channel, then map the candidate details the test brought back into the message so it reads naturally.
- 05
Publish
Click Publish. With the filter, the Zap is multi-step and runs on a paid plan. On the free plan, drop the filter and announce every candidate who reaches that stage.
The Occy trigger
1 event starts a Zap when something happens in Occy, and one of them is instant: the app calls Zapier straight away, whatever your plan.
Candidate Moved to Stage
Instant triggerIn Zapier“Triggers when a candidate is moved to a stage.”
Starts the Zap each time a candidate is moved to the stage you selected in Occy. The candidate's details travel with it, so the next step can announce, file or follow up without anyone retyping a name.
When an Occy Zap breaks
Zapier lists no help article and no rate limit specific to Occy. The trouble comes from Zapier's general rules, and a busy hiring round shows them quickly.
Three cases cover most of what goes wrong. For any other symptom, the Zapier troubleshooting page walks through the usual causes.
Earlier candidates never arrive
A Zap only reacts to what happens after you switch it on. Candidates moved before that day are not sent; catching up on them is a separate job.A mass move is held back
When a trigger suddenly hands Zapier a huge batch, after a bulk update or a migration, Zapier's flood protection can hold it back instead of running it.The Zap will not publish on free
A filter or a second action makes the Zap multi-step. The free plan stops at one trigger and one action, so publishing asks for a paid plan.
