OFFLIGHT Zapier integrationAutomate OFFLIGHT with Zapier.
The OFFLIGHT Zapier integration is small: 1 trigger and 1 action, no search. A task marked done can start a Zap the moment it happens, and any other app can drop a new task into OFFLIGHT. Here is how both work, what they cost and where they trip.

What the OFFLIGHT Zapier integration does for you
The integration plugs OFFLIGHT, a planner that gathers your tasks and blocks out time for them, into Zapier, a tool that runs automations between apps without code. It works in two directions: OFFLIGHT tells other apps when you finish a task, and other apps can add tasks to OFFLIGHT for you.
Three results people set up with it. A done task that reports itself: Task Done sends the news to your team chat or a client tracker, so nobody asks for a status update. A to-do list fed from your inbox: Create Task turns a starred email, a form reply or a new ticket into an OFFLIGHT task, ready to be scheduled. Chained work: finishing one OFFLIGHT task creates the next one, which keeps a recurring checklist moving without retyping.
The limits are just as clear. Two operations is the whole catalogue: Zapier cannot update, move, reschedule or delete an OFFLIGHT task, and it cannot look one up, because the app offers no search step. Create Task only needs a name, so dates and goals stay something you set inside OFFLIGHT. The good news sits on the trigger side: it is instant, so even the free plan gets it straight away. If you are comparing automation tools for a planner like this, our n8n vs Zapier comparison lays out the criteria.
Zapier vocabulary in one minute
Eight words carry this page. Here they are in plain English, once, so the rest reads easily.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time that event happens.
- Trigger
- The event that starts a Zap. Here it is a task marked done in OFFLIGHT; once the Zap is on, Zapier waits for it.
- Action
- What the Zap does once it has started: the step that writes or sends something for you, like a new OFFLIGHT task.
- Task
- The unit Zapier bills: one action that completes successfully. Not to be confused with a task in your OFFLIGHT list.
- Polling trigger
- A trigger Zapier checks on a timer, asking the app for new items at a fixed interval. OFFLIGHT's trigger is not one.
- Instant trigger
- A trigger the app reports itself: it calls Zapier the moment the event happens, so nothing waits for the next check.
- Filter
- A step that lets the Zap carry on only when what arrived meets the condition you set, and stops it otherwise.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A filter or a second action makes one, and it then needs a paid plan.
What an OFFLIGHT Zap really costs
Zapier counts tasks, and the trigger never costs one. A task marked done in OFFLIGHT starts the Zap for free.
- Free plan100 tasks a month, unlimited Zaps
- Steps per Zap on Free2: one trigger, one action
- Premium appNo, OFFLIGHT works on Free
- Task DoneInstant on every plan
What you pay for is the action. Each Create Task that succeeds is one task; one that fails is not counted. A Zap with three actions uses three tasks per run. OFFLIGHT is not a premium app, so it runs on the free plan: 100 tasks a month and unlimited Zaps, but two steps per Zap at most. Add a filter or a second action and the Zap needs a paid plan. The interval grid below only concerns polling triggers, so it does not slow down Task Done.
Connect OFFLIGHT to Zapier
- 01
Open your Apps page
In your Zapier account, go to Apps and click + Add connection. A dialog opens with a search box. You need an OFFLIGHT account before this point, since Zapier only links one that already exists.
- 02
Pick OFFLIGHT
Type OFFLIGHT in the dialog, select it, then click Add connection. A new tab opens on the OFFLIGHT side: that is where you sign in, not in Zapier itself.
- 03
Sign in and allow access
Log in to OFFLIGHT in that tab and let Zapier reach your account. The connection (your account linked once) is then reused by every Zap step that works with OFFLIGHT.
Your first Zap: a follow-up task when one is done
GoalWhen you finish an OFFLIGHT task that needs a follow-up, the follow-up appears in OFFLIGHT on its own.
- 01
Build: pick the trigger
Create a new Zap, choose OFFLIGHT as the app that starts it and Task Done as the event. Select the OFFLIGHT connection you just added. A lightning bolt shows the trigger is instant.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent done tasks from your account, so you map the next steps on a real one. Finish a task first if the list is empty.
- 03
Add the filter
From the plus icon, add a Filter step: the field to look at, a text rule, the value. For example, the task title contains a word you use for follow-ups. This makes the Zap multi-step, so it needs a paid plan.
- 04
Add Create Task
Pick OFFLIGHT again and the Create Task action. Fill Task Name, for instance with a fixed word plus the title of the task you just finished.
- 05
Test, then publish
Run the action once and check that the new task shows up in OFFLIGHT. Then click Publish to switch the Zap on. Tasks finished before that are not picked up.
OFFLIGHT trigger
1 event starts a Zap when something happens in OFFLIGHT, and one of them is instant: the app calls Zapier straight away, whatever your plan.
Task Done
Instant triggerIn Zapier“Triggers when task is done.”
Ticking a task off in OFFLIGHT starts the Zap and hands the finished task to the next step. It turns the moment you close a piece of work into a signal other tools can act on: a message, a log line, a client update, or the next task in a sequence.
OFFLIGHT action
OFFLIGHT gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create Task
ActionIn Zapier“Create new task in Offlight”
Adds a new task to your OFFLIGHT list from whatever another app sends. The one required field, Task Name, becomes the title you see in OFFLIGHT, where you then plan the task into your day.
When an OFFLIGHT Zap breaks
Zapier links no help article to OFFLIGHT and reports no limit specific to it. So the breakdowns are the ones every Zap can hit, seen through this app.
Three cases cover most of them. When a Zap stops for some other reason, our Zapier troubleshooting guide takes the checks one at a time.
Old tasks are not replayed
A Zap only reacts to what happens after you switch it on. Tasks you finished in OFFLIGHT last week will not start it, and bringing that history over is a separate job.The Zap that sets itself off
A Zap that writes into the very place its trigger watches restarts again and again and eats your task count. Watch for it when two Zaps sync OFFLIGHT with another app both ways.A burst held back
If a bulk import or a migration suddenly sends a huge batch of events, Zapier's flood protection can hold the trigger back rather than run the Zap for each one.
